Coaching centres and tutors · CRM

Keep every enquiry, demo and fee reminder in one record, not in three notebooks.

A CRM for a coaching centre is a shared record of each family from first enquiry to demo, admission, fee instalments and renewal. GullySales sets one up around your batches and counsellors, so no enquiry depends on someone's memory or a paper register.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For coaching centres and tutors

Where it usually goes wrong, and what we would do.

  • “Admission season fills the register beyond what anyone can read”

After board results the desk takes calls, WhatsApp messages and walk-ins in the same hour. Names land on loose paper, in a phone gallery or in a staff member's chat. By the time the rush ends, nobody knows who was promised a callback.

  • “A demo attendee is a different record from an enquiry”

The parent who sat through a demo is closer to joining than a caller who asked a fee question. If both sit in one list, the follow-up call goes to the wrong person first and the warm family waits.

  • “Staff turnover takes the family history with it”

A counsellor who leaves carries the parents' concerns, the fee discussion and the promised teacher in their head. The next person phones a family and asks questions the family has already answered.

  • “Fee and attendance data sit apart from the enquiry”

The accounts desk knows who is late on an instalment and the teacher knows who has missed classes. Without one record, nobody sees the pattern that comes before a withdrawal.

What we do

What we deliver for coaching centres and tutors.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Enquiry stages for your centre

A short set of stages such as enquired, demo booked, demo attended, counselled, admitted and lost, with a reason recorded for each loss.

Result: Anyone on the desk can see where a family stands.

  2. Capture forms and number entry

A single route for adding calls, walk-ins, website forms and WhatsApp messages, with course, class, board and source on every record.

Result: Every enquiry has a source and a course attached.

  3. Callback and task lists

A task list for each counsellor of calls due, demos to confirm and families to chase before a batch closes.

Result: Counsellors start the day with names, not a blank page.

  4. Fee instalment and attendance flags

Fee due dates and attendance notes linked to the family record, with a prompt for a parent call when a pattern appears.

Result: A parent hears from the centre before a withdrawal.

  5. Handover and access rules

Who may view, edit or export records, and how a departing counsellor's families are passed on.

Result: Family details stay with the centre and with the right staff.

  6. Reports by course and source

A view of enquiries, demos and admissions by course and by source, built from the records your team has entered.

Result: Decisions on where to spend come from your own data.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

Fields worth keeping

One record per student carries the enquiry, the demo, the fee and the batch, filled by the person who knows each.

Student, parent and who decides
Filled by the counsellor at the first call. Tells the next caller whether to speak to the parent, the student or both.
Exam, class and batch asked about
Chosen by the counsellor from a fixed list. Lets you count families for each batch and see which course is short of seats.
Demo attended and the teacher met
Marked by the front desk on the day. A demo family gets a different call from one who only phoned.
Fee plan agreed and instalment dates
Entered by the accounts desk. Lets a counsellor see which family has a payment due and avoid quoting a plan that no longer exists.
Attendance and test flags
Marked by the batch coordinator. A fall in attendance prompts a call to the parent before the family withdraws.

Who it is for

This is written for these coaching centres and tutors.

  • School tuition centres for CBSE, ICSE and state boards
  • Home tutors and individual subject teachers
  • JEE and NEET entrance coaching institutes
  • State entrance coaching for KCET, MHT CET and similar exams
  • Government exam coaching for UPSC, state PSC, bank and SSC exams
  • Commerce coaching for CA, CS and CMA foundation levels
  • Language, spoken English and IELTS or PTE coaching centres
  • Study abroad and overseas education consultants
  • College admission and career counselling advisers
  • Online and hybrid tutoring businesses

Not for

It is not the right fit if.

  • Counsellors keep enquiry notes in personal notebooks and will not move them, so the first step is agreeing one place.
  • The centre has a small intake each year, so a single sheet with clear fields would serve better than a new system.

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We sit with the people who sell and write down how a deal moves from enquiry to payment, including where it stalls.

  2. 2

    Agree stages, fields and owners

Each stage gets a name your team already uses and a proof that the deal has left it. We agree which fields are required at which stage, and who may change what.

  3. 3

    Build on a copy

Pipeline, fields and views are built on a trial copy where the CRM offers one, or in a separate pipeline where the plan allows. Live work stays untouched.

  4. 4

Connect channels, then switch on automations

Channels are connected first. Each automation is then switched on separately, so a misfiring rule is easy to find.

  5. 5

    Test with real deals

The people who will use the CRM run open deals through it. Gaps are fixed before the whole team switches over.

  6. 6

    Switch over and trim

Once real use shows which fields stay empty and which stages nobody uses, those are cut and the handover record is updated.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Do we need paid software?
Not necessarily. A well-structured shared sheet can serve a small tutor or a single-branch centre. Larger institutes with several counsellors gain from a proper CRM tool, and GullySales helps you choose one in ordinary use in India.
Will counsellors actually update it?
Only if it takes less effort than the notebook. We keep the fields few, set it up around their calls and ask the head of admissions to review it with them through the season.
Can student and parent data be kept safe?
Students are minors, so treat their details carefully. Restrict access, avoid sharing records on open chat groups and check your obligations under data protection law with your own adviser.
Can student marks be kept in the same record?
Keep the marks in the centre's own test records and put only a short flag on the enquiry record, such as falling behind. Marks are sensitive, and fewer staff should read them. Check what the centre may share with parents and say so at admission.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
