Agricultural exporters · WhatsApp marketing

Use WhatsApp for what importers use it for: photographs, samples and short answers.

WhatsApp for an agricultural exporter is the direct line with importers, agents and forwarders for lot photographs, sample updates and short questions. GullySales sets up a business account, message templates and a log, so conversations are kept in the importer's record.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For agricultural exporters

Where it usually goes wrong, and what we would do.

  • “Importers ask for pictures”

A buyer who cannot visit wants to see the lot: cartons, labels, sorting and the container being stuffed. Photographs and short videos sent on WhatsApp carry the trust that a long email does not.

  • “Personal numbers hold the history”

When importer chats sit on one manager's phone, the history leaves with that person. A business account with a shared inbox keeps the thread with the firm, and others can pick it up.

  • “Cold messages risk the account”

Writing to numbers who never asked is poor practice and can lead to a block. Use WhatsApp with importers who have already corresponded with you, and check the platform's current rules before any outreach.

  • “Time zones shape the reply”

An importer in Europe or the Gulf writes when their day starts. Setting expectations for when you reply, and using a short greeting that says a full answer follows, avoids the silence that worries a buyer.

What we do

What we deliver for agricultural exporters.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A business account setup

A WhatsApp Business account with your firm name, profile, catalogue of products and opening message.

Result: An importer who messages sees a business profile and not a personal one.

  2. Message templates

Ready replies for specification requests, sample dispatch, lot photographs and shipment updates.

Result: The common messages are written once and sent in a consistent form.

  3. A shared inbox arrangement

A way for more than one person to see and answer importer chats.

Result: The chat history belongs to the firm.

  4. A logging habit

A rule that decisions and quantities agreed on chat are copied into the CRM.

Result: The record shows what was agreed, not only what was emailed.

  5. A group etiquette note

Guidance on when to use a group with an importer, agent and forwarder, and when to keep chats separate.

Result: Each party sees only what concerns them.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

The messages an exporter sends and keeps on WhatsApp with importers.

Product photograph with the date
Send a dated photograph of the lot being packed or graded. Save it against the importer's record as proof of what was shown.
Specification summary
A short message with variety, grade, pack and port, then the full sheet by email. The summary answers the quick question; the email holds the record.
Sample dispatch notice
A message with the courier name and reference and the date sent. Gives the importer something to track and you something to chase.
Loading day update
A photograph from the loading with the container number once it is sealed. Keep the formal confirmation in an email, not only in the chat.
Opt-in note
Record that the importer agreed to be messaged on this number. Without it, the exporter cannot send a season update later.

Who it is for

This is written for these agricultural exporters.

  • Fresh fruit exporters sending grapes, pomegranates, mangoes and bananas
  • Fresh vegetable and onion exporters
  • Basmati and non-basmati rice exporters
  • Spice exporters of chilli, turmeric, cumin and pepper
  • Pulses, oilseeds and groundnut exporters
  • Processed and dehydrated produce exporters
  • Organic and certified produce exporters
  • Merchant exporters sourcing from farmers and packhouses

Not for

It is not the right fit if.

  • Your team uses personal numbers and phones, so the chat history would leave when a person does.
  • You plan to send a bulk message to a list of importers who never asked, which can get the account blocked.
  • You have no way to move a deal from chat to a written offer, so an agreed price in a chat would stay informal.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Is WhatsApp acceptable for formal export business?
It suits quick questions, photographs and updates. Quotes, terms and documents should also be confirmed by email, so there is a clear written record for both sides.
Can we send bulk messages to importers on WhatsApp?
Check the platform's current rules and each importer's consent first. We favour individual, relevant messages to buyers you already know over broadcasts to a purchased list.
Do importers in every country use WhatsApp?
Not all. Some prefer email or another app. Ask each importer how they like to be reached and record it, rather than assuming.
Is WhatsApp suitable for sending the price offer?
Use it to say that an offer is on its way and send the formal offer by email, with the terms written out. A chat price is easily lost and hard to show later. Importers in some countries prefer other apps, so GullySales notes each importer's channel.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
