Institutional food suppliers · Email marketing

Send the purchase head a rate sheet with a date on it, not a festival greeting.

Email marketing for an institutional food supplier means sending rate sheets, availability notes and document packs to the purchase managers, wardens and stores offices who asked to hear from you. GullySales sets up the list, the sender and the layout, and tells you honestly which of your buyers read email and which only answer WhatsApp.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For institutional food suppliers

Where it usually goes wrong, and what we would do.

  • “The chef lives on WhatsApp, the purchase office on email”

A kitchen manager will not open your mail, but a corporate admin team or a hospital stores office files quotations and invoices by email. Know which of your buyers sits where.

  • “A rate sheet is stale as soon as it is sent”

Vegetable and egg rates move, and the PDF from last time is the one a buyer quotes back. Put a validity date at the top and send a new one when it changes.

  • “The statement of account is your most-read mail”

A purchase office opens it every time it pays. Your contact and one line about new items belong there, not only in a campaign.

What we do

What we deliver for institutional food suppliers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A sender identity on your own domain

A named person at your company address, a clear signature with licence and GST details, and a reply path that reaches someone.

Result: Corporate and hospital filters let your mail through.

  2. A rate-sheet layout that buyers can file

Validity date, item, grade, pack, rate, GST line, order cut-off and delivery hour, in a form that opens on a phone.

Result: A purchase office can compare you on one page.

  3. Lists by kind of buyer

Hostels, canteen contractors, caterers, hospital stores and hotels held separately, each address marked with where it came from.

Result: A hostel does not receive the note meant for a caterer.

  4. A document pack sent as links

Licence, GST, past supply letters you may share and bank details, linked rather than attached.

Result: Tender and onboarding requests are answered from one place.

  5. Availability and season notes

A short mail to the kitchens that buy an item when it is short, in season or substituted.

Result: Kitchens hear about a shortage from you before the van arrives.

  6. Reporting on replies and orders

Which mails brought a reply, a rate request or an order, against the baseline recorded when work starts.

Result: You know which buyers act on email and which do not.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What a food supplier needs before mailing purchase managers, wardens and stores offices.

Where each address came from
Write beside each address whether it came from a quotation, a trial order, a visit card or a tender document. India's data protection law and mail platform rules change, so check with your adviser before mailing anyone who did not ask.
A sender on your own domain
Mail from a named person at your company domain, not a free webmail address. Corporate and hospital mail systems are stricter than a personal inbox.
A way to stop the mail
Put an unsubscribe line in every message and act on it the day it arrives. A purchase head who cannot stop your mail will report it as spam.
Separate lists by kind of kitchen
Keep hostels, canteen contractors, caterers and hospital stores apart. A hostel has no use for the function-season note a caterer wants.
A reply that reaches a person
Send from an address someone reads and answers. A rate query that lands in an unwatched inbox is a lost trial order.
Documents as links, not heavy files
Link the licence copy and rate sheet. Many corporate systems block large attachments, and the rate never arrives.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the email marketing work runs

  1. 1

    Understand your list

We review who is on the list, how they got there, and how long it has been since they last heard from you.

  2. 2

    Audit past sends

We check open and click rates from past emails to see what has and has not worked.

  3. 3

    Segment and plan

The list is split into meaningful groups and a sending calendar is agreed.

  4. 4

    Implement content and automation

Emails are written, scheduled and, where useful, set to trigger automatically based on behaviour.

  5. 5

    Measure and optimise

We track performance and adjust subject lines, timing and content based on what the list responds to.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we buy an email list of hostels and canteens?
Do not. Bought addresses are often old, belong to staff who left and never asked for your mail, and a spam complaint can damage your domain. Build the list from quotations, visits and tender contacts, and keep the source against each name.
Is a newsletter better than one-to-one rate mails?
For a kitchen that buys from you, the one-to-one rate mail is the one read. A newsletter suits wide lists of caterers and contractors you want to stay known to. Start with the rate mail and add a newsletter only if you have something new to say.
Why do our rate sheets land in spam?
The usual causes are a free webmail sender, a heavy attachment, a list of strangers or no way to unsubscribe. Fix the sender and send the sheet as a link, and ask the buyer to add your address to the safe list.
Do we send the same mail to every kitchen?
No. A hospital stores office wants hygiene and packing, a caterer wants function-date availability, a hostel wants a steady slot. Write one version for each kind of kitchen and keep the rate sheet identical in layout.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
