Steps of a sale

Run a wedding order from the first message to the last setup in a fixed order.

First message
Ask the date, the venue, which functions need flowers, such as haldi, mehendi, wedding and reception, and the colour scheme. Record each function as a separate setup on the order.
Venue walk-through
Visit the hall or lawn with the decorator or venue manager. Note the entry points, the stage size and when the venue allows setup, and write the timing limit on the order.
Photos and quote by function
Send photos of your past mandap and stage work in their colours, with a quote split by function and by flower: marigold, roses, orchids, carnations. Note any flowers they asked to swap for cost.
Booking against an advance
Confirm the date only against an advance and a written list of setups. Record the balance due and when it is to be paid, before anything is ordered from the mandi.
Ordering and setup day
Order from the mandi or wholesaler against the confirmed list, and send the setup team with a printed plan for each function. Note any change the family asked for on the day.
After the wedding
Collect the balance, send photos of the setups and ask the family and the planner for a review. Record the planner's name for the next referral.

Who follows up wedding quotes when the counter is busy?
One named person, with the follow-up dates written against each quote. Through Valentine's Day and the wedding season the counter cannot hold both jobs, so the quote list moves to whoever is not serving walk-ins that week.
What happens to enquiries that go cold?
They stay in the record with a reason noted, so you can see whether price, timing or slow follow-up is the most common cause, and fix that specifically.
Flower prices swing with the season. When should we lock a wedding quote?
Quote with a validity date and name the flowers whose price moves, such as roses near Valentine's Day or marigold in the festive season. Fix the price when the advance is paid, and say in writing what happens if a flower is unavailable. Record the quote date on the order.
A couple compares florists only on price. Should we drop ours?
Ask which flowers and how many setups the other quote covers, since two florists can quote very different volumes for the same mandap. Offer a cheaper version using seasonal flowers instead of a straight discount, and write down whether they took it.
How is marketing different for same-day orders versus weddings?
Same-day orders need speed and a strong local search presence; weddings need a portfolio and patience over weeks. We build both, tracked separately.
Do we need ads for Valentine's Day and Mother's Day?
Usually yes, in the week before. Searches for flower delivery jump around these dates, and many orders are placed only a day or two ahead. A small, radius-limited ad budget then catches buyers your profile alone would miss.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile are the quickest to show, because the enquiries already exist. Ads can follow soon after follow-up is in place.
