Stationery and office supply dealers · Email marketing

Send the reorder mail a purchase order can be raised against.

Email is the channel an accounts department accepts, because a purchase order has to be raised against something written. GullySales builds the reorder mail carrying the previous order's list, the rate revision note, and the seasonal catalogue that goes out before the buying starts.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For stationery and office supply dealers

Where it usually goes wrong, and what we would do.

  • “A chat message cannot be attached to a purchase order”

Accounts needs a document with your GST details and terms on it. The list arrives on chat; the order is made official by mail.

  • “Last month's list is the easiest order to approve”

Send it back as a draft, ask the admin to change what they want, and the reorder takes a minute. That is how you beat a marketplace on effort.

  • “A rate revision is a reason to write that nobody deletes”

Paper and toner prices move. An office told before the next delivery forgives it. One that finds out on the invoice does not.

  • “The dues reminder must go to the right desk”

Chasing the admin about a ninety-day payment strains the relationship you most need. It belongs with accounts, politely, on a fixed date.

What we do

What we deliver for stationery and office supply dealers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A reorder mail carrying the last list

Sent a few days before the usual order date with what they bought last month set out as an editable list, priced at current rates.

Result: Approving a reorder takes a minute.

  2. A quote template a purchase order can cite

Quotes issued as numbered documents with tax details, validity, delivery days and payment terms, so nothing has to be retyped by the buyer.

Result: The order gets raised without a follow-up call.

  3. A rate revision note

A short mail whenever paper, toner or pantry rates move, naming the items and the new rate, sent before the next delivery rather than after it.

Result: A price change stops becoming an argument.

  4. Seasonal catalogue mails with dates on them

Kit lists in March, exam supplies before the boards, diaries and calendars in October, each sent only to the accounts that buy that category.

Result: The season's order comes to you first.

  5. A payment reminder addressed to accounts

A polite, dated reminder sent to the accounts contact rather than the admin, carrying the invoice numbers and amounts, on a fixed day each month.

Result: Dues get chased without spoiling the account.

  6. One count of what the mail did

Reorders placed from the mail, catalogue mails opened by accounts that then ordered, and dues cleared after a reminder went out.

Result: You can see which of the four mails is worth keeping.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What a stationery dealer needs in place before it mails offices, schools and accounts departments.

The accounts contact, not just the admin
Record who raises the purchase order, who approves it and who pays. A rate note is read by accounts, and a quote template is used by admin. Hold both addresses.
GST and billing details in every quote
Each mail should carry your GSTIN, the invoice terms, the HSN-based tax rate where it applies and the payment window. Accounts reject anything incomplete.
A catalogue by item code
Give each item a code, a unit and a rate so a purchase order can cite it. A price list without codes cannot be reordered from.
A list built from supply records
Add offices and schools you already supply, with the last order date and the usual items. Do not buy lists of office addresses.
A WhatsApp number beside the email
Admins order on WhatsApp but accounts need email. Name both in the signature, and say which carries the order and which carries the invoice.
An opt-out and a rate-change record
Keep the date each rate note was sent and which customers received it. It settles disputes later.

Who it is for

This is written for these stationery and office supply dealers.

  • Retail stationery shops near schools and colleges
  • Office supply dealers serving corporates and SMEs
  • Wholesale stationery distributors
  • Printer toner, cartridge and consumables suppliers
  • Housekeeping and pantry supply dealers for offices
  • School and educational supply specialists
  • Art and craft supply stores
  • GeM-registered suppliers to government offices
  • Corporate gifting and diary suppliers

Not for

It is not the right fit if.

  • You hold no accounts or purchase email address for any office, and the first task is to ask for one at the next delivery.
  • Your price list changes with each supplier and you cannot say which rate is valid, so a mailed list would soon need correcting.
  • You plan to mail schools in the exam weeks, when the office will not open attachments.

How it works

How the email marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand your list

We review who is on the list, how they got there, what they agreed to, and how long since they last heard from you.

  2. 2

    Audit past sends

We read past campaign reports, your sending domain settings and any spam complaints to see what has and has not worked.

  3. 3

    Segment and plan

The list is split into groups and a sending calendar is agreed, with a rule for unsubscribes and quiet addresses.

  4. 4

    Write and set up

Emails are written, checked and scheduled in your email tool. Welcome and nurture emails are set to send on a trigger where that fits.

  5. 5

    Measure and adjust

We read clicks, replies, enquiries and complaints by segment, and change subject lines, timing and content to match.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Our buyers live on WhatsApp. Why bother with email?
Because the buyer is not the payer. The admin will chat with you and the accounts department will want a document. Use both: the list comes on chat, the quote goes by mail.
How do we get hold of the accounts email address?
Ask when you deliver the first order, and put a line on the quote asking who should receive the invoice. Most offices give it without hesitation, because they want the bill to reach the right desk.
Should we send a price list or just a quote?
Send a quote for the items they usually buy, with codes and the date the rates hold until. A full price list invites comparison and delays. Offer the complete list on request and keep rate changes dated so accounts can match them to invoices.
Can we email schools in the exam season?
Yes if the school asked or you supply them. Keep it practical: a list of items, quantities and delivery dates for the term, sent to the person who orders. Do not send general promotions to a bought school list.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
