Casting agencies · WhatsApp marketing

Run casting calls and call-time confirmations on the channel talent actually reads.

WhatsApp marketing for a casting agency is the use of broadcast lists, groups and the business app to send calls and confirmations to performers, and to answer producers. GullySales works on the set-up, the wording and the consent behind each list.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For casting agencies

Where it usually goes wrong, and what we would do.

  • “Talent read WhatsApp and ignore email”

A performer sees a casting call on the phone within the hour. A broadcast list sorted by type and language sends each call only to the people who fit it, so the list is not tired out by irrelevant messages.

  • “Consent comes before the list”

A performer should have asked to receive calls. Adding people to a list without asking breeds complaints and reports. A sign-up form with a clear opt-in line is the safer start, and a way to leave is part of it.

  • “Groups for shoot day need rules”

A group for background artistes on one shoot day carries the call time, the location and the contact person. It is closed when the shoot wraps, so personal numbers are not left in a large group forever.

  • “The producer uses it too”

A line producer will message you on WhatsApp at odd hours. A business profile with a greeting and a catalogue of your casting types gives them an immediate answer, and a named person picks up the thread.

What we do

What we deliver for casting agencies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A consent-based sign-up

A form and message that asks the performer to opt in to calls and records it.

Result: Each list member has an opt-in on record.

  2. Lists by type and language

Separate broadcast lists for adults, background artistes, child artistes' guardians and each language.

Result: A call goes to the list that matches it.

  3. Call and confirmation templates

Set wording for a casting call and a call-time confirmation.

Result: Every call message carries the same required details.

  4. A shoot-day group guide

Rules for opening, running and closing a group, including who may post.

Result: Groups are closed after the shoot, and the closing is noted.

  5. A business profile for producers

A profile with your address, casting types and a greeting for new contacts.

Result: A new producer sees your casting types at once.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

The messages a casting agency sends on WhatsApp, and the consent that comes before each.

Opt-in for casting calls, with language and type
Capture at registration which languages and kinds of role the performer wants to hear about. It keeps a Telugu call from reaching a Tamil-only list.
The casting call message
Project type, role, age range, venue, date and the line that no fee is charged. A clear message lets a performer decide, and lets a doubtful one check you.
Call time and venue confirmation
Sent to the shortlisted person with the coordinator's name and a reply request. It shows who is coming before the morning of the shoot.
Shoot-day group rules
State that the group is for call times and instructions only, who may post and when it closes after wrap. It keeps a group of strangers orderly.
Guardian-first message for a child
Addressed to the parent or guardian, never the child directly. It carries the schedule, the school note and the name of the adult who will accompany the child.

Who it is for

This is written for these casting agencies.

  • Film casting agencies and casting directors
  • Web-series and OTT casting teams
  • Advertising film casting specialists
  • Child artiste casting agencies
  • Background and junior artiste coordinators
  • Regional-language casting offices for Kannada, Telugu, Tamil or Malayalam
  • Model casting for fashion shoots and brand campaigns
  • Reality show and television casting teams

Not for

It is not the right fit if.

  • You collected numbers at open calls without asking permission to message them, so a broadcast would start with consent you do not hold
  • You have no coordinator to answer replies on the day, so a confirmation message would invite questions no one answers

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we message performers we met at an open call?
Only if they agreed to hear from you, and the sign-up form should record that. Check the platform's current rules on business messages before you send to a list.
Should we message child artistes directly?
Write to the parent or guardian, not to the child. Record the guardian's consent and keep calls for minors in a list separate from adults.
Can we add performers to a group without asking?
No. Adding a person to a group shares their number with strangers and may put them off. Ask first, send an invitation they can accept and let them leave without comment. Follow the platform's current rules on messaging and groups.
Is a broadcast list better than a group for casting?
For a call, yes. A broadcast reaches each person alone and keeps numbers private, which matters when many are strangers. Use a group only for a confirmed shoot-day crew, and close it when the shoot wraps.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.

Your next practical step

Tell us what you are trying to grow, and we will read it before we call.

Eight short steps, mostly taps. Skip anything you would rather answer on the call.
