AMC renewal: how to sell and renew annual maintenance contracts

Most AMCs lapse because nobody asks in time, not because customers refuse. Start the renewal 60 days early, show the service record, and sell the AMC at installation.

AMC renewal is won or lost in the 60 days before the contract ends, and most service businesses do nothing in those 60 days. The customer is not refusing to renew; nobody asked. To renew more annual maintenance contracts, keep a list of every AMC with its end date and start the renewal conversation two months early. Show the customer what was done under the old contract. Offer the new one before a competitor or a local technician does. Selling the AMC well at the point of installation makes every later renewal easier.

Why AMCs lapse without anyone saying no

Look at the AMCs that did not renew last year. In most businesses the pattern is the same. The contract ended and the reminder went out a week late, or not at all. The next service fell due and nobody came. Then a freelance technician from the area offered a lower price. Nobody at the customer's end ever decided to leave.

The second cause is invisibility. A good AMC is one where nothing goes wrong, so the customer forgets what they paid for. Four preventive visits, two filter changes and a gas top-up disappear from memory by month eleven. When the renewal invoice arrives, it looks like money for nothing.

The third cause is ownership. The service team does the visits, the accounts team raises the invoice, and sales moved on after the first order. Renewal belongs to nobody, so it happens only when the customer remembers.

How to run AMC renewal as a routine

A renewal routine does not need software to start. It needs one list and a calendar.

  1. One register of every AMC. Customer, site, equipment, contract value, start date, end date, visits done, complaints raised, and the person who owns the renewal.
  2. A 60-day trigger. Two months before the end date, the owner calls. Not a WhatsApp message first, a call. The message follows with the details.
  3. A service summary. A one-page record of the year: visits made, dates, parts replaced, readings taken, complaints closed. This is what turns "money for nothing" into "the reason nothing broke".
  4. A written renewal offer. Same scope, any change in price with the reason, and an option for a longer term or a wider scope.
  5. A 30-day and a 7-day follow-up. Each one carries something new: the service summary, a note about the unit's age, a slot for the first visit of the new contract.
  6. A lapsed list. Every AMC that did not renew goes onto a list for a call after 90 days, and again after the customer's next paid repair.

For an AC AMC renewal, timing matters most. A customer asked in March is thinking about the coming heat. A customer asked in October is thinking about nothing, and your contract loses to a cheap one-time service from a local technician. For an RO plant AMC, especially for a commercial plant at a school, hotel or apartment block, the readings are the argument; show the numbers you recorded. For example: an AC service business in Hubballi

For example, take an AC sales and service business in Hubballi with around 400 residential and small office AMCs. The figures here are illustrative.

The owner found that about half the AMCs renewed each year, and nearly all the renewals came from customers who called in themselves. Nobody on the team was calling anyone. The business put every AMC into one sheet, assigned one person to renewals, and started calls in January for contracts ending between March and May. Each call was followed by a WhatsApp message with the year's visit record.

The first effect was not a higher renewal rate. It was the discovery that 60 customers had had a complaint that was never closed. Those were called first, the complaint was fixed, and then the renewal was offered. A contract of ₹2,500 a year is small; 150 extra renewals at that price is ₹3.75 lakh that was already the business's to lose.

Where do AC AMC contract leads come from?

New AMC customers come from four places, in this order of value.

Your own installations. Every AC, RO plant or appliance you sold or installed is an AMC lead. Offer the AMC at installation, and again when the warranty is about to end. A warranty-end list is the cheapest source of AC AMC contract leads you will ever have.

Paid repairs. A customer who has just paid for a repair has felt the cost. Offer the AMC on the job card, with the repair amount written beside it.

Search and the map. Owners search "AC service near me" and "AMC for AC" when something breaks. List the AMC as a separate service on your Google Business Profile, and give each contract type its own page on your site. Reviews that mention the service do the rest.

Commercial accounts. Offices, schools, clinics and apartment associations buy AMCs for many units at once. These need a proposal, a site visit and a named contact, and they renew on the customer's budget cycle, not yours.

Buying lead lists of "AC owners" rarely works. The people on them did not ask to hear from you, and the ones who pick up are usually looking for a one-time service at the lowest price.

Upgrades at renewal time

Renewal is also the moment to offer a better contract. A comprehensive AMC that includes parts, a longer term, or additional units at the same site. Offer it as a choice next to the plain renewal, never instead of it. Many customers take the plain renewal, and some take the better one, which is how contract value rises without new customers.

What to do next

Take every AMC that ends in the next 90 days and put them in one list with the end date and the name of the person who will call. Should I give a discount to get an AMC renewed?
Only as a last step, and only for a longer term. A discount offered first teaches the customer to wait for it every year. Show the service record and the cost of a breakdown before you talk about price.
What if the customer says they will call when something breaks?
Put the call-out rate and the typical repair cost next to the AMC price, in writing. Some customers will still choose to pay per visit, and that is fine. Keep them on a list and offer the AMC again after their next paid repair, when the cost is fresh.
Can I raise the AMC price at renewal?
Yes, if you say why and say it early. Spare parts, refrigerant, filter and chemical costs move, and customers accept a stated reason. A higher price that appears for the first time on the renewal invoice is what causes the lapse.
