Water treatment solutions providers · Follow up systems

The test report is the reason to call back, and most quotes die without one.

Follow-up for a water treatment company is the chasing after the survey and the quotation. What decides it is having something to say. GullySales builds the routine around the water analysis, the committee's meeting date and the consulting engineer, so a quote is not left waiting on a hopeful phone call.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For water treatment solutions providers

Where it usually goes wrong, and what we would do.

  • “A test result gives you a reason to ring that is not the quotation”

You took a sample from their sump. Calling with the hardness and the total dissolved solids, and what that figure will do to a geyser element in two years, is a conversation. Checking on the quotation is not.

  • “An apartment committee does not decide between meetings”

A managing committee meets when it meets and your file waits for the agenda. Ask the secretary when the next one is, and work to that date instead of to the day you emailed the quote.

  • “On an industrial job the silence is usually at the consultant's desk”

The factory owner is waiting on the consulting engineer's clearance, and the engineer is waiting on a drawing or a clarification from you. Ringing the owner about it wastes both your afternoons.

What we do

What we deliver for water treatment solutions providers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. The water analysis prepared as a follow-up document

Source, hardness, dissolved solids and iron set out in plain language with what each figure means for their taps, machines or process.

Result: Every open quote has a reason to be called about.

  2. Committee meeting dates recorded against apartment quotes

The next managing committee date captured at the survey, with the follow-up planned around it rather than around your own calendar.

Result: You reach the secretary while your file is still on the agenda.

  3. The consulting engineer followed separately

A parallel line of contact for the consultant on an industrial job, covering drawings, clarifications and whatever is holding the approval.

Result: The clearance stops sitting on a desk nobody was chasing.

  4. A revised offer instead of a repeat call

A phased option, a smaller capacity or a changed commercial structure prepared for the buyer who went quiet after the price.

Result: The second contact carries something new.

  5. An agreed point at which a quote is closed

The number of attempts and the reason recorded when an enquiry is marked lost, so dead files stop clogging the list.

Result: Your team works live enquiries instead of a graveyard.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for water treatment

Each water test, survey and quotation has an engineer's note, a result to explain and a decision-maker to reach.

Water sample taken at survey
Ring with the hardness, dissolved solids and iron results and explain what each means for taps, geysers or machines. Record what the customer asked next.
Quotation sent to a housing society
Ask the secretary when the managing committee meets and what papers it needs. Record the date and ring just before it.
Industrial enquiry with a consent deadline
Ask the factory when the board's deadline falls and who in the plant owns it. Plan every contact before that date and log the engineer's name.
Customer says another vendor is cheaper
Ask for the other quote's membrane, pre-treatment, capacity and AMC terms. Send a comparison sheet and record which lines differ.
Plant installed, AMC due
Ring before the service date and ask about taste, pressure and the reject water. Record the TDS reading and the filter change due.
Consulting engineer involved
Ask the engineer which specification is being written and when it is issued. Offer the water analysis and record the engineer's preferences.

Who it is for

This is written for these water treatment solutions providers.

  • Residential water purifier and softener dealers
  • Apartment and gated community water treatment providers
  • Industrial effluent treatment plant providers
  • Commercial RO plant suppliers
  • Borewell water treatment specialists
  • Hotel and hospitality water treatment providers
  • Swimming pool water treatment companies
  • Packaged drinking water plant manufacturers

Not for

It is not the right fit if.

  • You do not record which quotes went out, so there is nothing to follow up; start with a quote register.
  • You send no test report with a quote, so a follow-up would have only a price to call about.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

The customer said we are too expensive and stopped replying. What now?
Go back with the running cost, not the price. Salt, power and membrane replacement over the life of the plant are where an unbranded quote loses, and most buyers have never been shown that comparison. If they still say no after seeing it, close the file honestly.
How long should we keep chasing an industrial enquiry?
Until the consent deadline or the project stage answers it for you. A factory dealing with a Pollution Control Board requirement has a date it cannot move past, and that date is your follow-up calendar. Ask for it at the survey and everything after becomes simpler.
Who should pick up with an apartment committee after a long gap?
The engineer or owner who did the survey. Send a short note with the water result, what was proposed and the open question, then ask the secretary for the next meeting date. Record that date and the member who is pushing for it.
How do we follow up a customer who says the water is fine now?
Ask what changed, for example a new borewell, a tank clean or a seasonal shift. Offer to retest the sample so they have a figure, and record it. If they decline, close the file and note a recheck date.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
