LED wall rental companies · Follow up systems

Chase the quote in the order the buyer is deciding, not when someone remembers.

A follow-up system for an LED wall rental company is a set routine for answering enquiries, chasing quotes and keeping contact after a show. GullySales works on the steps, the messages and the record that stop quotes from going quiet.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For LED wall rental companies

Where it usually goes wrong, and what we would do.

  • “The buyer is comparing at the same time”

While your quote sits unread, the producer has two others open. The supplier who replies with a layout drawing and a clear next step stays in the comparison, and the silent one drops out.

  • “A chase message must add something”

"Any update?" gives the buyer nothing. A message with a sample layout for their hall, a reminder of the date held or a missing question answered gives a reason to reply.

  • “The date creates its own deadline”

A held date cannot be held for ever. A follow-up that tells the buyer the date is still free, and says when you must release it, is honest and moves the decision.

  • “After the show is the best time to ask”

The buyer has just seen the wall work. A short thank-you, a request for a review and a note of the next event on their calendar is seldom sent, and it costs little.

What we do

What we deliver for LED wall rental companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A reply routine for new enquiries

A set first reply with the questions about venue, date, distance and content, sent from one shared number.

Result: No enquiry waits for the right person to be free.

  2. A quote follow-up sequence

A short series of messages that each add something: a layout, a venue example, a question or a date reminder.

Result: Each chase message gives the buyer a reason to answer.

  3. A held-date rule

A written rule for how long a date is held and how the buyer is told.

Result: Clashes and false holds are reduced.

  4. A post-show message

A thank-you with a request for a review and a note on future events, sent to the person who booked.

Result: Every show ends with a contact and a request.

  5. A lost-quote check

A last message to quotes that went quiet, asking what decided it, and the answer filed.

Result: You learn why you lost.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

Each chase should add something the buyer needs to decide.

Quote sent with the date it was sent
Recorded at sending. The next contact is planned from it, in the order the buyer is likely to decide.
A layout drawing on the stage photograph
Sent as a follow-up when the buyer is quiet. It gives them something to show their client and a reason to reply.
Question about content or access
A chase that asks one thing, such as the file format. It moves the booking forward and is easy to answer.
Date held on the calendar
A note that the dates are held for a stated period agreed with the buyer. It creates a reason to decide without pressure.
Post-event feedback request
Sent after the show to the person who booked. It records what worked and opens the next event.

Who it is for

This is written for these LED wall rental companies.

  • Indoor LED wall rental companies for ballrooms and convention halls
  • Outdoor LED screen suppliers for concerts and open-air events
  • Wedding stage LED backdrop providers
  • LED screen suppliers for sports screenings and community events
  • Mobile LED screen van and trailer operators
  • Corporate event LED and video wall suppliers
  • LED wall and live camera production teams
  • LED screen suppliers for exhibitions and trade shows

Not for

It is not the right fit if.

  • Quotes are sent without a dated record, so a follow-up would not know who to chase or when.
  • You want the same reminder text sent to every buyer, which ignores where each one is in the decision.
  • Nobody on the team may hold a date for a buyer without approval, so the date-hold step would stall.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many times should we chase?
Set the number to what fits the buyer and the date, and stop when the buyer says no. A chase that adds value is welcome; a repeated nudge is not.
Can WhatsApp templates be used?
Yes, for the first reply and common questions. Check the platform's current rules on business messaging, and keep a personal line for the quote itself.
What if two buyers want the same date?
Tell the second buyer that the date is under hold and offer to tell them if it frees up, or offer another panel set. Be honest about the clash, because planners talk to each other. Record the hold in the booking record so nobody promises the same wall twice.
Can we use message templates for chasing?
Use templates for the first line and the facts, then add one sentence about this event. A message with nothing specific reads as a mass reminder. Check the platform's current rules on templates before sending to a list of people who have not messaged you.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
