Wedding venues · WhatsApp marketing

Answer on WhatsApp with the rate sheet, the rain plan and a visit slot.

WhatsApp marketing for a wedding venue is the use of WhatsApp, in practice the Business app, to answer enquiries, send rate sheets and photographs, and keep planners and families informed. GullySales works on the replies, the catalogue and the broadcast lists you use, within the platform's current rules.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For wedding venues

Where it usually goes wrong, and what we would do.

  • “The family expects an answer on WhatsApp”

Enquiries come by Instagram, a call or a listing, and the conversation moves to WhatsApp. A venue that answers there with the rate sheet and photographs keeps the family in the talk.

  • “Planners live in groups and lists”

A planner runs several weddings at once and wants rates and dates sent to them in one thread. A planner broadcast list, used for seasonal updates, replaces a series of repeated calls.

  • “A personal number breaks when staff change”

If the venue's enquiries run on one person's phone, they leave with that person. The business number, a shared inbox and agreed replies keep the history with the venue.

  • “Photographs sent without context confuse”

Forwarding twenty pictures in one go leaves a family unsure which event each shows. A short catalogue arranged by event, with a line on capacity, is easier to read and to share with the elders.

What we do

What we deliver for wedding venues.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A WhatsApp Business profile and catalogue

The profile set up with venue details, hours and a catalogue of events, with photographs and capacity.

Result: A family sees the venue's details in the chat.

  2. Saved replies for the common questions

Prepared answers about rates, rain, curfew, vendors and parking, each ending with a question about the date.

Result: Each first reply is complete and moves the enquiry on.

  3. A planner broadcast list

A list of planners who have agreed to receive season updates, rate changes and date openings.

Result: Planners get dates and rates without a call.

  4. A hold and advance message set

Messages for confirming a hold, sending the payment details and acknowledging the advance.

Result: The family has the hold in writing.

  5. Consent and opt-out handling

A note on how each contact agreed to receive messages and how they can stop them.

Result: The list holds only people who agreed.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

These are the messages a wedding venue should send and what to record.

First reply with the rate sheet
Send the sheet, the rain plan photograph and two visit slots in one message so the family can answer with a single tap.
Directions pin and parking note
Share the map pin and the gate to use. A family arriving for a visit with relatives needs this before they set out.
Date hold confirmation
Write the date, the end of the hold and the amount due. A written message avoids disagreement later.
Planner broadcast of free dates
Send free weekends to planners who asked for it, and record consent. It saves their questions and keeps you in their shortlist.
Consent and number
Record who agreed to be messaged and on which number. It keeps later offers welcome and avoids messaging a relative who never asked.

Who it is for

This is written for these wedding venues.

  • Lawns and gardens in city outskirts
  • Farmhouses hired for the wedding events
  • Heritage havelis and palace properties
  • Beachside and lakeside venues
  • Resort lawns that rent only the open area
  • Temple-side and riverside ghat-style venues
  • Venues attached to a hotel that take outside planners
  • Farm and orchard venues run by a landowning family

Not for

It is not the right fit if.

  • You have not recorded which planners and families agreed to messages, so a broadcast would reach people who never asked.
  • Nobody monitors the number after the evening shift, which is when families write, so replies would arrive too late.
  • Your photographs and rate sheet are not final, so the first message would carry material you plan to change.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we send offers to everyone who ever enquired?
Only to people who agreed to receive them. Check the platform's current rules on business messages, and keep a record of consent.
Should we use the Business app or the paid API?
The Business app is enough while one or two people handle the chats. The API suits a venue with a large team and a high volume of chats. Decide after you see the number of conversations you handle.
Should the venue's WhatsApp number be the owner's own?
Use a business number the whole team can watch, not the owner's personal phone. Enquiries arrive in the evening and on event days when the owner is busy on the lawn. A shared number keeps replies moving and leaves a record if staff change.
Can we send a family's wedding photographs through WhatsApp to new enquirers?
Only with the family's consent, and send venue photographs in preference. A forwarded picture of a real wedding reaches many people and cannot be recalled. Keep a set of images you have cleared and send those, with the family's name left out.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.

Your next practical step

Tell us what you are trying to grow, and we will read it before we call.

Eight short steps, mostly taps. Skip anything you would rather answer on the call.
