Vehicle rental · Follow up systems

Follow up the quote, the deposit and the return so a maybe turns into a trip.

A follow-up system for vehicle rental is a set of agreed messages and reminders attached to each stage of a booking. GullySales writes the messages, sets the stages and assigns who sends what, without promising that every quote converts.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For vehicle rental

Where it usually goes wrong, and what we would do.

  • “The quote goes out and then silence”

A customer who gets a rate compares two or three operators before replying. If you wait, you lose to the one who sends a polite nudge with the vehicle photo and the dates.

  • “A deposit is asked for and then forgotten”

A customer who says they will transfer the deposit this evening may simply get busy. A short reminder with the payment details brings the booking back without any pressure.

  • “The return is the best moment to ask for more”

A customer who has just returned a clean vehicle is open to a review, a referral or a note about the next trip. An operator who says goodbye at the counter and nothing more.

  • “Seasonal gaps need a reason to message”

Before a wedding month or a festival, past customers have a reason to book. A message at that point costs nothing and reaches people who already trust you.

What we do

What we deliver for vehicle rental.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A stage-by-stage message set

Saved messages for the quote, the deposit reminder, the confirmation, the pre-trip note and the thank-you.

Result: Each stage has a ready message that anyone can send.

  2. A who-sends-what rota

A short list naming who follows up each stage and when a missed one is passed on.

Result: No follow-up is left to whoever happens to remember.

  3. A pre-trip confirmation

A message sent before the trip with pick-up point, driver details and the terms.

Result: The customer arrives knowing what to expect.

  4. A return and review routine

A thank-you message with a review link and a note to save your number.

Result: Every return ends with an ask and an invitation.

  5. A past-customer reminder plan

A set of messages for past customers ahead of wedding months, holidays and festivals.

Result: Your earlier customers hear from you before they look elsewhere.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

Send and note these at each step from quote to return.

Quote sent with held vehicle
A message saying which vehicle is held, until when, and how to confirm. Written so the customer knows the hold ends and acts.
Deposit request
A message with the amount, the way to pay and the refund rule. Logged as pending until it clears, so no vehicle is promised against an unpaid hold.
Day-before confirmation
A message with the pick-up point, the time and the documents to bring, which cuts the no-shows and the late arrivals.
Return check and thanks
A note at handback recording fuel, kilometres and condition, followed by a thank-you and a review request once the deposit is settled.
Season reminder to past renters
A message ahead of a festival or wedding period to people who rented in a similar one before, sent only to those who agreed to hear from you.

Who it is for

This is written for these vehicle rental.

  • Self-drive car and scooter rental near stations, airports and tourist areas
  • Chauffeur-driven car hire for outstation and airport trips
  • Tempo traveller and mini-bus operators for family trips, pilgrimages and weddings
  • Wedding and event car hire for guests and the couple
  • Monthly rentals and leases to companies for staff transport
  • Commercial vehicle and pickup hire for traders and contractors

Not for

It is not the right fit if.

  • Your vehicles are held on a verbal yes with no deposit rule, so a chase message has nothing to point to.
  • No one owns the follow-ups on busy days, and a half-sent routine confuses customers more than none.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

When should we follow up a quote?
A reasonable pattern is one reminder, then one more with a new reason such as a photo or a date check. We set it with you, and stop when the customer says no.
Will repeated messages annoy customers?
Too many will. Keep each message useful, stop when asked, and check the platform's current rules on messaging before you send.
What if a customer confirms and then does not show?
Follow your deposit rule, which you state before the booking. A clear rule applied evenly is understood by renters, while an unwritten one starts arguments, so decide what is kept or refunded and say it in the confirmation message.
How do we follow up a customer who rented a vehicle that had a problem?
Call first, listen, and settle what is fair before any review request goes out. A rental fault on a trip leaves the customer upset, and a routine thank-you message sent over the top of a complaint makes it worse.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
