Event décor companies · CRM

Keep every enquiry, date and quote in one record the whole crew can read.

A CRM for an event décor company is the shared record of every enquiry, the event date, the quote sent and the next call. GullySales works on setting up that record to fit how your enquiries arrive by phone and WhatsApp and how your team actually works.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For event décor companies

Where it usually goes wrong, and what we would do.

  • “The calendar and the enquiry sheet are separate”

A date promised on a call lives in one head and the booked events in a notebook, so two families are given the same date. A record that ties the enquiry to the event date and a hold on the crew stops that.

  • “A quote is a stage, not an ending”

Enquiry, site visit, quote, revised quote, advance and booked are different positions. Without stages, you cannot tell which families are waiting for the crew and which the crew is waiting for. The stage names should match how your team already talks.

  • “Revisions change the number, not the lead”

Guest counts and flower choices shift. A record that holds each version of the quote with its date keeps the discussion honest and shows what the family asked for at each step. The stage names should match how your team already talks.

  • “Planners and venues are accounts, not leads”

A planner who sends several events a year needs a different view from a family booking once. Tracking the planner, the halls and the jobs sent turns a contact list into a relationship record. The stage names should match how your team already talks.

What we do

What we deliver for event décor companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A pipeline built on your stages

Enquiry, visit, quote, advance and booked, named the way your team talks, with a clear rule for moving a card forward.

Result: Every open enquiry sits in one named stage.

  2. A single enquiry card

Name, buyer type, date, venue, guest count, budget range, source and next call on one page.

Result: Anyone on the team can pick up the card and know where it stands.

  3. A date and crew hold

A record of which dates are held, for whom and until when, kept beside the booked events.

Result: A date is not offered to two families.

  4. Saved quote versions

Each version of a quote kept with its date and the change that caused it.

Result: You can show a family what changed between quotes.

  5. Planner and venue accounts

A view of each planner and hall with the jobs done, the leads sent and the last contact.

Result: You can see which planners have not sent work in a while.

  6. A walk-through for the people who answer

A short session for whoever handles calls and WhatsApp, so every enquiry is entered the same way.

Result: Cards from different people look the same.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

Fields worth keeping

Fields a decor team needs on every enquiry and event.

Event date and muhurat
Sales fills it at the first call. It ties the enquiry to the crew calendar, so a double booking shows at once.
Venue and hall access
The site supervisor fills load-in time, power points and ceiling limits after the visit. It prevents design changes late in the week.
Design version and quote version
Sales saves each revision with its date. The family's last approved number is then one click away.
Advance received and balance due
The accounts person fills it. A set is not held for a date until the advance shows.
Planner or venue account
Sales links each job to the planner or hall that brought it, so repeat sources are visible.

Who it is for

This is written for these event décor companies.

  • Wedding décor and mandap specialists
  • Floral decoration studios working with fresh flowers
  • Theme and concept décor companies for birthdays and baby showers
  • Corporate event and product launch décor teams
  • Entrance gate, aisle and pathway decoration firms
  • Lighting-led décor companies for sangeet and reception nights
  • Festival and temple décor teams for Ganesh Chaturthi, Navaratri and Diwali
  • Décor sub-vendors who supply planners and venues

Not for

It is not the right fit if.

  • You do a few events a month and can see each on a wall calendar, so a record system would add typing.
  • The owner takes every call and no one else will update the record.
  • You have not decided what an advance secures, and the field would show confusing amounts.

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We sit with the people who sell and write down how a deal moves from enquiry to payment, including where it stalls.

  2. 2

    Agree stages, fields and owners

Each stage gets a name your team already uses and a proof that the deal has left it. We agree which fields are required at which stage, and who may change what.

  3. 3

    Build on a copy

Pipeline, fields and views are built on a trial copy where the CRM offers one, or in a separate pipeline where the plan allows. Live work stays untouched.

  4. 4

Connect channels, then switch on automations

Channels are connected first. Each automation is then switched on separately, so a misfiring rule is easy to find.

  5. 5

    Test with real deals

The people who will use the CRM run open deals through it. Gaps are fixed before the whole team switches over.

  6. 6

    Switch over and trim

Once real use shows which fields stay empty and which stages nobody uses, those are cut and the handover record is updated.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Which CRM should we use?
The one your team will open. A spreadsheet can serve a small crew, and a CRM app suits a larger one. Zoho CRM and HubSpot are in ordinary use in India. We choose against your volume of enquiries and the people who will use it.
Can the CRM connect to WhatsApp?
Some tools connect through the WhatsApp Business API and others log chats by hand. Check the tool's and the platform's current rules and costs before choosing, and decide first which details you want captured from each chat.
Who should own the record?
One named person keeps it current, even if several people answer calls. Without an owner the record fills with half-entered cards and the crew stops trusting it.
Should the crew calendar sit in the same place?
Yes, link them. A hold on a date means a crew and stock are reserved, and a separate calendar drifts from the enquiry. Even a shared sheet that both read is better than two sources, as a clash at the muhurat is the costliest mistake.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
