Staffing agencies · CRM

Track every requisition from the first call to the last replacement.

A CRM for a staffing agency is the record of every client enquiry, requisition, deployment and renewal, kept apart from the candidate database and the payroll system. GullySales sets up the fields a staffing business needs, links them to the people who raise requisitions, and gets your account managers to keep it current.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For staffing agencies

Where it usually goes wrong, and what we would do.

  • “The candidate database is not the client record”

Most staffing software is built around CVs and attendance. The questions a sales head asks, such as which sites are growing and which renewals are due, live nowhere.

  • “A requisition is the unit, not the client”

One plant asks for loaders, then electricians, then a second shift. Logging the company once loses the pattern that tells you what to offer next.

  • “Renewal dates hide in signed PDFs”

The end date, the rate revision clause and the notice period sit in a scanned agreement. Nobody looks until procurement sends a fresh RFQ.

What we do

What we deliver for staffing agencies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Client and site records, linked

Each company with its sites, and each site with its HR, admin, procurement and gate contacts, so a change of person does not lose the account.

Result: Account knowledge survives a resignation.

  2. A requisition log with fill status

Every requisition with roles, headcount, start date, profiles sent, joined, early exits and replacements.

Result: You can show a client what you delivered against what was asked.

  3. Contract fields with renewal reminders

Start and end dates, rate revision clause, notice period and service charge basis entered from each agreement, with a reminder set well before the end date.

Result: Renewals start on your terms, not on procurement's RFQ.

  4. Enquiry sources a salesperson can pick

A short pick-list: procurement RFQ, site HR, facility manager, marketplace, tender portal, referral and associate introduction.

Result: You can see which source brings real sites.

  5. A read-only link to payroll and attendance

Headcount deployed and attendance pulled from the payroll or attendance system into the account view, without letting sales edit payroll data.

Result: Account reviews start from actual headcount.

  6. Training on the fields that matter

A short session agreeing what each account manager enters after a site visit or call, and a check of it in the sales review.

Result: The record stays true after the first fortnight.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to record, and when

What a staffing agency should record for every site and requisition, and whether it needs software yet.

Site, shift pattern and gate contact
Record the site address, the shifts you staff and who signs attendance at the gate. A requisition without the shift pattern puts the wrong people on the wrong bus.
Requisition with its wage basis
Log the roles, headcount, start date and whether wages follow the state minimum, a client wage sheet or a CTC. Note who raised it and whether a PO number exists.
Joined, left early, replaced
For each requisition, record who joined, who left in the first fortnight and why, and when a replacement reported. These lines are your evidence at renewal.
Contract end date and revision clause
Enter the end date, notice period and how the service charge is revised. Set a reminder early enough to prepare a delivery record before procurement opens an RFQ.
Lost RFQs and the reason
When a bid is lost, record the winner if known and the stated reason: rate, documents, references or timing. Read these before you cut your service charge.
Do you need software yet?
A shared sheet works while one person handles every client. Move to a CRM when several account managers share sites, or when renewals start slipping past unnoticed.

Who it is for

This is written for these staffing agencies.

  • General staffing for factories and warehouses
  • IT and engineering contract staffing, including contract-to-hire
  • Third-party payroll and compliance takeover
  • Facility staff for hospitals, hotels and tech parks
  • Retail promoters and FMCG merchandisers
  • Field sales and collections teams for banks and NBFCs
  • Apprentice and trainee staffing for plants
  • Event and seasonal temporary staff

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the crm work runs

  1. 1

    Map the sales process

We record how a deal actually moves from enquiry to close in your business today.

  2. 2

    Configure stages and fields

The CRM's pipeline and fields are built to match that process exactly, not a generic template.

  3. 3

    Set up automations

Reminders, assignment rules and follow-up triggers are configured so routine steps happen without manual effort.

  4. 4

    Test with real deals

We run the configuration against actual current deals to catch gaps before the whole team relies on it.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Our ATS already holds everything. Do we need a CRM as well?
Your ATS holds candidates and placements. It rarely holds sites, buying contacts, contract dates and lost RFQs. If it can carry those fields, use it; if not, add a light CRM and link the two by client code.
Account managers do not update the system. What works?
Run the sales review from the CRM screen and nothing else. If a site visit is not in the record, it is not discussed. Keep the required fields few, so an update takes a minute after each call.
Site HR sends requisitions on WhatsApp. How do we record them?
Copy each one into the CRM with the date, headcount and roles, and attach a screenshot where the wording matters. A WhatsApp chat on one manager's phone leaves the company when that manager does.
Who owns the client data if an account manager leaves?
The agency, provided the records sit in a company system and the employment terms say so. Today much of it lives on personal phones and personal LinkedIn. Move contacts into the CRM now, not during someone's notice period.
Should a staffing agency advertise on IndiaMART and JustDial?
Only with a screening script in place. These marketplaces bring plenty of manpower enquiries, but many are single-helper requests, job seekers and other agencies. Keep them if your record shows real sites coming from them, and judge them on headcount won, not calls.
Clients only compare our service charge. How do we change that?
Put the rest of the comparison on paper. A delivery record for each site, showing requisitions filled, replacements made and challans filed, gives procurement something to weigh against the rate. Without it, the lowest charge wins by default.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
