Fitness franchise brands · CRM

One record per person, whether they want a studio or a membership.

A CRM for a fitness franchise brand is the shared record of every franchise candidate, trial visitor and member, with the stage each has reached. GullySales works on setting the stages, the fields and the outlet access so nothing sits on one phone.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For fitness franchise brands

Where it usually goes wrong, and what we would do.

  • “Candidates sit in several inboxes”

A franchise enquiry is read by the sales head, a founder and an assistant, each holding a different part of the conversation. A single record shows what was promised and who owes the next call.

  • “Outlets keep their own lists”

Trial visitors written in a notebook at the desk cannot be followed up by anyone else. When the desk person is away, the list is lost with them.

  • “Stage names mean different things”

One person calls a candidate hot after a call and another after a site visit. Written definitions for each stage make the pipeline comparable across the team.

  • “Members need a place too”

A member whose attendance has dropped is a lead for a renewal call. If membership data sits in the billing system alone, the follow-up never starts.

What we do

What we deliver for fitness franchise brands.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Stages for franchise candidates

From enquiry to qualified, site checked, outlet visited, agreement discussed and signed, each with a plain definition.

Result: Every candidate shows one stage anyone can read.

  2. Stages for trials and members

From enquiry to trial booked, attended, joined, lapsed and renewed.

Result: Each trial can be tracked to a result.

  3. Outlet access rules

Each outlet sees its own members and trials, and head office sees all.

Result: No outlet works from another's list.

  4. A short entry routine

The few fields every person who takes a call must fill, kept small enough to be done.

Result: Records are complete because the form is brief.

  5. Import of existing lists

Candidates and trial lists gathered from spreadsheets, notebooks and phones into one place.

Result: Old enquiries are findable in one search.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

Fields worth keeping

Keep fields that separate candidates, trials and members.

Record type
Set by the first person to enter the record: candidate, trial visitor or member, so each follows its own stages.
Outlet or city of interest
Filled from the enquiry form and used to send the record to the right outlet owner or franchise manager.
Premises status
Entered by the franchise team for candidates: found, rented, owned or searching, which sets the next step.
Trial date and batch
Entered by the outlet desk so that a call can follow the trial and the batch can be checked for fit.
Last visit date
Updated from the outlet's attendance record and used to flag a member who has stopped coming.
Source of enquiry
Captured at entry and left unchanged, so spend can be compared by how the signed owner or member first arrived.

Who it is for

This is written for these fitness franchise brands.

  • Gym franchise brands for neighbourhood fitness centres
  • Yoga and meditation studio franchises
  • Dance fitness and Zumba studio brands
  • CrossFit and functional training box brands
  • Women-only fitness studio franchises
  • Pilates and boutique studio brands
  • Martial arts and kids' fitness franchises
  • Brands selling fitness studios inside apartment complexes

Not for

It is not the right fit if.

  • Outlet staff will not enter trial visits, so the system would be empty where it matters most.
  • You have fewer than a handful of candidates and members to track, which a shared sheet already handles.
  • Head office and outlets have not agreed who owns a member record, so access rules would be argued after the build.

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We sit with the people who sell and write down how a deal moves from enquiry to payment, including where it stalls.

  2. 2

    Agree stages, fields and owners

Each stage gets a name your team already uses and a proof that the deal has left it. We agree which fields are required at which stage, and who may change what.

  3. 3

    Build on a copy

Pipeline, fields and views are built on a trial copy where the CRM offers one, or in a separate pipeline where the plan allows. Live work stays untouched.

  4. 4

Connect channels, then switch on automations

Channels are connected first. Each automation is then switched on separately, so a misfiring rule is easy to find.

  5. 5

    Test with real deals

The people who will use the CRM run open deals through it. Gaps are fixed before the whole team switches over.

  6. 6

    Switch over and trim

Once real use shows which fields stay empty and which stages nobody uses, those are cut and the handover record is updated.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Which CRM should we use?
Whichever your team will open daily. We set up the stages and fields and can work with a tool you already hold or one in ordinary use in India.
Does the CRM replace billing software?
No. Billing stays where it is. The CRM holds the people and what was said to them.
Should outlets see franchise candidates?
No. An outlet owner has no need to see candidates, and showing them risks sharing commercial discussions. Give each role only its own records, with head office seeing everything and each outlet seeing its own trial visitors and members.
How do we keep outlet staff entering data?
Keep the entry short, a few fields at the trial desk, and show them the result in the form of a call list for the day. Staff who see the list help them are more likely to keep entering visits.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
