Senior living and home care agencies · WhatsApp marketing

Meet the family on the app where the whole household is already talking.

WhatsApp for a senior living home or home care agency is the business channel where a daughter sends a question, a brother forwards the answer and an NRI son reads it overseas. GullySales sets up the profile, the quick replies and the handling rules, with consent kept in mind.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

For senior living and home care agencies

Where it usually goes wrong, and what we would do.

  • “The message gets forwarded to the whole family”

A short summary of your rooms, care levels and starting rates is passed to siblings in other cities. Write it so it reads well to a person who never spoke to you, because that is who decides next.

  • “An NRI family expects an answer in their time zone”

A son abroad messages at an hour when your office is closed. A set of ready answers on cost, staffing and visiting, plus a clear note on when a person will reply, keeps the thread alive without false promises.

  • “Personal numbers make a shaky business channel”

When enquiries run through the director's own phone, they leave with that phone. A business profile on a shared number keeps the conversation history, the greeting and the quick replies with the organisation.

  • “Consent and tone weigh heavily in this trade”

A family is vulnerable when they write. Message only those who contacted you or agreed to hear from you, avoid bulk broadcasts, and check the platform's current rules on business messaging.

What we do

What we deliver for senior living and home care agencies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A WhatsApp Business profile

Name, description, address, hours and catalogue of your care options, set up on a number the organisation controls.

Result: A family sees a proper business profile when they message.

  2. A set of quick replies

Ready answers on starting rates, what is included, night staffing, visiting and how assessments work, written to be read by someone who has not spoken to you.

Result: Staff answer the common questions the same way each time.

  3. A greeting and away message

Wording that says who you are, when a person will reply and what to do in an emergency, without promising a response time you cannot keep.

Result: A family who writes after hours knows what to expect.

  4. A handling guide for the front desk

Who replies, when to move to a call, what is never put in a message, and how a conversation is logged against the family's record.

Result: Enquiries on WhatsApp reach the same record as phone enquiries.

  5. Consent wording

A short line collecting a family's agreement to hear from you on WhatsApp, used on forms, tours and calls.

Result: You know who has agreed to be messaged.

  6. A family summary document

A one-page description of your home or service, shaped to be forwarded between relatives.

Result: The message that travels between siblings is yours, not a rumour.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

Decide what the home's number sends before a family writes in.

First reply to an enquiry
A short message naming the home, asking who needs care and offering a call or a tour, sent from a business number and not the director's phone.
Agreement to receive messages
One line asking the family to agree to updates on this number, recorded in the file, so later messages are expected.
Answers to the questions every family asks
Ready replies on starting range, night staffing and visiting rules, worded so they can be forwarded to siblings without a phone call.
Reply for a family abroad
A message that gives a time to call that suits the family's country, and a link to a video tour, since a son abroad writes when the office is closed.
Tour and assessment confirmation
The address, the person to ask for and what to bring, sent after booking, with a number to ring if the family is running late.

Who it is for

This is written for these senior living and home care agencies.

  • Old age homes and senior citizen homes with residential rooms
  • Dementia and Alzheimer's care homes, and homes with a dedicated memory wing
  • Senior living apartments and retirement communities
  • Home nursing and attendant agencies that send staff to a family's house
  • Home health care services that arrange nurses, physiotherapy and equipment at home
  • Franchise home care branches marketing in their own neighbourhood
  • Small care homes run from a converted house or a floor of a building
  • Day care centres for seniors, and short-stay or respite rooms
  • Providers that run both a residential home and a home care service

Not for

It is not the right fit if.

  • Enquiries run through the director's own phone, so the home should first set up a business number that more than one person can watch
  • You want to broadcast to every past enquiry, which breaks consent in a trade where families are vulnerable when they write
  • Nobody can answer during the day, so a published chat number would only collect questions and leave families waiting

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we send a broadcast to all past enquiries?
Only to those who agreed to receive messages, and only with content that is useful to them. The platform's rules on business messaging change, so check the current terms before any broadcast. We favour individual follow-up over bulk sends.
Should we use the free app or the business API?
A small home or agency starts on the WhatsApp Business app, which has profiles and quick replies. The API suits larger groups with several staff answering one number. We explain the difference and recommend the lighter option first.
What should never go in a WhatsApp message?
Clinical detail about an individual resident or patient, and anything you would not want forwarded. Keep the thread to scheduling, general information and next steps. Care decisions and health questions belong in a call or a visit with your nurse.
Should a resident's photograph be sent to a family on chat?
Only with the written agreement of the resident or their legal representative, and sent from the business number to the named family member. Messages are forwarded and stored on other phones. Rules on privacy differ by state, so check with your own adviser before sending any picture.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
