Nightclubs and discotheques · WhatsApp marketing

Take bookings, lists and party enquiries on one business number.

WhatsApp marketing for a nightclub or discotheque uses a business number to answer enquiries, confirm tables and send night announcements to guests who agreed to receive them. GullySales sets up the account, the replies and the rules for broadcasts.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For nightclubs and discotheques

Where it usually goes wrong, and what we would do.

  • “Guests message because it is easiest”

A host planning a party sends a text and expects a reply in the same app. A club that insists on a call or a form loses the booking.

  • “Personal numbers mix everything”

Family chats, promoter lists and guest requests on a manager's phone get lost. A business account separates them and lets staff share replies.

  • “Broadcasts to the wrong people annoy”

An announcement for an EDM night sent to guests who came for a Bollywood evening wastes goodwill. Lists by interest fix this.

  • “Consent must be recorded”

A number on an old list is not agreement to receive offers. The club has to ask and keep the answer.

What we do

What we deliver for nightclubs and discotheques.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Business account set-up

Profile, hours, greeting and a catalogue of nights.

Result: Guests meet a complete profile.

  2. Saved replies

Answers on entry, timing, tables and directions.

Result: Standard questions get the same answer.

  3. A party enquiry flow

A fixed order of questions for date, size and occasion, ending in a confirmation.

Result: The manager receives full detail.

  4. An opt-in and announcement plan

A way to agree to announcements, with lists by music style and limits on volume.

Result: Messages go to people who asked.

  5. Handover rules

Which messages the host answers and which go to the manager.

Result: Messages do not wait unanswered.

  6. A promoter list intake

A set format for a promoter to send a list: night, number of guests, names and a contact, with a reply that confirms receipt and the entry terms.

Result: Lists arrive in one shape and are confirmed the same way.

  7. A night-of contact line

A rule for who watches the business number on the evening, how a guest stuck at the door reaches a person, and when the greeting switches to a closed message.

Result: A guest at the gate gets a reply from someone on shift.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

What a club says on WhatsApp, to whom and with what consent.

First reply to a party enquiry
Sent from the business number within the same shift: thanks the host, names the night and asks group size and date. Keeps the enquiry from drifting to another club.
Table confirmation
Names the table, the arrival time and the entry rule. A written confirmation settles what was agreed on the phone.
Opt-in line at the door
A QR code or form for guests who agree to hear about nights. Without it the announcement list is a list of strangers.
Night-of contact line
A number the host can message when the group is outside. Someone on shift must be named to answer.
Promoter list intake
A fixed format for names and numbers, agreed with the promoter. It removes the late voice notes the door cannot read.

Who it is for

This is written for these nightclubs and discotheques.

  • Standalone nightclubs and discotheques in metros
  • Club lounges inside five-star and boutique hotels
  • Rooftop and open-air party venues
  • Clubs with a resident DJ and a monthly guest artist
  • EDM and electronic music venues
  • Bollywood and commercial party nights
  • Beach and resort club nights in Goa
  • Venues that host private launches, birthdays and corporate evenings

Not for

It is not the right fit if.

  • The only number is the manager's own phone, so a business routine would stop when they are off shift.
  • Guest numbers were collected at the door without asking, so an announcement would reach people who never agreed.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Is WhatsApp permitted for marketing?
Check the platform's current rules on business messaging before you start. We build around opt-in, so only guests who agreed receive announcements, and we keep the content to the nights, the room and bookings.
Is an automatic reply allowed?
A greeting and a short menu work well, with a person taking the booking. Anything unusual, such as a complaint or a large party, goes to a human on shift, because an automatic answer to those loses the guest.
Can broadcasts carry drink offers?
No, because alcohol advertising is restricted and state rules vary. Your own adviser can confirm what else is safe to send. We write broadcasts about music, line-ups and booking details, and leave offers on drinks out.
Guests reply to our announcements asking to stop. What do we do?
Remove them at once and record the date. Honouring the request protects the number from being reported, and a reported number loses the ability to send. Add the stop instruction to the opt-in line so the guest knows it is available.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
