Landscape contractors · Email marketing

Facility managers read email, and villa owners read WhatsApp.

Email for a landscaping contractor is the channel that reaches facility managers, architects and committee office bearers, while WhatsApp handles owners. GullySales runs the maintenance report, the renewal reminders and the pre-summer note to past clients from one list you can trust.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What email marketing means

Email marketing is sending planned messages to a list of past and prospective customers who have agreed to hear from you. It suits offers, updates and staying in touch with someone who is not ready to buy yet. GullySales writes and schedules these emails and tracks who opens, clicks and enquires.

For landscape contractors

Where it usually goes wrong, and what we would do.

  • “The report is your best marketing email”

A facility manager who receives a visit report renews without calling for tenders. It is also the document that gets forwarded when another campus asks for a name.

  • “Renewals are dated and nobody diarises them”

Apartment and campus contracts expire on known dates, usually after an annual meeting. An email six weeks before that meeting is worth more than a year of posting.

  • “Old garden clients come back in March”

An owner whose garden has thinned will spend before the rains if somebody reminds them. One dated email offering a pre-summer check brings work from people you already know.

What we do

What we deliver for landscape contractors.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A report email per maintenance site

Visits, work done, replacements, water notes and next month's plan, sent to the committee secretary and the facility manager in the same format each time.

Result: Renewal conversations start from a record.

  2. Renewal reminders on a dated calendar

Emails six to eight weeks before each contract ends, timed ahead of the meeting that decides it, with the year's reports attached.

Result: You are quoting before a tender is written.

  3. A pre-summer note to every past garden

A dated message to owners of gardens you built, offering a check, mulching and an irrigation service before the heat arrives.

Result: Gardens you planted stay yours to look after.

  4. An architect and builder list kept warm

A short note to practices and project teams carrying one finished garden and one thing you learned on site.

Result: Your name arrives before the next schedule is drawn.

  5. One list, cleaned and reported on

Contacts sorted by owner, architect, builder and facility manager, with unsubscribes honoured and enquiries traced to email against the baseline recorded before work starts.

Result: You know what the list is producing.

How the result is measured

  • Open rate
  • Click rate
  • Enquiries from email

Recorded as a baseline before work starts, so every later report has an honest comparison.

What must be in place first

What a landscape contractor needs in place before mailing sites, architects and committees.

Contacts by site, role and contract end date
Record each maintenance site with the committee secretary, facility manager and the contract end date. An architect or builder contact goes on a separate list with the project name.
Consent from the contract and site visit
Be able to show, under India's data protection law, that each person agreed to receive your mail. Add a permission line to the maintenance agreement and keep the date with each address.
A sender with a face and a portfolio link
Mail from a named person at your own domain, with a link to finished gardens that are a few seasons old. Architects open mail from people whose work they can check.
Segments by garden type
Keep villa owners, apartment committees, corporate campuses and architects on different lists. A terrace garden offer means nothing to a facility manager with a campus lawn.
Reports separate from offers
The maintenance report is a service mail and should keep going even if a client opts out of offers. Say in the footer which mails are which.
A reply path to the supervisor or designer
Replies about a dying lawn or a drip line should reach the supervisor or designer, not a mailbox. Garden problems get worse every day they wait.

Who it is for

This is written for these landscape contractors.

  • Garden design and build contractors for villas
  • Softscape and hardscape contractors for apartment projects
  • Corporate campus and institutional grounds contractors
  • Terrace, rooftop and vertical garden specialists
  • Irrigation and drip system installers
  • Garden maintenance and upkeep contract companies
  • Nursery-owned landscaping businesses
  • Hotel, resort and farmhouse garden developers

Not for

It is not the right fit if.

  • You have no list of client emails with their permission, and a message to people who did not agree would harm your name.
  • You do not keep maintenance renewal dates, so the best email you could send has no date to refer to.
  • Your clients are villa owners who answer on WhatsApp, and email would reach only the facility managers who are a small part of the base.

How it works

How the email marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand your list

We review who is on the list, how they got there, what they agreed to, and how long since they last heard from you.

  2. 2

    Audit past sends

We read past campaign reports, your sending domain settings and any spam complaints to see what has and has not worked.

  3. 3

    Segment and plan

The list is split into groups and a sending calendar is agreed, with a rule for unsubscribes and quiet addresses.

  4. 4

    Write and set up

Emails are written, checked and scheduled in your email tool. Welcome and nurture emails are set to send on a trigger where that fits.

  5. 5

    Measure and adjust

We read clicks, replies, enquiries and complaints by segment, and change subject lines, timing and content to match.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Do apartment committees actually read email?
The secretary and the facility manager do, because that is where records live. Residents live in their own group instead. Write to the office bearers and give them something they can paste into that group.
Is a newsletter worth the effort?
A monthly note with one seasonal instruction and one finished garden, yes. A general newsletter, no. The instruction is the part that gets read, because it tells the reader what to do this month.
Should we mail apartment residents from the committee's list?
No. A committee gives you its own contact, not the residents' addresses. Write to the secretary or facility manager and offer to send a short note they can circulate. Residents who reach out to you can then be added with their consent.
Do photos of our gardens make mails land in spam?
A few small, compressed photos are fine. A mail made of big images with little text often gets filtered. Write a short note about the site, add one or two photos and a link to the full gallery, and send from the same address each time.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
