Fire safety companies · CRM

Record the building, the system and the renewal date, not just the contact.

A CRM for a fire safety company is the single record of every enquiry, bill of quantities, installed system and contract date, held against the building. GullySales sets it up around your trade, so a refill call, a project quote and an AMC renewal sit in one file and nothing depends on one engineer's memory.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For fire safety companies

Where it usually goes wrong, and what we would do.

  • “The unit of record is the building”

A contact name tells you little once the facility manager changes. What lasts is the building: the systems installed, the last audit, the extinguishers on site and the date each falls due. A CRM built on contacts loses all of that when the person moves on.

  • “Quotes live in sent folders”

Each engineer sends bills of quantities from their own mailbox. When an owner calls to ask where the hydrant quote stands, nobody else can answer, and the person who sent it may be on a site with no signal.

  • “Dates are the revenue”

Every AMC end date, refill due month and hydro test is a future order sitting in a register. If those dates are in a notebook or a spreadsheet nobody opens, the renewal goes to whoever happens to call first.

  • “Sales and service need the same file”

The service engineer sees a corroded pump and the sales team never hears of it. When both read one record, a finding on site becomes a quote with the evidence already attached to the building.

What we do

What we deliver for fire safety companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A record structure that starts with the building

Each building holds its contacts, installed systems, extinguisher types and count, past quotes, service reports and the date each item next falls due.

Result: Open one file and see the whole building.

  2. Pipeline stages that match fire safety buying

Enquiry, survey booked, survey done, bill of quantities sent, with consultant, in purchase, order, handover and AMC, each stage with a named owner.

Result: Every quote shows where it is stuck.

  3. Fields for each decision-maker

The facility manager, purchase officer, consultant and owner recorded on each project, with the last contact against each.

Result: You can see who has not been spoken to.

  4. A register of renewals and due dates

AMCs, refills, hydro tests and audits loaded as dated tasks against each building, with a person assigned to call.

Result: What falls due is a screen, not a search.

  5. Service findings that become leads

A field on the service report for gaps seen on site, which creates a task for sales to follow up.

Result: A finding reaches the person who can quote it.

  6. Your existing history moved in

Quotes, customer lists and contract details brought in from spreadsheets and mailboxes, then checked with your team.

Result: You begin with your history, not an empty system.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

Fields worth keeping

The fields that tie each building to its systems and its renewal dates.

Building and type
Entered at the first call: school, factory, hospital or society. It decides which systems and which local rules apply.
System installed and make
From the engineer's survey note. It shows what you service and which upgrades the building may need.
Renewal or AMC date
The admin fills it from the contract. It gives you the list of renewals due, so your call comes before a rival's.
Decision-makers named
Contacts for facility, purchase, consultant and owner. Sales adds each as they appear on the thread.
Open findings from the last visit
Engineer notes such as a low gauge or a panel fault. They become a lead for repair or a fresh quotation.
Authority notice and date
If a notice prompted the call, record its date, so the quote is worked in the order the deadline sets.

Who it is for

This is written for these fire safety companies.

  • Fire protection system contractors for hydrants and sprinklers
  • Fire alarm and detection system integrators
  • Fire extinguisher dealers and refilling services
  • Fire audit and fire safety consultancy firms
  • Gas suppression and kitchen suppression specialists
  • Fire door, signage and passive fire protection suppliers
  • Fire safety training and mock drill providers
  • AMC-led maintenance companies for residential societies and commercial buildings

Not for

It is not the right fit if.

  • Engineers will not record findings and nobody else will, so the record would hold only contact names
  • Your contract dates sit in a paper register no one can search

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We sit with the people who sell and write down how a deal moves from enquiry to payment, including where it stalls.

  2. 2

    Agree stages, fields and owners

Each stage gets a name your team already uses and a proof that the deal has left it. We agree which fields are required at which stage, and who may change what.

  3. 3

    Build on a copy

Pipeline, fields and views are built on a trial copy where the CRM offers one, or in a separate pipeline where the plan allows. Live work stays untouched.

  4. 4

Connect channels, then switch on automations

Channels are connected first. Each automation is then switched on separately, so a misfiring rule is easy to find.

  5. 5

    Test with real deals

The people who will use the CRM run open deals through it. Gaps are fixed before the whole team switches over.

  6. 6

    Switch over and trim

Once real use shows which fields stay empty and which stages nobody uses, those are cut and the handover record is updated.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Which CRM should a fire safety company use?
One your team will actually open. We look at what you already use for mail, accounts and WhatsApp, then choose a tool in ordinary use in India that suits the size of your team. The structure you set up matters more than the brand.
Our engineers are on site and will not type into a system. What then?
Keep their entry short: a few fields and a photograph from the phone. We design the form for use standing in a pump room, and the office completes the rest from the service report.
Can the CRM hold client certificates and drawings?
Keep the service reports and quotes you issue. Hold a client's own certificates or drawings only where the contract allows, limit access to staff who need them, and check with your adviser on how long to retain them.
How does the record cope with a building that has systems on different contract dates?
Give each system its own line under the building, with its own service and renewal date. One date for the whole building hides the pump that is due while the panel is not. The renewal list then reads system by system.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
