Solar maintenance companies · Customer retention

Count how many AMC customers renewed, from the job sheets you already have.

Customer retention for a solar maintenance company means keeping rooftop owners on annual maintenance contracts and bringing back the ones who paid for one cleaning and disappeared. GullySales works out from your own job sheets who renewed, who lapsed and who was never offered a contract, then builds the renewal and win-back routine.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What customer retention means

Customer retention is keeping an existing customer buying again rather than losing them to a competitor after the first purchase, usually cheaper than winning a new customer. GullySales sets a routine of check-ins and renewal reminders aimed at customers before they show signs of leaving.

For solar maintenance companies

Where it usually goes wrong, and what we would do.

  • “The contract looks like cleaning to the owner”

When the monsoon washes the panels, the owner wonders what the visit is for. The contract has to show inspection, readings and a named engineer or it gets cancelled.

  • “Renewals depend on one engineer remembering”

The dates sit in his diary or his head. When he is on leave, or has left, the contract lapses quietly and nobody knows how many did.

  • “Nobody counts the customers who stopped”

One-off cleaning customers never ring again, and nobody reads the job sheets to see how many there were or why.

What we do

What we deliver for solar maintenance companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A customer register built from job sheets

Every serviced roof with its first visit, last visit, contract status and renewal date, assembled from the sheets and invoices you already hold.

Result: You see who is a contract customer, who is a one-off and who has lapsed.

  2. A renewal list by date

Contracts listed by renewal date with a named person for each call.

Result: No renewal is left to memory.

  3. A contract that shows more than cleaning

A visit summary that carries the inspection findings, the readings and any parts advised, so the owner sees the work.

Result: The renewal conversation starts from what was found.

  4. A lapsed-customer call

A short call script with the reasons recorded in the owner's words: moved, cheaper cleaner, no need, unhappy.

Result: You learn why owners leave.

  5. A seasonal message to past customers

A note to one-off customers before the dusty season offering an inspection with their next cleaning.

Result: One-off customers hear from you at the right time.

  6. Retention measures from the baseline

Renewals against lapses, set against the starting figures.

Result: You can tell whether the routine is working.

How the result is measured

  • Retention rate
  • Repeat purchase rate
  • Customers won back

Recorded as a baseline before work starts, so every later report has an honest comparison.

Work it out from your records

How to work out who is staying and who is leaving from the job sheets and invoices you already keep.

Contracts due for renewal
List every AMC with its start date and add one year to each. Those falling in the coming season are called first. Mark which are already paid.
Renewed against lapsed
For contracts that fell due last season, count those paid again and those not. Put the two counts side by side on one sheet. The gap is your lapsed list.
One-off cleaners who never came back
From invoices, list customers billed for one cleaning and not billed again within a year. They never were contracts, and they are your first offer list.
Reasons for leaving
On every lapsed customer, record why in their words: moved, cheaper cleaner, did not see the point, unhappy. Count the reasons by type after a season. The largest group is what to fix first.
Roofs that began with a repair
Mark customers whose first job was an inverter repair, then check how many later signed an AMC. If few did, the repair visit is missing the offer.
Gaps between visits
For each contract note the dates of every visit. A customer whose visits drifted apart before they lapsed shows a pattern you can watch for in the next ones.

Not for

It is not the right fit if.

  • You want a guaranteed Google ranking or a guaranteed number of leads. Nobody honest can promise either.
  • You need enquiries by next week and have nobody to answer them.
  • You want posts and reach reported, not enquiries and orders.

How it works

From your first message to the first report.

No open-ended retainer. Every step gives you something in writing.

  1. First

    Your brief

You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.

  2. After the brief

A conversation and a written scope

We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.

  3. Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later report has an honest comparison.

  4. After the baseline

    The first fix goes live

The fix we agreed to start with is put in place and measured against the baseline, whether that is reply time, a follow-up sequence, the page buyers land on or the handover between marketing and sales.

  5. As agreed

    Report against the baseline

What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.

  6. At renewal

    Renew on the numbers

The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.

How the customer retention work runs

  1. 1

    Assess current retention

A first read of current retention rate, existing tactics and where they are or are not coordinated.

  2. 2

    Build the strategy

A written plan developed covering priority segments, touchpoints and a measurable target.

  3. 3

    Align existing tactics

Current retention activities mapped against the strategy and adjusted to work together rather than independently.

  4. 4

    Track toward the target

Retention tracked against the goal, with the strategy adjusted as results come in.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every later report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No guarantees we cannot keep

The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

FAQ

Questions owners ask before they call.

When does a customer count as lapsed?
Decide it from your own pattern and write it down. A contract customer lapses when the renewal date passes without payment. A cleaning customer lapses when the gap since the last visit is longer than their usual round.
How do we win back someone who went to a cheaper cleaner?
Ask what they felt was missing, without pitching. If their system is producing well, say so and offer an inspection for when they next want one. Never run down the other cleaner, and accept a no.
Should the engineer or the desk make the renewal call?
The desk makes it. Owners talk to the engineer about the roof and to the desk about money, and keeping the two apart stops the engineer bargaining over a price on the roof. The engineer's notes from the visit go into the call.
Should we offer a discount for renewing early?
Try it on a few renewals and compare with the register before you offer it to all. A standing discount teaches owners to wait. An extra inspection visit in kind costs you less and shows the owner what the contract covers.
Customers only want cleaning and stop after one visit. How do we sell a contract?
Price the single cleaning on its own, and sell the contract on what a cleaner cannot give: an inspection, readings at each visit and a named engineer for faults. Show a sample visit report before the owner decides. Some owners will only ever want a bucket and a hose, and that is a fair answer.
Can you get us empanelled by inverter or panel makers as a service partner?
No. Empanelment is between your company and the maker, on their terms. We make your company name, address and service areas match across your site, Google and listings, so a maker's helpline or a dealer checking you finds the same business everywhere.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
