RO water purifier dealers · CRM

One register that knows every unit you installed and when its filter is due.

A CRM for an RO dealer is a single record of every enquiry, quote, installed unit and service date, kept somewhere the whole shop can open. GullySales works on choosing a tool the shop will use and setting it up around the filter calendar.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

Water purifier dealers: show a real physical business scene illustrating Installation record with water source. Record model, serial, installation date, water source and the TDS reading taken that day against every customer.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For RO water purifier dealers

Where it usually goes wrong, and what we would do.

  • “The register is the business”

A dealer's lasting asset is the list of installed units with model, address and last service. When that list lives in one person's phone or a notebook, the shop loses it the day that person leaves.

  • “Quotes and installations are different records”

A family that asked for a quote is a prospect, and a family with an installed unit is a customer with a service clock. Keeping them in one column hides both who to chase and who is due.

  • “The tool has to suit the counter”

A heavy system the staff avoid is worse than a clean sheet they fill in. Shops in India run on Google Sheets, Zoho CRM or the WhatsApp Business app, and the right one is whichever the technician actually opens.

  • “Brand leads and walk-ins need one home”

A lead from the manufacturer, a call from a map and a walk-in at the counter should land in the same list. Otherwise the shop reports sales from one source and forgets the others.

What we do

What we deliver for RO water purifier dealers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A register of installed units

Customer, address, model, install date, last service and next filter date for every unit sold.

Result: Each installation has one row that anyone at the counter can look up.

  2. A quote pipeline

Stages from enquiry to quote to demo to order, with the next action and the person responsible.

Result: Every open quote shows who must call next.

  3. A tool chosen with your staff

A comparison of the sheet, a simple CRM and the WhatsApp Business app, ending with one the team agrees to use.

Result: The shop uses the tool, not just owns it.

  4. Import of your existing records

Your notebooks, invoices and phone contacts cleaned and loaded into the register.

Result: The old customers are in the list from the start.

  5. A short guide for the counter

One page on how to log a call, a quote and a service visit.

Result: A new employee can keep the register correctly.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

Fields worth keeping

The fields a purifier dealer needs on every installed unit and open quote.

Installed model and date
Filled by the technician at the visit. It lets you plan filter dates and answer a warranty call.
Address and society
Filled at billing. It lets you reach neighbours when one household recommends you.
Water source
Borewell, tanker or municipal, noted on the first visit. It guides the unit and the next service.
Next filter or membrane date
Set by the technician. It drives the reminder message, so the family hears before the unit fails.
Quote status and who follows up
Open, won or lost, with a named person. Without it a quote sits and a rival closes the sale.
Service contract end date
Entered at sale. It shows which contracts lapse so a call goes out before the date.

Who it is for

This is written for these RO water purifier dealers.

  • Single-shop RO dealers selling two or three brands
  • Authorised dealers for one purifier brand
  • Dealers who also sell water softeners and geysers
  • Service-led dealers with a small technician team
  • Dealers serving apartment complexes and gated communities
  • Commercial RO suppliers for offices, canteens and schools
  • Dealers in towns with borewell or brackish water
  • Home appliance shops where RO is one counter among several

Not for

It is not the right fit if.

  • Staff will not enter a unit at the counter, so the register would miss half the installations.
  • You have only a few customers a month, so a notebook with dates would do the same work.
  • Your old records are on slips and cards that cannot be traced, so the register would start with no history.

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We sit with the people who sell and write down how a deal moves from enquiry to payment, including where it stalls.

  2. 2

    Agree stages, fields and owners

Each stage gets a name your team already uses and a proof that the deal has left it. We agree which fields are required at which stage, and who may change what.

  3. 3

    Build on a copy

Pipeline, fields and views are built on a trial copy where the CRM offers one, or in a separate pipeline where the plan allows. Live work stays untouched.

  4. 4

Connect channels, then switch on automations

Channels are connected first. Each automation is then switched on separately, so a misfiring rule is easy to find.

  5. 5

    Test with real deals

The people who will use the CRM run open deals through it. Gaps are fixed before the whole team switches over.

  6. 6

    Switch over and trim

Once real use shows which fields stay empty and which stages nobody uses, those are cut and the handover record is updated.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Do we need paid software?
Not necessarily. A well-kept sheet serves a single shop, and we move to a CRM when the volume of quotes and contracts needs reminders and reports. Check each tool's current pricing before you commit.
Who owns the customer data?
The shop does. Keep a copy of the register where the owner can open it, and keep access limited to staff who need it. Customers' phone numbers should be used only for service and offers they expect.
Can the register send reminders itself?
A few tools can, and a sheet can be paired with a reminder routine. We set the reminder text and the due-date rule, then check that messages go to the right customers.
What if the family does not want to share a phone number?
Respect it and record the address and the model instead. You cannot send a reminder without consent to message them, so offer a visit card with the next service date. Do not take a number for one purpose and use it for another.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
