Sound and lighting rental companies · Lead generation

Get the rig enquiry before the planner has called three other suppliers.

Lead generation for a sound and lighting rental company means giving event managers, DJs, colleges and families a clear route to ask for your rig on a given date. GullySales works on the sources, the enquiry form and the record that shows which source brought a booked event.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What lead generation means

Lead generation is the combined work of every channel that brings in a new enquiry, whether from search, adverts, referrals or a stall at an exhibition. GullySales runs these channels together and reports the number of enquiries each one produced, not the activity behind it.

For sound and lighting rental companies

Where it usually goes wrong, and what we would do.

  • “The buyer asks about a date, not a product”

Someone who needs a PA for a sangeet is not browsing. They hold a date and a venue, and they message whoever answers first with a gear list. Lead generation here is built around the date question, so every enquiry route asks for date, venue and crowd size.

  • “Planners are a source, not only a customer”

A wedding planner who rents your rig for a client also tells the next client who supplied it. Planners, DJs and hall managers send repeat work, so they need their own list and their own way of reaching you, apart from walk-in callers.

  • “Search, Maps and Instagram each bring a different caller”

A Maps call is a family wanting a local function. A search for line array rental is a production manager. An Instagram message is a DJ who liked a stage photo. Each source needs its own reply and its own tag in the record.

  • “Peak dates make some leads unwelcome”

Taking every enquiry for the busiest Saturday fills the inbox with work the crew cannot cover. Lead generation should push harder on the dates you have stock and crew for, and say plainly when a date is gone.

What we do

What we deliver for sound and lighting rental companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. An enquiry form built around the date

Date, venue, crowd size, event type and indoor or outdoor are asked up front, so the first reply can be a real answer.

Result: Each enquiry arrives with the details a gear list needs.

  2. Source tagging on every call and message

Maps calls, WhatsApp forms, planner messages and walk-ins are logged by source from the first contact.

Result: You can read which route brought each confirmed booking.

  3. Package pages for the event types you serve

Wedding, fest, conference and outdoor concert pages that describe the rig and the operator, so a search lands on the right page.

Result: A searcher for your event type reaches a page that matches it.

  4. A planner and DJ introduction

A short written note with gear lists by crowd size, sent to agencies, DJs and hall managers you want as repeat sources.

Result: The people who pass on your name hold something to pass on.

  5. A lost-enquiry list

Every enquiry that did not book is listed with the reason, such as stock out, price, or no reply.

Result: You can see whether you lost on stock, price or speed of answer.

How the result is measured

  • Enquiries generated
  • Cost per enquiry
  • Enquiries by source

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

What to record on the first message so the date and the rig are clear.

Event date and any second date
Ask for the date and a fallback date before anything else. The date is checked against the availability sheet, and a buyer with a flexible date is a different job from one with a fixed muhurat.
Venue and load-in access
Record the hall, lawn or ground, the floor, the stage size and whether a vehicle can reach the door. It decides crew, truss and the cable run, and some venues bar certain rigs.
Crowd size and kind of event
A sangeet, a corporate conference and a college fest need different rigs. Note guest count and event type so the quote starts from a rig that fits.
Who is paying and who is deciding
Record whether the caller is the planner, the family host or a coordinator, and who approves the budget. It tells you whom to follow up with.
Where the enquiry came from
Tag search, Maps, Instagram, a planner or a DJ. After a season the tags show which source brought booked events and which only brought price checks.

Who it is for

This is written for these sound and lighting rental companies.

  • PA and line array sound rental houses
  • Stage and architectural lighting rental companies
  • DJ equipment and console rental firms
  • Sound, lighting and truss package providers for weddings
  • Concert and festival production rig suppliers
  • Corporate AV and conference sound suppliers
  • Church, temple and community hall sound hirers
  • Generator-backed outdoor event sound and light suppliers

Not for

It is not the right fit if.

  • Your rig is booked on most peak weekends already, so more enquiries would only mean turning people away on the dates they want.
  • You have no one to answer a call or message within the day, and a buyer waiting for a reply books the next supplier.
  • You have not yet written a gear list for any package, so a lead would get an improvised quote that you cannot repeat.

How it works

How the lead generation work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand your capacity

We ask how many enquiries your team can answer well, who answers after hours, and what a good enquiry looks like. Without this, the system fills a funnel nobody is watching.

  2. 2

    Audit current sources

We read your call log, WhatsApp chats, enquiry sheet and platform dashboards. The baseline is recorded: enquiries by source, reply time, conversion and cost per order.

  3. 3

    Strategise the channel mix

Search and maps are chosen for people ready to buy, ads for people who are not yet looking, and content and referrals for trust.

  4. 4

    Implement capture and follow-up

Pages, forms, tags, the lead record and the first-reply message are built and tested end to end. We submit test enquiries ourselves before any media money is spent.

  5. 5

    Measure and optimise

Enquiries are traced to source and judged by what became orders, not by volume alone. Channels that fill the sheet with poor enquiries are cut back. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 1, prospecting and lead generation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Should we chase every enquiry that comes in?
No. Enquiries for dates when stock and crew are committed take time away from enquiries you can serve. We help you sort them and write a polite decline that keeps the planner for the next date.
Which source is worth more, search or planners?
The record answers that for your city. Planners bring repeat work and search brings first-time callers, but the booked-event record in your own sheet is the evidence to follow.
Do we need paid ads for lead generation?
Not as a starting point. Maps, package pages and planner outreach cost effort, not media spend. Ads suit the weeks before the dates you want to fill, and we set them up only when the record shows room for more work.
What if the venue restricts speaker levels or has fixed in-house sound?
Ask the venue before quoting, and tell the buyer what you learn. Some halls and temple grounds limit sound or require their own operator, so a rig quoted without that check may have to be changed late. Write the venue's answer into the enquiry record.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
