Banquet halls and event venues · WhatsApp marketing

Answer the date question on WhatsApp with the rate, the photographs and the open dates.

WhatsApp marketing for a banquet hall is using a business number to answer date, rate and capacity questions, send the venue sheet and keep the booking conversation in one thread. GullySales sets up the business profile, the quick replies and the broadcast rules for your hall.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For banquet halls and event venues

Where it usually goes wrong, and what we would do.

  • “The family sends a message while still calling other halls”

Someone shortlisting five halls sends the same message to all of them. The hall that replies with capacity, plate rate, parking and open dates in one tidy answer is the one the family visits.

  • “A personal number cannot hold a hall's enquiries”

When the manager leaves, the thread with every family goes with the phone. A WhatsApp Business number tied to the hall keeps the record, the catalogue and the replies with the business.

  • “Relatives forward your message, so it has to read well alone”

A venue sheet is forwarded to an uncle in another city who has seen nothing else. It needs the hall name, address, capacity, rate basis and a map link in one place, with no reliance on the earlier chat.

  • “Broadcasts to old customers need care”

Messaging past families about a weekday offer works only for people who agreed to hear from the hall. Check the platform's current rules on business messaging and keep a record of consent.

What we do

What we deliver for banquet halls and event venues.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A WhatsApp Business profile for the hall

Name, address, hours, map link and a short description of the functions you take, set up on a number the hall owns.

Result: A family sees a hall, not a personal contact.

  2. A catalogue of halls, rooms and packages

Each hall or lawn with capacity, photographs and the rate basis, plus the weekday package.

Result: The family chooses a space before the call.

  3. Quick replies for the common questions

Saved answers for the date, plate rate, outside caterers, parking and rooms.

Result: Every staff member gives the same reply.

  4. A one-page venue sheet that travels

A single forwardable sheet with capacity, parking, catering rules and how to hold a date.

Result: A forwarded message still makes sense to a stranger.

  5. Labels for enquiry stages

Tags such as asked, quoted, visit booked and date held, matched to the register.

Result: The manager can find every held date in the chat list.

  6. Opt-in broadcast rules

A written rule for who may receive a weekday offer or a festival date reminder, and how a person opts out.

Result: Messages go only to people who agreed.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

The WhatsApp messages a hall sends from enquiry to function.

Date enquiry reply
One message with date status, capacity, plate rate and three photographs. The family forwards it to relatives, so write it to stand alone.
Hall brochure as a document
A short PDF with capacity, parking, rooms and what the hire includes. Needs a rate range and the policy on outside vendors.
Site visit confirmation
A message with the day, a map pin of the gate to use and the manager's first name. Sent from the business number.
Quote with the hold deadline
A message with the rate, what is included and the day the hold ends. Gives the family a reason to decide.
Advance received
A confirmation of the booked date and amount received. Saves a dispute later and tells the family the date is theirs.
Week-of-function checklist
A message to the payer with vendor access, parking and sound limits. Sent only to families who have booked.

Who it is for

This is written for these banquet halls and event venues.

  • Marriage halls and kalyana mandapams
  • Banquet halls with in-house catering
  • Party halls for birthdays and small functions
  • Convention centres and large event venues
  • Lawns and open-air wedding venues
  • Resort and farmhouse venues for weddings and offsites
  • Hotel banquet and conference spaces
  • Community halls and trust-run halls
  • Meeting rooms and training halls for rent

Not for

It is not the right fit if.

  • Your enquiries go to the owner's personal phone, and the history would leave with the person who holds it
  • You plan to broadcast offers to all past guests, and guests did not agree to hear from you
  • No one can answer a message on a weekend, which is when families send them

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Is a broadcast list enough for marketing?
It reaches people who saved your number, which limits it. Use it for a reminder to past customers who agreed, and rely on listings and a website for new families. Read the platform's current rules before sending.
Can we send the price list on WhatsApp?
Yes, and families expect it. State what the figure covers, such as hall rent, plates or decoration, so the number is not misread. A rate sent without its basis creates an argument at the site visit.
Who should be on the number?
A manager who can confirm dates, backed by the owner for rate changes. Do not give the number to a person who cannot check the calendar, because a wrong yes on a date is worse than a slow reply.
May we send our price list to everyone who asks the date?
Send a rate range with what is included, and offer the exact quote after a visit. A bare plate rate is forwarded and compared with the cheapest hall. A range with the inclusions and your policy on outside vendors holds up better when relatives read it.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
