Franchise systems · Email marketing

The candidate who said not this year is still on your list.

Email does three jobs for a franchisor. It works the candidate list through a decision that takes months, it keeps franchisees using what the fund pays for, and it reaches customers unit by unit. GullySales runs all three and settles who owns the customer data when a unit changes hands.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For franchise systems

Where it usually goes wrong, and what we would do.

  • “Old enquiries are the cheapest deals in the system”

Candidates from a year ago mostly did not say no, they said not yet. Almost nobody works that list, and it is already paid for.

  • “Franchisee communication is marketing too”

An owner who does not know what the fund is running cannot support it, and the annual conference is where that silence becomes an argument.

  • “Customer data ownership gets decided at a transfer, badly”

A unit changes hands and the customer list is on a departing owner's laptop. The agreement should have settled that years earlier.

What we do

What we deliver for franchise systems.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. The old candidate list rebuilt and worked

Enquiries from the past two years recovered from portals, inboxes and spreadsheets, cleaned, and approached with a reason to talk again.

Result: Deals come out of a list you already paid for.

  2. A nurture sequence for a long decision

Dated messages across months rather than weeks, each carrying one honest answer, with a call scheduled at the points that matter.

Result: Candidates who were not ready in March are still there in October.

  3. A franchisee update that gets read

A short regular note saying what the fund is running, what it produced per unit and what owners need to do this month.

Result: Adoption rises and the conference gets easier.

  4. Per-unit customer email run to one standard

Templates, sending and consent handled the same way at every location, with the local offer and address filled in.

Result: Customers hear from every unit rather than from the organised ones.

  5. Consent and data ownership settled in writing

How customer data is collected, where it is held and who keeps it at a transfer, documented with your counsel before the next one happens.

Result: A change of owner does not lose the customer list.

  6. Reporting on signings and bookings from email

Replies, discovery day registrations and signings on the development side, and bookings per unit locally, against the starting baseline.

Result: The list is judged on units sold and diaries filled.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What a franchisor needs in place before it emails candidates, franchisees and customers.

Three lists with three consent records
A candidate who enquired, a franchisee who signed and a customer of a unit each agreed to different things. Record the source and purpose for each and never merge them.
Candidate data from the enquiry form
Note the date, the city the candidate wants and the capital they stated. A candidate from long ago may have changed circumstances, so write to ask, and remove them if they say no.
A franchisee mail the fund can justify
Franchisees contribute to a marketing fund. Use the mail to show what the fund paid for and how to use the materials. Do not use it to push extra sales targets in the same message.
A customer data rule written into the agreement
Decide who owns a unit's customer list and what happens when a unit is sold. State it in the franchise agreement, and have a lawyer check it. Customers expect consent to follow them.
Disclosure documents ready to send
Franchise promotion must not mislead on earnings. Keep your disclosure document and costs in a file, and send it only to candidates who have asked. Do not state profit levels in a mailer.

Who it is for

This is written for these franchise systems.

  • Emerging franchisors under twenty-five units
  • Established systems adding units in new states
  • Food and beverage franchise systems
  • Home services and residential franchise brands
  • Health, fitness and wellness studio franchises
  • Childcare, tutoring and education franchises
  • Senior care and staffing franchise systems
  • Multi-unit and area developer models
  • Franchisors relying on a broker network for most deals

Not for

It is not the right fit if.

  • Candidate records have no source or consent noted, so old enquiries cannot be emailed with confidence
  • The customer data collected by units is held by the franchisees and its ownership is not agreed, so a joint email list is not yours to use
  • You have no content for a candidate who said not this year, and a bulk email would repeat the first pitch

How it works

How the email marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand your list

We review who is on the list, how they got there, what they agreed to, and how long since they last heard from you.

  2. 2

    Audit past sends

We read past campaign reports, your sending domain settings and any spam complaints to see what has and has not worked.

  3. 3

    Segment and plan

The list is split into groups and a sending calendar is agreed, with a rule for unsubscribes and quiet addresses.

  4. 4

    Write and set up

Emails are written, checked and scheduled in your email tool. Welcome and nurture emails are set to send on a trigger where that fits.

  5. 5

    Measure and adjust

We read clicks, replies, enquiries and complaints by segment, and change subject lines, timing and content to match.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we email a candidate who enquired eighteen months ago?
For email, where they opted in and can still stop it. Calling and texting carry stricter rules and vary by state. Your counsel should set the standard, and we scrub the list before anything is sent.
Who owns the customer list, us or the franchisee?
Your franchise agreement decides it, and many are vague. Settle it in writing before the next transfer, because at the moment the practical answer is whoever holds the login. Your counsel should draft the position.
Can we email a candidate who enquired a long time ago?
Yes, once, if they gave their address for franchise information. Say who you are, what has changed and ask whether they still want to hear. Remove them if they do not reply. Do not send income examples.
What should an email to a candidate who said not this year contain?
A fresh reason to look again, such as an open territory in their city or a new unit, and nothing that repeats the first pitch. Franchise candidates return when their own timing changes, so make it easy to reply with a date and to opt out.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.

Your next practical step
