POS software providers · Follow up systems

Call back the shop owner at the hour the counter is quiet.

A follow-up system for a POS software provider is the routine that decides who calls which enquiry, at what hour, and what is sent when the owner cannot talk. GullySales works on the callback rules, the messages and the checks that stop an enquiry going cold.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For POS software providers

Where it usually goes wrong, and what we would do.

  • “The owner can talk only in a gap”

A chemist or restaurateur is serving a queue when the call comes. The follow-up that works is a short message at once, and a call in the quiet part of the afternoon, which differs from trade to trade.

  • “A trial that nobody checks on dies quietly”

The owner installs the trial, gets stuck on the barcode setup, and drifts back to the old bills. A call after the first day, asking about one task, saves a trial the owner had not meant to abandon.

  • “Dealer handovers are the weak link”

An enquiry passed to a dealer on Friday may be unanswered on Monday. Without a way to see the outcome, you cannot tell whether the dealer called, the owner declined, or the lead was lost.

  • “Renewals need a reason to call”

A message that says only your licence is due sounds like a bill. A call that mentions the second counter the shop added, or the report they use, turns a payment reminder into a conversation.

What we do

What we deliver for POS software providers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A first-response rule

A named person for each enquiry source and a ready WhatsApp message that goes out the moment an enquiry arrives.

Result: Every enquiry gets a human message.

  2. Call windows by trade

Quieter hours for each trade recorded, so callers try pharmacies, restaurants and garment shops at different times.

Result: Callers dial when the owner can listen.

  3. Trial check-in script

A short script for the first-day and mid-trial calls, built around one task the owner needs to complete.

Result: Stuck trials are caught while the owner is still trying.

  4. Dealer handover tracker

A shared sheet where each dealer marks the lead as called, demoed, installed or declined, with a reason.

Result: You can see what happened to every lead passed.

  5. Renewal call scripts

Scripts for a renewal due, a lapsed licence and a shop ready for another counter.

Result: Renewal calls start from the shop's own use.

  6. A review of stuck leads

A checklist the manager uses to open every lead with no next step and assign one.

Result: No lead sits without a next step.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

These are the moments in a billing sale that need a planned message or call.

First message after the form
Send a named greeting with the trade's demo clip. It reaches the owner at the next gap in billing, when a call would go unanswered.
Call in the trade's quiet hour
Record the window the owner gave. A pharmacy and a restaurant have different lulls, and the call should land in theirs.
Day after trial install
Ask about one task, such as printing the first bill. A single question brings back a trial the owner meant to try but got stuck on.
Dealer handover outcome
Ask the dealer to log called, visited or declined within the same working day. Without it the lead has no owner.
Renewal conversation
Reference something the shop uses, such as the second counter or a report. A call about use reads as service where a bare due date reads as a bill.

Who it is for

This is written for these POS software providers.

  • Retail shop billing and inventory software
  • Restaurant, cafe and cloud kitchen POS
  • Pharmacy billing with batch and expiry tracking
  • Salon, spa and clinic appointment and billing software
  • Supermarket and grocery POS with weighing scale support
  • Multi-store and franchise POS with central reporting
  • Mobile and electronics shop billing with serial number tracking
  • Garment and footwear POS with size and colour variants

Not for

It is not the right fit if.

  • Nobody owns the trial check-in call, so a follow-up rule would exist on paper while trials lapse.
  • Your dealers will not report an outcome, so a handover tracker would show every lead as pending.
  • You have no demo clip per trade, so the first message would carry only a brochure.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many follow-up attempts are right?
There is no set number. Plan the sequence by trade and by source, stop when the owner says no, and record the reason so the next call is not a repeat.
Can WhatsApp replace calls?
WhatsApp suits the first reply and the demo clip, but a price discussion or a stuck install still needs a voice. Use both, and respect an owner who asks you to stop messaging.
What if the owner never answers a call or message?
Switch the channel and the hour once, then stop. Try a short message at a different part of the day, and make one last call in the trade's quiet hour. After that, mark the lead dormant with a date and move on rather than risk annoying a shop.
Who follows up on a lead a dealer is handling?
The dealer, with your team checking the outcome. Agree this when the lead is handed over, and log it. Calling the owner yourself while the dealer is mid-conversation confuses the buyer and strains the dealer relationship.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
