Live music venues and comedy clubs · CRM

Remember every guest, act and planner the venue has ever dealt with.

A CRM for a live music venue or comedy club is the record of who enquired, who booked, who came and who deserves a message about the next night. GullySales sets up a simple system that fits how the venue's team already works and keeps guest data with consent.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For live music venues and comedy clubs

Where it usually goes wrong, and what we would do.

  • “Enquiries live in three phones”

The manager, the owner and the social media person each hold half of the messages. When one is unavailable, a group waits and a booking goes elsewhere.

  • “A person has more than one role”

The same planner may later bring a birthday group, and a guest may turn out to be a comic. A record that links the roles shows the whole relationship.

  • “The next show needs a past-guest list”

A venue that remembers who came to the last stand-up night can invite them to the next. Without records, every show starts with a cold audience.

  • “Guest data needs care”

Names and numbers collected at the door belong to people who gave them for a reason. The venue needs to say how it will use them and to stop when asked.

What we do

What we deliver for live music venues and comedy clubs.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A contact record design

Fields for guest, act and planner, with the date, the night, the group size and the source of each enquiry.

Result: Everyone in the team records the same details.

  2. An enquiry pipeline

Stages from first message to confirmed booking, to attended, to follow-up, with a named owner for each.

Result: No enquiry sits without someone responsible.

  3. Tags for nights and interests

Labels such as open mic, stand-up or birthday so lists can be drawn for a particular show.

Result: A list for the next stand-up night takes a few clicks.

  4. A consent and data note

A short statement on how guest details are used, with a way to leave the list.

Result: Guests know why the venue holds their number.

  5. Team training notes

A one-page guide for the manager and host on adding and updating records.

Result: The system is used on busy nights as well as quiet ones.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

Fields worth keeping

These fields let the venue remember a guest, an act or a planner.

Role in relation to the venue
Guest, organiser, act, manager or planner, filled by whoever takes the enquiry. One person can hold several roles, so the record keeps them together.
Nights attended or hosted
Added at the door or after a booking. It lets the desk invite past comedy guests to the next stand-up night.
Group size and last booking date
Filled when a table is confirmed. It tells the manager who is due a thank-you and who has not been back.
Consent to be messaged and how
Captured at sign-up with the channel agreed. Without it, the next-show invitation cannot go out.
Act terms agreed and last set date
Filled by the booker after each show. It stops the venue from repeating an act too soon or misquoting the pay.

Who it is for

This is written for these live music venues and comedy clubs.

  • Live music bars and gig venues in Bengaluru, Pune, Mumbai and Delhi NCR
  • Comedy clubs and stand-up rooms with a weekly line-up
  • Open mic and indie music cafes
  • Multi-purpose performance spaces and black-box theatres that host gigs
  • Karaoke lounges and singing nights
  • Hotel and resort venues with a resident band night
  • Rooftop and terrace venues running seasonal music evenings
  • Venues hired out by promoters and comedy collectives

Not for

It is not the right fit if.

  • Guests give their number only on the ticket platform, so the venue has nothing of its own to record yet
  • The manager, owner and social media person each keep enquiries on their own phone and will not share them in one place
  • You have no sign-up at the door or online, so there is no consent to hold in a record

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We sit with the people who sell and write down how a deal moves from enquiry to payment, including where it stalls.

  2. 2

    Agree stages, fields and owners

Each stage gets a name your team already uses and a proof that the deal has left it. We agree which fields are required at which stage, and who may change what.

  3. 3

    Build on a copy

Pipeline, fields and views are built on a trial copy where the CRM offers one, or in a separate pipeline where the plan allows. Live work stays untouched.

  4. 4

Connect channels, then switch on automations

Channels are connected first. Each automation is then switched on separately, so a misfiring rule is easy to find.

  5. 5

    Test with real deals

The people who will use the CRM run open deals through it. Gaps are fixed before the whole team switches over.

  6. 6

    Switch over and trim

Once real use shows which fields stay empty and which stages nobody uses, those are cut and the handover record is updated.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Do we need paid software?
Not always. A shared sheet can work for a small room. We suggest a tool when the volume of enquiries justifies it and name only tools in ordinary use in India.
Can past guests be messaged about a new night?
Only those who agreed to hear from you. We build the sign-up so that consent is recorded, and you should check current messaging rules with your own adviser.
What about artist records?
They sit in the same system under a separate tag, with links to past work, the dates played and the terms agreed.
Can we copy guest numbers from a ticket platform into our record?
Only where the guest agreed to be contacted by the venue and the platform's terms allow it. Otherwise ask for their number at the door or on your own sign-up for the next night. Check the platform's current rules before you import anything.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
