Fish farms · Follow up systems

Ring the buyer back before the next pond is ready, not after.

A follow-up system for a fish farm is the set of reminders and messages that bring a past buyer, an enquirer or a visitor back when a harvest is due. GullySales works on who gets contacted, with what words and when you are reminded to do it.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For fish farms

Where it usually goes wrong, and what we would do.

  • “The next harvest is the best time to call”

A trader who bought catla last time listens best when you tell them the next lot is coming. Waiting for them to call hands the first offer to another farm.

  • “An enquiry with no reply is a lost buyer”

A hotel asks about supply and hears nothing back. By the time a reply comes the purchase manager has found another supplier and moved on.

  • “Unpaid balances need a polite reminder”

A trader who owes money is embarrassed to call. A short, courteous message stating the amount and the date asked for keeps the relationship intact and the money moving.

  • “A good lot deserves a thank you”

A message after delivery asking whether the size and the packing were right shows care, and gives you the feedback you need before the next harvest.

What we do

What we deliver for fish farms.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A harvest-ready message

A fixed note sent to past buyers when a pond is about to be netted, stating species, size, quantity and date.

Result: A message that goes to the same list every time.

  2. An enquiry reply rule

Who answers a new enquiry, what they say first and where it is noted.

Result: A single written rule so no enquiry is left waiting.

  3. A payment reminder script

A courteous message for a balance due, with the amount and the agreed date.

Result: A script you can send without awkwardness.

  4. A post-delivery check

A short question after each lot asking about size, condition and timing.

Result: A line of feedback recorded against each buyer.

  5. A reminder calendar

Dates when a call is due to a hotel, a processor or a returning household.

Result: A list of calls to make on named dates.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

The messages a fish farm sends around each harvest.

Harvest window notice
A message to past buyers naming the pond, the species and the week the farm expects to harvest. Send it with enough time for the buyer to arrange a vehicle.
Enquiry with no reply
A reply to a caller who rang and left no booking, asking what size and quantity they need. A buyer who hears nothing calls the next farm in the district.
Lift confirmation the day before
A message restating the time, the quantity and who brings ice and crates. Missed lifts come from a detail assumed and never said.
Payment due reminder
A polite note quoting the weighment slip, the amount and the date promised. Write to the person who pays, which may not be the person who ordered.
Thank you after a good lot
A short message after delivery asking whether the size and packing suited. The reply shows what to change before the next buyer is offered the same pond.

Who it is for

This is written for these fish farms.

  • Freshwater pond farms growing rohu, catla and mrigal
  • Pangasius and tilapia farms selling to processors and wholesalers
  • Cage culture units in reservoirs and large water bodies
  • Farms growing murrel, magur and other air-breathing fish
  • Fish farmers' groups and societies selling together
  • Farms with a pay-and-catch pond or a farm-visit weekend
  • Integrated farms with a fish pond beside paddy, poultry or dairy
  • Farms that supply table-size fish to hotels and caterers

Not for

It is not the right fit if.

  • You do not keep the phone numbers of past buyers, and there is no one yet to send a harvest notice to
  • The family has no one to answer replies at harvest time, so a message would bring calls that go unanswered
  • You would message every number in the phone with the same notice, including people who never bought fish

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can this be automated?
Parts of it can. Reminders and harvest notices can be scheduled, but the call to a large buyer should stay personal. We separate the messages a tool may send from the ones the owner should make.
When should we message buyers?
Message when you have something to say, such as a harvest, a rate or a new size. A message with no news teaches buyers to ignore you, so keep each one useful and short.
Why does a fish farm need to follow up before a lift?
Fish cannot be held in the pond past their size or kept after harvest, so a lift that falls through is a loss the farm carries. A confirmation message the day before settles the vehicle, the ice and the quantity while there is time to find another buyer.
Can the harvest notice be automated?
A saved message and a list can send it to past buyers, but the booking reply must be a person. The pond's harvest date moves with weather and growth, so the owner confirms each notice before it goes. A notice sent for a pond that is not ready costs the farm its credibility.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.

Your next practical step

Tell us what you are trying to grow, and we will read it before we call.

Eight short steps, mostly taps. Skip anything you would rather answer on the call.
