LED wall rental companies · CRM

Keep every quote, venue and event date in one record, not in three phones.

A CRM for an LED wall rental company is a single record of each enquiry, quote, booking and show, so the next date, the next call and the last quote are never left to memory. GullySales works on setting up that record around the way your team actually takes bookings.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For LED wall rental companies

Where it usually goes wrong, and what we would do.

  • “Enquiries live in personal phones”

A call goes to one partner, a message lands with a supervisor and an email waits in the office. When the buyer rings again, nobody knows what was quoted, and the screen may already be booked.

  • “Dates are the real stock”

A wall booked for the same date at two venues is a failure the buyer sees on the day. The record must show panels, processors and crew committed on each date, not only the name of the client.

  • “The same brand returns each year”

A dealer meet or product launch repeats. Without a note of the hall, the size and the operator from last time, you start from nothing and the client wonders why you do not remember.

  • “A quote has several versions”

The size changes, the venue moves and the content plan alters the processor. If only the last figure is kept, nobody can explain why the first quote differed.

What we do

What we deliver for LED wall rental companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A pipeline matched to your sales steps

Stages from enquiry to quote sent, to date held, to booked, to show done and followed up.

Result: Every job sits in a clear stage.

  2. A record per enquiry

Contact, event type, venue, date, size, source and every quote version saved together.

Result: Anyone in the team can pick up a conversation.

  3. A date and stock view

Bookings shown against the dates, so a second enquiry for the same date is spotted before a quote goes out.

    Result: Clashes are seen early.

  4. A repeat-client list

Past clients with the event, venue and size, and the time of year their event falls.

Result: You can reach a brand team before they search elsewhere.

  5. Easy entry for a busy team

Short forms and WhatsApp-friendly capture, so staff on site can add a note without a laptop.

Result: The record is filled by people at work.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

Fields worth keeping

A rental record is built around dates, venues and quote versions.

Event date and set-up window
Filled by whoever takes the booking. Dates are your stock, and the record shows clashes before a second booking is promised.
Venue and access notes
Filled after the site visit or call: power, floor, loading route. The crew reads it before the day.
Quote version and what changed
Filled each time the quote is revised. It shows what the buyer was told and stops two people quoting different sizes.
Panels and operator assigned
Filled by the operations lead. It shows which stock is committed and who is on site.
Content received and approved
Filled when files arrive. It flags a buyer who has not sent content, which is the common reason for problems on the day.

Who it is for

This is written for these LED wall rental companies.

  • Indoor LED wall rental companies for ballrooms and convention halls
  • Outdoor LED screen suppliers for concerts and open-air events
  • Wedding stage LED backdrop providers
  • LED screen suppliers for sports screenings and community events
  • Mobile LED screen van and trailer operators
  • Corporate event LED and video wall suppliers
  • LED wall and live camera production teams
  • LED screen suppliers for exhibitions and trade shows

Not for

It is not the right fit if.

  • Bookings are handled by one person who keeps dates in a diary, and a system would only duplicate what already works.
  • Nobody will enter changes to a quote, and the record would show the first version as final.
  • You wish to import every old contact before using the system, which would hide the live bookings.

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We sit with the people who sell and write down how a deal moves from enquiry to payment, including where it stalls.

  2. 2

    Agree stages, fields and owners

Each stage gets a name your team already uses and a proof that the deal has left it. We agree which fields are required at which stage, and who may change what.

  3. 3

    Build on a copy

Pipeline, fields and views are built on a trial copy where the CRM offers one, or in a separate pipeline where the plan allows. Live work stays untouched.

  4. 4

Connect channels, then switch on automations

Channels are connected first. Each automation is then switched on separately, so a misfiring rule is easy to find.

  5. 5

    Test with real deals

The people who will use the CRM run open deals through it. Gaps are fixed before the whole team switches over.

  6. 6

    Switch over and trim

Once real use shows which fields stay empty and which stages nobody uses, those are cut and the handover record is updated.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Which CRM should we use?
Pick a tool your team will open daily and that fits the size of your business. A simple, well-used tool beats a large one nobody fills in.
Will staff resist it?
Resistance falls when entry is short and the record saves the staff time. Start with enquiries and quotes, and add the rest once the habit sticks.
Can staff keep using their own phones for enquiries?
Staff may use their phones, but each enquiry must also be entered in the shared record that day. Enquiries held only in a personal phone leave with the person. A short agreement on who enters what makes the shared record the place everyone checks.
Will staff resist the shared record?
Some will if it adds typing without helping them, so keep the fields few and make the record the place where dates are checked. When a clash is caught before a double booking, the value shows. Start with the fields the crew already writes in the diary.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
