Engineering R&D and embedded systems service companies · WhatsApp marketing

Use WhatsApp for quick coordination, and keep design records elsewhere.

WhatsApp for an engineering services firm is how a startup founder, a procurement contact or an overseas engineer sends a quick question. GullySales sets rules for its use that protect confidentiality.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

For engineering R&D and embedded systems service companies

Where it usually goes wrong, and what we would do.

  • “Founders prefer WhatsApp”

A hardware startup founder messages at odd hours. A firm that answers there wins attention, if it keeps proper records elsewhere. Reply on a business number with a clear greeting and a shared inbox, then move the technical discussion to email and a call so a record exists.

  • “Design files should never travel on chat”

Schematics, source and test data on personal phones create confidentiality and security risk. Schematics, firmware images and test logs on personal phones fall outside the client's security controls and can break the NDA the day a phone is lost.

  • “Large clients forbid it”

Corporate vendors require email and approved tools for project communication. The firm must know each client's rule. A bank, an automotive supplier or a medical device maker may bar chat apps for project talk, and the firm should list each client's permitted channel at kickoff.

  • “Personal numbers hold business history”

If an engineer leaves, the client history leaves too. The firm should hold client chats on a company number, so an engineer who leaves takes no client contact or history away.

What we do

What we deliver for engineering R&D and embedded systems service companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A business WhatsApp setup

A business profile on a shared number with services and hours.

Result: Buyers reach the firm, not a person.

  2. A file and data rule

A one-page policy saying no designs, code or test data over chat.

Result: Confidential material stays in approved tools.

  3. Per-client channel notes

A record of which channels each client permits.

Result: Teams follow each client's rules.

  4. Templates for meetings and handovers

Short messages for confirmations and document handovers.

Result: The team replies in one voice.

  5. Consent practice for outreach

A routine for asking before messaging with a way to stop.

Result: Messages go only to people who agreed.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

The messages that suit WhatsApp for an engineering firm, and those that do not.

Meeting confirmation and joining link
A saved reply with the date, the agenda and the engineer attending. It suits a founder or overseas contact who answers chat faster than email.
Founder asking about a prototype
A reply that asks the product stage and the budget owner, then moves to a call. Keep the design discussion off the chat.
Vendor paperwork reminder
A short message to a purchasing contact naming the form still pending, with the portal link. Log the date it was sent.
Handover and delivery notice
A message that a build or document has been placed in the shared repository, with the access note. The files never travel on chat.
A client's channel preference
A line on the account saying whether chat is allowed for that client. Check it before any message goes out.

Who it is for

This is written for these engineering R&D and embedded systems service companies.

  • Embedded firmware and hardware design houses
  • Automotive electronics and software engineering firms
  • Industrial IoT and edge device developers
  • Medical device and healthcare electronics engineering teams
  • Mechanical design, CAE and product engineering firms
  • Verification, validation and test engineering companies
  • PCB design and electronics manufacturing design support
  • Aerospace and defence engineering service providers
  • Semiconductor design and VLSI service companies

Not for

It is not the right fit if.

  • Your largest clients bar chat apps for project talk, and a WhatsApp plan would serve only a small share of the pipeline.
  • Engineers want to share schematics and code on chat, and no one has set a rule against it.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we use WhatsApp with enterprise clients?
Only if their policy allows it. Some require email or their own tools, so ask at kickoff. Ask at kickoff which tools the client allows, and record the answer in the project file so everyone follows it.
Should engineers share files by chat?
No. Use the secure file channel agreed in the contract. Share code, designs and logs through the secure channel named in the contract, such as an access-controlled repository or file share.
Is it right for first contact?
For a founder, yes. Move to email and a call soon after for anything that needs a record. Use chat to say hello, fix a time and send the agenda, then write up the proposal and any scope detail in email. Keep the written record of scope, dates and approvals in one place.
An engineer sends a log extract on chat to help a client. Is that a problem?
It can be, because logs may carry client data or code. Set a rule that files and extracts go to the agreed repository or secure link, never chat. The chat carries a pointer and a short note. Brief every engineer on the rule when they join.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.

Your next practical step

Tell us what you are trying to grow, and we will read it before we call.

Eight short steps, mostly taps. Skip anything you would rather answer on the call.
