Law firms · CRM
Keep every consultation enquiry on record from the first call to the engagement letter.
A CRM for a law firm is a shared record of each enquiry, referrer and consultation, so that nothing lives only in one lawyer's phone. GullySales sets up the fields, stages and reminders around how your firm takes enquiries, and keeps client confidences out of the marketing record.
Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means
A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.
Last updated 17 Oct 2026. Rules for this trade differ by state and professional body, and they change. We describe restrictions in general terms, so check the current position with your own council or adviser before you publish anything.
For law firms
Where it usually goes wrong, and what we would do.
“Enquiries arrive in three places and are stored in three more”
The phone rings at reception, a WhatsApp message lands with a partner and a form goes to a shared inbox. Without one record, nobody can say how many enquiries came in or which of them received a reply.
“An enquiry record is not a matter file”
The CRM holds who asked, about which practice area, from which source and what happens next. Privileged facts, case documents and strategy belong in the matter file under your own confidentiality rules. Mixing the two exposes client detail to anyone with access to the sales record.
“A lost enquiry teaches more than a won one”
When a person does not retain the firm, the reason is worth a single field: fee, wrong practice area, outside jurisdiction, chose another firm, or no reply from us. Over time that list shows whether the problem lies in pricing, in the pages or in the response.
“Referral sources need a field of their own”
Chartered accountants, company secretaries and other advocates send matters for different reasons. A source field tells you which relationships bring work worth keeping, and when a referrer has gone quiet and deserves a call.
What we do
What we deliver for law firms.
Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.
Enquiry stages for a law firm
A short run of stages such as new enquiry, replied, consultation booked, consultation held, fee note sent, retained and closed, each with a clear meaning.
Result: Anyone at the firm sees where an enquiry stands.
Intake fields that respect confidentiality
A form capturing name, contact, practice area, source and urgency, with no box for the facts of the dispute.
Result: The record holds enough to follow up and nothing privileged.
Source and referrer tracking
A required field for how the person found the firm and, where a professional referred them, who.
Result: You know which relationships and pages bring real enquiries.
Reminder rules for the next step
A reminder attached to every open enquiry so a consultation fee note or a pending reply does not sit forgotten.
Result: No open enquiry is left without a named next step.
Access and ownership rules
A note stating who may see, edit and export the records, with each lawyer seeing what the work requires.
Result: Access follows a written rule, not habit.
Set-up in a tool you will use
A set-up in Zoho CRM, HubSpot or a carefully kept shared sheet, whichever the firm will keep updating.
Result: The firm updates the record because the tool suits how it works.
How the result is measured
- Enquiries logged in the CRM
- Data completeness
- Reports generated from CRM data
Recorded as a baseline before work starts, so every later report has an honest comparison.
Fields worth keeping
A few fields on each enquiry keep the consultation record usable.
These are enquiry fields, not matter-file fields. Privileged facts stay in the matter file under the partner's control.
- Practice area of the enquiry
- Filled by whoever takes the first call. It lets a partner see which areas bring in enquiries and which bring in engagements.
- Court or forum named
- Filled when the person mentions the notice or case. It routes the enquiry to the lawyer who appears there and shows where demand sits.
- Source of the enquiry
- Chosen from a short list such as referral, directory or website. It shows which relationships and listings send people who sign on.
- Conflict check cleared
- Ticked by the lawyer before a consultation is confirmed. It stops the firm from meeting a person it may not act for.
- Referrer's name
- Filled when another professional sent the person. It lets the firm thank the referrer and see which relationships are active.
- Reason the enquiry did not engage
- Filled by the partner after a consultation that ended without a retainer. It is the record the firm learns from.

Not for
It is not the right fit if.
- Enquiries reach one person who already remembers each of them, so a system would add typing and no insight.
- You plan to store privileged case facts in the CRM, which is the wrong place for them.
- Nobody will fill the fields after a call, and an empty record is worse than a paper register.
How it works
How the CRM work runs
The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.
- 1
Map the sales process
We sit with the people who sell and write down how a deal moves from enquiry to payment, including where it stalls.
- 2
Agree stages, fields and owners
Each stage gets a name your team already uses and a proof that the deal has left it. We agree which fields are required at which stage, and who may change what.
- 3
Build on a copy
Pipeline, fields and views are built on a trial copy where the CRM offers one, or in a separate pipeline where the plan allows. Live work stays untouched.
- 4
Connect channels, then switch on automations
Channels are connected first. Each automation is then switched on separately, so a misfiring rule is easy to find.
- 5
Test with real deals
The people who will use the CRM run open deals through it. Gaps are fixed before the whole team switches over.
- 6
Switch over and trim
Once real use shows which fields stay empty and which stages nobody uses, those are cut and the handover record is updated.
Where this fits
Three pieces of sales work, in this order.
This work sits inside sales management. A target, a review routine and someone who owns the number.
Step 1
Sales audit
Find where deals are being lost and what to fix first.
Start here if you cannot say where orders are lost.
Step 2
Sales process design
One written way to sell, from first enquiry to repeat order.
Start here if every salesperson sells differently.
Step 3 · you are here
Sales management
A target, a review routine and someone who owns the number.
Start here if the team has targets and no routine.
