Data analytics companies · CRM

Keep the sponsor, the data source and the next step on one record.

A CRM for an analytics firm is the record of each prospect, the question they want answered, the people involved and the state of any pilot. GullySales sets up fields and stages that fit a project sale, so a long conversation does not rest on one person's memory.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means

A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For data analytics companies

Where it usually goes wrong, and what we would do.

  • “A name and phone number is not enough”

An analytics enquiry needs the business question, the system holding the data and the people involved. Without them, the record cannot tell a serious buyer from a curious one.

  • “Pilots and contracts need separate stages”

A small pilot and a continuing engagement are different sales. If both sit under one stage called won, the firm cannot see which pilots turned into contracts or why others stopped.

  • “Sponsors change and the record forgets”

When the manager who asked for the dashboard leaves, a new head arrives with no context. A record that lists every contact and their role lets the firm introduce itself again, with history.

  • “Usage after delivery belongs in the record”

Whether the dashboard is opened, and by whom, predicts the renewal. A note of who uses it and who has stopped turns a vague worry into a call that can be made.

What we do

What we deliver for data analytics companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Fields for a project sale

Fields for the business question, the data systems, the sponsor, the user, the approver and the pilot scope.

Result: Anyone opening a record sees the whole situation.

  2. Stages from enquiry to renewal

Stages that separate enquiry, sample shown, pilot scoped, pilot running, contract and renewal.

Result: The pipeline shows where projects stall.

  3. Contact roles on each account

A required role label on every contact, so sponsor, user and approver are never confused.

Result: You can find a second sponsor when one leaves.

  4. Usage notes after go-live

A simple way to log who is opening the output and who has gone quiet.

Result: A fading project is noticed while it can still be saved.

  5. Source and referrer tracking

A field recording who introduced each prospect, with a note to thank them.

Result: Your best sources of introductions are visible.

How the result is measured

  • Enquiries logged in the CRM
  • Data completeness
  • Reports generated from CRM data

Recorded as a baseline before work starts, so every later report has an honest comparison.

Fields worth keeping

A project sale needs more fields than a name and a number: who decides, what data and what next.

Sponsor, user and approver roles
Filled by whoever held the first call, so each person is a separate contact and the second sponsor is known early.
Business question and function
Filled at the first call in the owner's words, and it lets the team send the right sample and find similar past work.
Data source and its condition
Filled after the readiness talk, so the scope reflects the real cleaning needed and the quote does not drift.
Pilot or contract stage
Filled by the owner of the account, so pilots are counted apart from continuing contracts when the pipeline is read.
Usage notes after go-live
Filled by the delivery lead, so a quiet dashboard is spotted while there is still a chance to help.
Referrer or partner
Filled once, and it lets the firm thank the introducer and see which partners send serious projects.

Who it is for

This is written for these data analytics companies.

  • Business intelligence and dashboard consultancies
  • Sales and marketing analytics specialists
  • Retail and distribution analytics firms
  • Manufacturing and operations analytics providers
  • Finance and collections analytics specialists
  • Customer churn and segmentation analysts
  • Data engineering and warehouse build firms
  • Forecasting and demand planning specialists

Not for

It is not the right fit if.

  • You have only a handful of live conversations and the founder holds each one, so a record would be written after the fact.
  • You would store client data in the record, which does not belong in a sales tool and raises confidentiality problems.

How it works

How the CRM work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Map the sales process

We sit with the people who sell and write down how a deal moves from enquiry to payment, including where it stalls.

  2. 2

    Agree stages, fields and owners

Each stage gets a name your team already uses and a proof that the deal has left it. We agree which fields are required at which stage, and who may change what.

  3. 3

    Build on a copy

Pipeline, fields and views are built on a trial copy where the CRM offers one, or in a separate pipeline where the plan allows. Live work stays untouched.

  4. 4

Connect channels, then switch on automations

Channels are connected first. Each automation is then switched on separately, so a misfiring rule is easy to find.

  5. 5

    Test with real deals

The people who will use the CRM run open deals through it. Gaps are fixed before the whole team switches over.

  6. 6

    Switch over and trim

Once real use shows which fields stay empty and which stages nobody uses, those are cut and the handover record is updated.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales management. A target, a review routine and someone who owns the number.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3 · you are here

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Which CRM should a small analytics firm use?
One your team will actually open. A simple tool in ordinary use in India, set up well, beats a large one nobody updates. GullySales works with what you already have where possible.
Should client data sit in the CRM?
No. Keep the record about the relationship and the project, and leave client datasets in the secure place you already use for them.
Who updates the record?
Whoever spoke to the prospect, straight after the call. A record written a week later is already wrong, so make the update part of ending the call.
Should delivery and sales share one record?
Share the account, keep the details apart. Sales needs the sponsor, the stage and the next step. Delivery needs scope and data notes. A shared account view lets each side see the other's notes without mixing client data into the sales record.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
