Fleet operators · Lead generation
Catch the RFQ in the admin head's inbox before it reaches your rival's.
Lead generation for a fleet operator is knowing every way a transport requirement reaches you, from a procurement email to a groom's WhatsApp, and writing each one down. GullySales sets up the register, the reply for each source and the list of companies, schools and agents worth approaching before they ask.
Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What lead generation means
Lead generation is the combined work of every channel that brings in a new enquiry, whether from search, adverts, referrals or a stall at an exhibition. GullySales runs these channels together and reports the number of enquiries each one produced, not the activity behind it.

For fleet operators
Where it usually goes wrong, and what we would do.
“The requirement arrives on the driver's phone”
A planner who rode with your driver last year messages the driver for a bus on a date. The driver says yes, the owner never hears, and the vehicle is promised twice.
“An RFQ is a lead with a closing date”
Companies send a rate request to a handful of operators and decide within days. The one who replies with a complete quote, the papers attached and the right contact name goes through to the trial.
“Your best leads come from the clients you already have”
A coordinator moves to another company and takes your number along. Nobody records where the coordinator went, so the new office never hears from you.
What we do
What we deliver for fleet operators.
Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.
An enquiry register used by dispatch and the owner
One sheet or simple system with fields for source, buyer role, route, dates, vehicle type, headcount, quote and next step, filled in by whoever takes the call.
Result: A requirement taken on any phone ends up in one place.
A first reply for each source
A short written response for an RFQ, a travel agent's message, a family's WhatsApp and a school's enquiry, each asking the two or three questions that decide the quote.
Result: The buyer is asked the right things in the first reply.
A target list of companies by area
Companies in the parks and estates on your routes, with the admin or transport head's name and the operator they use now, collected from visits, LinkedIn and your drivers' own knowledge.
Result: You call buyers who have vehicles on the road today.
A tender document set kept ready
Vehicle list, permits, insurance and safety records checked and kept current, so a tender you choose to bid on can be submitted from papers that are already in order.
Result: You bid on the contracts you can actually serve.
A way to follow a client coordinator to the next job
A note on each contact's company and role, with a check when the person changes so the vendor pack follows them.
Result: A move by one person becomes a new account.
How the result is measured
- Enquiries generated
- Cost per enquiry
- Enquiries by source
Recorded as a baseline before work starts, so every later report has an honest comparison.
Where enquiries come from
A fleet operator hears from buyers in six ways, and each needs a different reply and a different line in the register.
- RFQ or rate request from a company's procurement
- Log the company, the contact, the closing date, routes and the shift timings asked. Reply with a complete quote and the vendor pack, naming a contact who will answer for the trial.
- Facility or admin head calling after a missed pick-up
- Record which operator failed and when. Offer a one-route trial the same week, and note the date the existing contract is reviewed.
- Travel agent or event planner on WhatsApp
- Log the agent, the date, the group size and the destination. Reply with the vehicle photograph, seats and an all-in rate, and ask whether the client is fixed or comparing.
- A family or group searching on Maps
- Record the call hour, the occasion and the pick-up point. Ask for the date and headcount in the first message, then quote the vehicle that fits, not the dearest.
- School or college inviting quotations
- Log the institution, the contact, the number of routes and the closing date. Check route lengths, driver rules and attendant requirements before you quote.
- Overflow from a larger operator or aggregator
- Record who sent it, the vehicle asked for and the rate they pay. Note whether the arrangement is a one-off or recurring, so you know how much of the fleet depends on them.
Who it is for
This is written for these fleet operators.
- Employee transport providers for IT parks and offices
- Factory shift transport contractors
- School and college bus contractors
- Tempo traveller and mini-bus operators for tours, weddings and pilgrimages
- Coach operators for group travel and company offsites
- Chauffeur-driven cars rented by the month to companies
- Airport transfer and corporate cab fleets
- Dedicated delivery fleets for e-commerce and FMCG
Not for
It is not the right fit if.
- Enquiries still go only to drivers' phones and nobody writes them down, so more reach would add calls you cannot track or answer.
- You have no vehicle free to accept a new route or a booking, and a new enquiry would have to be declined.
How it works
How the lead generation work runs
The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.
- 1
Understand your capacity
We ask how many enquiries your team can answer well, who answers after hours, and what a good enquiry looks like. Without this, the system fills a funnel nobody is watching.
- 2
Audit current sources
We read your call log, WhatsApp chats, enquiry sheet and platform dashboards. The baseline is recorded: enquiries by source, reply time, conversion and cost per order.
- 3
Strategise the channel mix
Search and maps are chosen for people ready to buy, ads for people who are not yet looking, and content and referrals for trust.
- 4
Implement capture and follow-up
Pages, forms, tags, the lead record and the first-reply message are built and tested end to end. We submit test enquiries ourselves before any media money is spent.
- 5
Measure and optimise
Enquiries are traced to source and judged by what became orders, not by volume alone. Channels that fill the sheet with poor enquiries are cut back. How often you are reported to is agreed in writing.
Where this fits
Three pieces of sales work, in this order.
This work sits inside sales process design, at stage 1, prospecting and lead generation. The audit comes before it, and sales management keeps it running.
Step 1
Sales audit
Find where deals are being lost and what to fix first.
Start here if you cannot say where orders are lost.
Step 2 · you are here
Sales process design
One written way to sell, from first enquiry to repeat order.
Start here if every salesperson sells differently.
Step 3
Sales management
A target, a review routine and someone who owns the number.
Start here if the team has targets and no routine.
