Garage management software: what to check, and how to bring more cars in

What garage management software must do, from job cards to service reminders, the questions to ask vendors, and the auto repair shop marketing that fills the bays.

Garage management software is the system a car or two-wheeler workshop uses for job cards, estimates, parts, GST invoices and service reminders. Choose one your service advisor can use on a phone, standing at the car. It should keep every vehicle's full history by registration number. It should also send reminders on WhatsApp without anyone remembering to. The software organises the cars you already have. Getting more cars into the bays is a separate job, and this guide covers that too.

What garage management software must do

Job cards. The advisor opens a job card at the car, with the registration number, odometer reading, the customer's complaint in their words, photographs of existing dents and the fuel level. Disputes at delivery almost always come back to what was or was not recorded here.

Estimates and approvals. An estimate goes to the customer on WhatsApp with parts and labour listed, and the customer approves it before work starts. Additional work found during the job gets its own approval. This single habit stops most arguments over the bill.

Parts and stock. Parts used against each job, stock levels, reorder points and supplier bills. A garage that cannot tell which parts went into which car loses money quietly every month.

Invoices and payments. GST invoices with correct HSN and SAC codes for parts and labour, UPI and card payments, and a clear record of credit given to fleet customers.

Insurance jobs. Accident repair involves the surveyor, the claim number, approval status and the customer's share. The software should track each claim until the money arrives.

Vehicle history and reminders. Every visit on one record, so a returning customer is recognised by number plate, and a reminder goes out by date or by expected kilometre reading.

The auto repair shop marketing ideas that work are the local ones, because nobody drives across the city for a routine service.

Your Google Business Profile comes first. People search "car service near me" or "bike service in" their locality. The profile needs the right category, the makes you service, working hours, photographs of the workshop and the team, and a reply to every review. Ask for reviews at delivery. Ask every customer at handover, and send the link while they are still at the counter. A week later they will not bother.

Name the models and the jobs. Write a page or post on each job you do well. Clutch replacement for a popular hatchback, AC servicing before summer, and denting and painting after the monsoon are what people actually search.

Be the next garage after the warranty. Many owners leave the authorised service centre after the free services. Being clear about your prices and offering pickup and drop is what makes them try you.

Tie-ups. Nearby apartment associations, office car parks, driving schools and used car dealers all send cars if someone asks.

Auto repair shop advertising: when to spend money

Auto repair shop advertising works best on urgent needs. Search campaigns on breakdown help, battery replacement, towing or accident repair in your area reach people who need a garage today. Keep the area tight, a few kilometres, and send calls to a number someone answers during working hours. Routine servicing is better won through reviews and reminders than through ads. Social media advertising can work for a detailing or ceramic coating offer with good before and after photographs, but it rarely brings routine service cars.

What does this look like in practice?

For example, take a multi-brand car workshop in Kochi with six bays and two service advisors. The details are illustrative. Job cards were paper, estimates were given by phone, and repeat customers were recognised only if an advisor remembered them. Service reminders were never sent.

The owner chose software that opened job cards on a phone, with photographs. Estimates went for approval on WhatsApp, and a reminder went out when each car's next service fell due. At delivery, the advisor asked for a review and sent the link. Old job cards were entered for the last year so the reminders had history to work from. Returning customers now arrive because they were reminded, not because they remembered.
