Energy management and audit companies · CRM

Record the bill, the trigger and the decision-maker, or the follow-up has nothing to hold on to.

A CRM for an energy audit company is the shared record of every plant, building and contact, from the first enquiry through the audit, the report, the retrofit and the renewal. GullySales sets up the fields an auditor needs, moves your sheets and WhatsApp notes into it, and shows where enquiries stopped.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

For energy management and audit companies

Where it usually goes wrong, and what we would do.

  • “Plant data lives on one auditor's laptop”

Connected load, tariff and last audit date sit in folders on the person who did the job, and when he leaves, the account's history leaves with him.

  • “Open recommendations are never chased”

A report lists many actions and no record says which ones the plant has done, so the follow-up call has no purpose.

  • “One contact stands for a whole group”

A hospital group or a factory with several units is recorded under one name, so the facility manager who changed jobs is never found again.

What we do

What we deliver for energy management and audit companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Fields for a plant or building

Sector, DISCOM, tariff category, sanctioned demand, connected load, bills received and the date of the last audit, so an auditor opening the account sees the plant at once.

Result: No one asks the client for the same data twice.

  2. Contacts by role and by site

The utility head, the owner, the finance approver and the consultant recorded separately for each site, with the date each contact last changed jobs.

Result: A move to another employer does not end the relationship.

  3. A tracker for recommendations

Each recommended action with its cost, owner, status and whether the saving was verified, ready to be picked up on the follow-up call.

Result: Open actions become reasons to call.

  4. Stages from enquiry to retrofit

Enquiry, bills received, site walk-through, proposal, audit, report, debrief, retrofit and verification set as stages, each with the date it was reached.

Result: You see where plants stop.

  5. Sheets, WhatsApp chats and cards brought in

Contacts and notes from spreadsheets, exported chats and visiting cards merged, de-duplicated and tagged with their source.

Result: The history of your accounts sits in one place.

  6. Reminders for due dates and access limits

Reminders for audit cycles, surveillance audits and verification reviews, and permissions so a client's consumption data is seen only by those who need it, read against the baseline recorded before work starts.

Result: Repeat work is offered on time and client data stays contained.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to record, and when

What to record for every energy audit enquiry, and why each field earns its place.

Plant or building, DISCOM and tariff category
Record these at the first call. They tell the auditor which tariff order applies and whether the enquiry fits your region and your sectors.
The trigger and its date
Write down what started the enquiry: a penalty line, a tariff revision, a mandated audit, a lender or a customer. A date attached to the trigger shows how urgent it is.
Decision-maker and who signs
Record the person who called, the person who approves spending, and anyone else who reads the proposal. Update it whenever one of them changes.
Recommendations and their status
After every report, list each action with its owner on the client side and its status. This is the raw material for the follow-up call and the next proposal.
Reason lost
When a plant goes elsewhere, record why in the buyer's words, such as price, a dealer's free audit or a delay. Patterns in these notes show what to fix first.
Do you need software yet?
If one person handles every live enquiry, a shared sheet with these fields is enough. Move to a CRM when two people touch the same account or follow-ups start slipping.

Who it is for

This is written for these energy management and audit companies.

  • Energy auditors accredited for designated consumers in sectors such as textiles, cement, paper and metals
  • Energy audit and management consultancies serving MSME factories and industrial area clusters
  • Building energy auditors for hospitals, hotels, malls, IT parks and campuses
  • ISO 50001 consultants who set up and audit energy management systems
  • ESCOs that finance a retrofit and are paid from the savings
  • Energy monitoring and sub-metering companies selling meters and dashboards
  • Power quality specialists working on harmonics, capacitor banks and maximum demand
  • Green building and sustainability consultants who model energy use for rating systems

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the crm work runs

  1. 1

    Map the sales process

We record how a deal actually moves from enquiry to close in your business today.

  2. 2

    Configure stages and fields

The CRM's pipeline and fields are built to match that process exactly, not a generic template.

  3. 3

    Set up automations

Reminders, assignment rules and follow-up triggers are configured so routine steps happen without manual effort.

  4. 4

    Test with real deals

We run the configuration against actual current deals to catch gaps before the whole team relies on it.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Spreadsheet or CRM for a small audit firm?
A sheet works while one person handles every live enquiry and the fields above are filled in. Once two people share accounts, or reports and recommendations need tracking, a CRM prevents the duplicates and missed follow-ups a sheet allows.
Our auditors will not update it. What then?
Make it short and useful to them. Give each auditor a view of only their own accounts and open actions, ask for six fields at the end of a visit, and have the manager read the record in the review. A record nobody reads goes stale.
A lot of our dealings are on WhatsApp. How do we keep them?
Copy the key lines into the record the same day and save attachments against the account. Chats stay as backup, but the CRM holds the dates, the decisions and who said what, because a chat on one phone goes when the phone does.
If we switch CRM or agency, whose data is it?
You do. The CRM account should be in your company's name with an owner you control, and you should be able to export every record at any time. Ask for that in writing before any data is loaded.
Should we offer a free audit to win the work?
Only a narrow one, such as a review of a year of bills with a power factor and demand check. A free full audit trains buyers to expect free work, and the dealers already give that away. Let the small free step lead straight into a scoped, priced proposal.
Can we describe ourselves as BEE accredited?
Only if your status is current. Accreditation of energy auditors is run by the Bureau of Energy Efficiency, and its rules and list change, so check the official list and copy the wording exactly. Procurement teams do look it up.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
