Healthcare franchise networks · Follow up systems

Make sure a partner enquiry and a patient booking each get a next step.

A follow-up system for a healthcare franchise network is the set of reminders, messages and calls that move a partner enquiry forward and bring a booked patient to the appointment. GullySales writes the routine, the wording and the log.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For healthcare franchise networks

Where it usually goes wrong, and what we would do.

  • “The partner who goes quiet is still deciding”

A physiotherapist who asked about the equipment package and heard nothing back for a fortnight may have joined another network. A follow-up that offers a centre visit or a call with a current partner keeps the conversation going.

  • “A missed appointment is a follow-up question”

A patient who does not turn up may have found the centre hard to reach or may have felt unwell. A courteous message that offers another slot, sent only with their agreement, brings patients back and costs the desk little.

  • “Reminders must respect consent”

A reminder helps the patient who asked for it. The same message to a number given for another reason becomes marketing without permission. The routine has to check consent before sending.

  • “Follow-up is a task with an owner”

When nobody is named, everyone assumes someone else called. Each enquiry needs a named person and a due step on the record.

What we do

What we deliver for healthcare franchise networks.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A partner follow-up sequence

Messages and calls after each stage of the partner process, written for the clinician and the investor separately.

Result: A written sequence for each partner type.

  2. An appointment reminder set

Reminder wording for a booking, sent only to patients who agreed to receive it.

Result: A message set with a consent check.

  3. A missed-appointment routine

A courteous message and call script for patients who did not attend, offering another slot.

Result: A script the front desk can use.

  4. Ownership rules on each enquiry

A named owner and a next step on every partner and patient record.

Result: No record without an owner.

  5. A follow-up gap report

A list of enquiries with no next step recorded, drawn from the log.

Result: A list head office can read and chase.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

The next steps a clinic network records after a partner call or a booking.

Offer of a centre visit
Sent to a partner after the first call, naming a working centre to see. Recorded with the date so a quiet partner is noticed.
Introduction to a current partner
A call arranged between the enquirer and an existing partner, with that partner's agreement. Head office notes who spoke.
Appointment reminder
Sent only to patients who agreed, giving centre, doctor and time. Nothing about the condition appears in the text.
Missed-appointment message
A courteous note offering another slot, sent with the patient's agreement and logged by the desk.
Partner stage change
Recorded when a partner moves from visit to terms, with the date and who moved it.
Enquiries with no next step
A list drawn from the log each time head office reviews, so nothing waits without a named owner.

Who it is for

This is written for these healthcare franchise networks.

  • Multi-speciality polyclinic networks
  • Dental clinic franchise chains
  • Eye care and optical clinic networks
  • Physiotherapy and rehabilitation clinic brands
  • Skin, hair and aesthetic clinic networks
  • Women's health and fertility centre networks
  • Dialysis, day-care and ambulatory centre brands
  • Ayurveda and wellness clinic networks

Not for

It is not the right fit if.

  • Consent to message patients is not recorded, so reminders would go to numbers given only for booking.
  • No one at the desk can make an outbound call to a missed appointment, so the routine would stay on paper.
  • Partner terms are changing, and a written sequence would quote details that are already out of date.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

How long should we wait before following up?
Set the gap with your team and your own call pattern. We write the steps and the wording, and we do not promise results from any timing.
Can we message patients who enquired but never visited?
Only with their agreement for that purpose. Marketing consent rules apply, so check your approach with your own adviser.
Can we message patients who enquired but never visited?
Only if they agreed to receive messages when they enquired. A number given to ask a fee is not permission for marketing. Send a single plain note to those who agreed, and stop for anyone who declines. Check data rules with your adviser.
What should a reminder say about the reason for the visit?
Leave the reason out. Give the centre, the doctor and the time only. A message that names a condition can be read by anyone holding the phone, and the patient's privacy is the centre's duty. Keep clinical content in the consultation.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
