Master franchise operators · CRM

Keep candidates, outlets and licensor reports in one record, not three spreadsheets.

A CRM for a master franchise operator holds the sub-franchise candidates, the signed owners, the outlet openings and the licensor reporting in one place. The sales cycle is long and involves several people. GullySales sets up the stages, fields and reports so that nothing depends on one person's memory.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For master franchise operators

Where it usually goes wrong, and what we would do.

  • “A candidate stays in the pipeline for a long time”

An investor visits an outlet, discusses with family, arranges money and returns after a gap. Without a record of each step and the next action, the candidate drifts away or is chased at the wrong moment.

  • “Territory conflicts need a visible record”

Two candidates for the same locality, or a promise made verbally to one, creates a dispute. The record should show which areas are discussed, reserved or sold, so a team member checks before replying.

  • “The same data feeds the licensor's report”

Openings, candidates at each stage and brand-compliance checks go to the licensor. If they live in separate files, the report is compiled by hand before every review. One record gives the report as a by-product.

  • “Sub-franchisees become records after signing”

Once a unit is signed, the owner is still a relationship: training, opening, support requests. A CRM that stops at the signature loses the history that the operator needs to support the outlet.

What we do

What we deliver for master franchise operators.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A pipeline with stages for candidates

Stages from first enquiry through qualification, outlet visit, agreement and opening, with the next action recorded at each.

Result: Every candidate has a stage and a named next step.

  2. A territory register

A record of areas discussed, reserved and sold, visible to everyone who speaks to candidates.

Result: Nobody offers an area that is already committed.

  3. Outlet records after signing

Each unit's owner, opening plan, support requests and listing status in one place.

Result: The operator finds a unit's history without searching email.

  4. A report view for the licensor

A saved view of openings, pipeline and compliance items in the licensor's own terms.

Result: The review call starts from the CRM, not a hand-built sheet.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

Fields worth keeping

Fields that carry a candidate from enquiry to a trading outlet.

Territory or city applied for
Filled at first contact. It prevents two candidates being promised the same area, and it feeds the territory register.
Stage of the candidate
Enquiry, first call, outlet visit, documents, signed, opening. The sales manager reads this to see where candidates stall.
Documents received and outstanding
Filled by the person handling the paperwork. It shows what blocks a signing and what the licensor needs to see.
Opening date and licensor approval status
Filled after signing. It tracks each outlet against the opening targets in your licence.
Reason for a lost candidate
Filled by the caller at the end. Over a season it tells you whether the loss is price, location or trust.

Who it is for

This is written for these master franchise operators.

  • Master franchisees for international food and beverage brands
  • Master franchisees for global education and child enrichment brands
  • Master franchise holders for fitness and wellness brands
  • Master franchisees for retail and lifestyle brands
  • Master franchise operators for hospitality and service brands
  • Regional master franchisees covering several Indian states
  • Master franchisees for Indian brands going into another territory
  • Area developers with rights to open multiple units themselves

Not for

It is not the right fit if.

  • You have fewer than a handful of candidates, so a clear register kept by one person would do the job.
  • Your sales team has not agreed on stage names, and a CRM would only store conflicting words.
  • The licensor wants reports in a format you have not seen yet, so build the report view after you receive it.

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We sit with the people who sell and write down how a deal moves from enquiry to payment, including where it stalls.

  2. 2

    Agree stages, fields and owners

Each stage gets a name your team already uses and a proof that the deal has left it. We agree which fields are required at which stage, and who may change what.

  3. 3

    Build on a copy

Pipeline, fields and views are built on a trial copy where the CRM offers one, or in a separate pipeline where the plan allows. Live work stays untouched.

  4. 4

Connect channels, then switch on automations

Channels are connected first. Each automation is then switched on separately, so a misfiring rule is easy to find.

  5. 5

    Test with real deals

The people who will use the CRM run open deals through it. Gaps are fixed before the whole team switches over.

  6. 6

    Switch over and trim

Once real use shows which fields stay empty and which stages nobody uses, those are cut and the handover record is updated.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Which CRM should we use?
The one your team will keep up. Zoho CRM and HubSpot are in ordinary use in India. We shape the stages and fields around your sales route and your licence reporting, whatever the tool.
Can outlet owners see the CRM?
Only if you decide so, and only their own unit. Access follows the sub-franchise agreement and data rules, so check with your adviser.
How long should we keep records of candidates who did not sign?
Keep them while you have a lawful reason and tell candidates how you use their details. Data protection rules apply to this, so check with your adviser about what to keep and for how long. Record the reason lost, which has value.
What does the licensor need from the CRM?
Read the licence for the reports it requires, then build the fields to match. Likely needs are candidates by stage, openings against target and outlet status. Ask the licensor for a sample report before building, so the fields are right the first time.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
