Laboratory and scientific equipment suppliers · Referral marketing
A professor who moves colleges takes your instrument list along.
Referrals in this trade come from three places: a satisfied lab in-charge who is transferred, a consultant drawing up a new laboratory, and the manufacturer whose products you are authorised for. GullySales builds the introductions and the asks, and sets out where paying for a referral becomes a compliance question.
Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What referral marketing means
Referral marketing is asking an existing customer to recommend you to someone they know, usually with a reward for both sides. It differs from a loyalty scheme because it brings in a new customer rather than a repeat purchase. GullySales builds the ask and the reward into a point where a customer is already satisfied.

For laboratory and scientific equipment suppliers
Where it usually goes wrong, and what we would do.
“Transfers are your referral network, whether you use them or not”
A lab in-charge who liked your service moves to another college in three years and writes a specification there. Keep your installed base list by person as well as by institution, or you lose the contact the day the contact changes desk.
“The consultant drawing the new lab decides who is on the list”
A turnkey lab planner or an accreditation consultant setting up a new college or hospital laboratory is asked to name suppliers for benches, fume hoods and instruments. They will not name a firm whose work they have never seen.
“Paying for an introduction is a different question with a public buyer”
Commissions, gifts and personal incentives around institutional purchases carry restrictions that differ between institutions and states and are not fixed over time. Take your own compliance advice before any such arrangement. A demonstration and a written reference cost nothing and raise no question.
What we do
What we deliver for laboratory and scientific equipment suppliers.
Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.
An installed base list kept by person as well as institution
Contacts recorded individually so a professor or lab in-charge who transfers is still reachable at the new college.
Result: A move becomes a new account instead of a lost one.
An introduction that is easy to forward
A short note with your product groups, authorisations and two reference installations, written so a satisfied customer can pass it on without editing.
Result: A recommendation arrives with something concrete attached.
Relationships with lab planners and accreditation consultants
A list of the consultants working on new laboratories in your territory, a demonstration arranged, and specification sheets left with them.
Result: Your instruments are named while the lab is still a drawing.
Lead sharing with the manufacturers you represent
A working arrangement with your principals so enquiries from your state reach you, with co-branded material and joint visits where they help.
Result: The brand's own enquiries stop going past you.
A referral source recorded on every enquiry
One field on the enquiry record naming who sent it, so you know which professor, consultant or principal actually brings you work.
Result: You can thank the right people and stop guessing.
How the result is measured
- Referrals received
- Referral conversion rate
- Cost per referred customer
Recorded as a baseline before work starts, so every later report has an honest comparison.
How referrals reach a lab supplier
In this trade a referral travels with a person or a drawing, not with a brochure.
- A lab in-charge or head of department who is posted elsewhere
- When one is transferred, find out the new college or hospital and write there, naming the instruments you supplied in the old lab. Keep the name on your list, not only the institution's.
- The consultant or architect planning a new laboratory
- Give the planner a short make and model list with your authorisation letters attached. A planner can only name a supplier whose papers are already in the file when the specification is written.
- The principal whose instruments you are authorised for
- Ask each principal's regional manager to pass on enquiries from your territory. Agree in writing which enquiries are yours, so a forwarded lead is not quoted by two dealers at once.
- Your own service engineer
- The engineer sees which instruments are ageing in neighbouring labs. Give the engineer a simple slip to note the lab, the instrument and the person to call, and read the slips when the engineer is back at the office.
- The quotation register
- Add a column for who introduced each enquiry and fill it before the quote goes out. Without it you cannot tell which transferred professor or consultant is worth another visit.
- What never to do
- Never pay or gift an official of a government or aided institution for naming you in a specification. Public purchase rules differ, so ask your own adviser before a fee goes near a public buyer.
Who it is for
This is written for these laboratory and scientific equipment suppliers.
- Laboratory instrument dealers and distributors
- Authorised importers of foreign scientific instruments
- Scientific glassware and plasticware suppliers
- Chemical, reagent and culture media suppliers
- Consumables and disposables suppliers on monthly reorder
- Indian makers of ovens, incubators, furnaces and water baths
- Lab furniture, fume hood and clean room suppliers
- Calibration, service and maintenance contractors
- Turnkey lab set-up contractors for new colleges and hospitals
Not for
It is not the right fit if.
- You plan to pay a commission to a person inside a public institution, which creates a conflict for them and for you.
- Your installed base list is out of date, so a request to refer would reach people who have left.
How it works
How the referral marketing work runs
The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.
- 1
Read the margin and the relationship
We work out what a new customer is worth and what you can pay to get one, then check whether customers know others like themselves.
- 2
Find the referrals you already get
Your invoices, call notes and WhatsApp threads show who already sends people to you, and who they are. That sets the starting point and the first people to ask.
- 3
Write the offer and the rules
The reward, the definition of a valid referral and the payout steps are agreed in writing before anything is shown to customers.
- 4
Build the share path and the record
The message, the link or code and the referral sheet are built. Your team tests a referral end to end, from forward to reward.
- 5
Start with your best customers, then widen
The first asks go to people who have already praised you. What they say about the offer decides what changes before it reaches the wider base.
Where this fits
Three pieces of sales work, in this order.
This work sits inside sales process design, at stage 7, after the sale. The audit comes before it, and sales management keeps it running.
Step 1
Sales audit
Find where deals are being lost and what to fix first.
Start here if you cannot say where orders are lost.
Step 2 · you are here
Sales process design
One written way to sell, from first enquiry to repeat order.
Start here if every salesperson sells differently.
Step 3
Sales management
A target, a review routine and someone who owns the number.
Start here if the team has targets and no routine.
