DJs, musicians and live entertainers · Follow up systems

Answer every date enquiry, chase the quote and thank the host after the night.

A follow-up system for an artist is the set of replies and reminders sent after an enquiry, a quote, a booking and a performance. GullySales works on the sequence, the wording and who sends each message.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For DJs, musicians and live entertainers

Where it usually goes wrong, and what we would do.

  • “The first reply sets the tone”

A bride's cousin messages three artists on a Sunday night. The one who replies with a clip, an open date and a clear next step gets the conversation. The others never get a chance.

  • “A quote that goes quiet may still be live”

A family may be waiting on a relative's approval. A polite check with a specific question keeps the artist in the conversation without pressure.

  • “The confirmation message prevents confusion”

A message with the date, venue, timings, set format, sound needs and advance received removes doubt before the day. It also gives the host something to forward to the venue.

  • “After the night is when the next booking starts”

A thank-you with a request for a review reaches the host while the evening is fresh. A guest who saw the artist at the event may ask for a card or a link.

What we do

What we deliver for DJs, musicians and live entertainers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A reply template for date enquiries

A message with a clip, rate approach, open dates and the next step.

Result: The first reply is clear and prompt.

  2. A quote follow-up sequence

Messages that check on a quote at sensible points and stop once the host says yes or no.

Result: A quote does not sit unanswered.

  3. A booking confirmation message

A message that records date, venue, timings, format, sound needs and advance.

Result: Host and artist hold the same facts.

  4. A thank-you and review request

A short note after the event with a link for a review.

Result: Happy hosts are asked at the right moment.

  5. Ownership and reminders

A named person for each message, with a reminder.

Result: No follow-up depends on memory.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

Moments between an enquiry and a thank-you that need a message.

First reply to a date enquiry
A message that confirms the date is free, asks two questions about the crowd and the venue, and says when the quote will arrive. Sent by the artist in their own voice.
Quote sent
The quote with what is included, the hold date and the advance. A short follow-up mentions that the date is held until a stated day.
Advance received
A confirmation message with the date, the venue, the call time and a contact for the day. Stops confusion on the night.
Day before the event
A message to the host or planner with the arrival time, the sound check and a number to call. Confirms the stage and power supplied by the venue.
After the night
A thank-you with a request to share a photograph or a line, only if the host agrees, and a note on your next open dates.

Who it is for

This is written for these DJs, musicians and live entertainers.

  • Wedding DJs for sangeet, baraat and reception nights
  • Live bands for weddings, corporate events and restaurants
  • Classical, ghazal and Sufi musicians for private concerts
  • Instrumentalists, singers and playback artists for events
  • Emcees, anchors and wedding hosts
  • Stand-up comedians and mimicry artists
  • Folk and regional artists for cultural programmes
  • College-fest and club DJs

Not for

It is not the right fit if.

  • You cannot reply the same day and would promise a reply you cannot send
  • You have no written terms for the advance, and a follow-up chasing money needs the terms to point to

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How soon should I reply to an enquiry?
As soon as you can, since the first clear reply shapes the booking. GullySales sets no timetable for you. A good reply with the key facts matters more than a hurried one.
How many times do I chase a quote?
Two or three polite messages with a clear question each. After that, leave the door open and stop.
Can I ask a host to recommend me to a friend?
Yes, politely, after the event, when they are happy. Do not offer payment or a discount for referrals.
What if a host says yes but never pays the advance?
Hold the date only until the day stated in the quote, then release it and tell the host plainly. An unpaid date blocks work you could take. A written line on the hold date in the quote makes the release fair, and the record shows why it lapsed.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.

Your next practical step
