Seafood exporters · CRM

Keep every importer, sample and trial container in one record the whole team can read.

A CRM for a seafood exporter is a shared record of importers, contacts, samples sent, audits requested and containers shipped. GullySales works on setting up the fields and stages that match your sales cycle, and on moving the visiting-card bundle and email threads into it.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For seafood exporters

Where it usually goes wrong, and what we would do.

  • “The cycle is long and has stages”

Sample, feedback, audit, trial container and standing programme each need a different action. A record with generic lead and won labels cannot show which importer is waiting for a quality reply.

  • “Contacts live in individual inboxes”

When the export manager leaves or travels, the history of an importer goes along. A shared record keeps the conversation with the buyer and the quality contact at the company, not in one person's mailbox.

  • “Samples are money in transit”

Couriered chilled or frozen samples carry real cost. A record that lists dispatch date, contents and the person who owes the follow-up call shows which samples have gone silent.

  • “Several markets, several rule sets”

Buyers in different destinations ask for different documents. Tagging each importer by market lets the team send the right pack the first time.

What we do

What we deliver for seafood exporters.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. CRM set-up

Fields for importer, market, species, pack, volume, contact roles and source, matched to how your team talks about buyers.

Result: A record that mirrors how your export desk works.

  2. Pipeline stages

Stages from enquiry to sample, feedback, audit, trial container and programme, each with a named owner.

Result: Each importer sits in one stage with a person responsible.

  3. Data move-in

Cards, spreadsheets and email contacts cleaned and loaded, with duplicates reviewed by your team.

Result: One list of importers in place of several.

  4. Sample tracker

A view of samples sent, awaiting feedback and decided, with a reminder owner for each.

Result: A screen that shows which samples have had no verdict.

  5. Team habits sheet

A one-page guide on what to log after each call and who updates what.

Result: A short guide your team can follow without training sessions.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

Fields worth keeping

Keep these fields on every importer in your exporter record.

Species, form and pack
Filled by the export desk at first contact. It lets you pull every buyer for squid rings when a catch comes in.
Destination market
Filled at enquiry. It tells the team which documents to attach and which compliance checks to run.
Sample dispatch and verdict
Filled by whoever ships and whoever calls. It shows which samples sit unjudged and who owes the call.
Audit status
Filled by the quality head: requested, scheduled, passed, awaiting reply. It lets sales see why an order is not moving.
Broker or direct importer
Filled at first enquiry. It stops a team member contacting an importer the broker has asked you to leave alone.
Trial container date and outcome
Filled by shipping. It marks the point where an importer becomes a repeat buyer, or a claim needs attention.

Who it is for

This is written for these seafood exporters.

  • Frozen shrimp exporters with their own processing plant
  • Exporters of frozen and chilled finfish such as pomfret, seer fish and tuna
  • Cephalopod exporters for squid, cuttlefish and octopus
  • Dried and salted fish exporters
  • Crab and lobster exporters, including live and chilled shipments
  • Canned and value-added seafood exporters
  • Merchant exporters who source from plants and sell under their own brand
  • Exporters to the Gulf and South-East Asia who sell by the container to wholesalers

Not for

It is not the right fit if.

  • Your enquiries arrive through only one or two brokers and there is little to record beyond their names.
  • The export desk keeps history in personal mail and will not move it, so a shared record would stay empty.
  • Samples are sent with no tracking of who owes the next call, and you would be recording an unreliable routine.

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We sit with the people who sell and write down how a deal moves from enquiry to payment, including where it stalls.

  2. 2

    Agree stages, fields and owners

Each stage gets a name your team already uses and a proof that the deal has left it. We agree which fields are required at which stage, and who may change what.

  3. 3

    Build on a copy

Pipeline, fields and views are built on a trial copy where the CRM offers one, or in a separate pipeline where the plan allows. Live work stays untouched.

  4. 4

Connect channels, then switch on automations

Channels are connected first. Each automation is then switched on separately, so a misfiring rule is easy to find.

  5. 5

    Test with real deals

The people who will use the CRM run open deals through it. Gaps are fixed before the whole team switches over.

  6. 6

    Switch over and trim

Once real use shows which fields stay empty and which stages nobody uses, those are cut and the handover record is updated.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Which CRM should an exporter use?
One your team will update. Tools such as Zoho CRM and HubSpot are in common use in India. Choose by cost, ease and whether the team already knows it.
Can the CRM hold shipment documents?
It can link to them, but the shipping paperwork stays with your documentation team. Keep the CRM for relationship and sales stage, not for the compliance file.
Who should have access?
The export desk, the sales head and the quality contact who handles audit requests. Limit editing to people who own a stage, so records stay clean.
Should claims and complaints be recorded in the CRM?
Yes, as a note on the buyer with the date, the lot and the outcome. Claims shape how an importer treats your next quote, and sales should know before calling. Keep the full claim file with the quality team under restricted access.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
