Hospital management software providers · Follow up systems

Follow up with each person who sat in the demo, not only the one who called you.

A follow-up system for a hospital software provider sets who contacts which committee member, with what, after each demo or quote. GullySales works on the notes, the owners and the reminders so a long evaluation does not go cold.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For hospital management software providers

Where it usually goes wrong, and what we would do.

  • “The objector is the person nobody calls back”

After the demo, the owner gets a thank-you and the quote. The accounts head who raised a billing question receives nothing, and decides alone. A follow-up note per person answers that gap.

  • “Silence in a hospital evaluation is not a no”

Committees wait for a trustee meeting, a board approval or a busy season. A reminder that offers a useful document, not a nudge for a decision, keeps the vendor present without pressing.

  • “A reference call needs its own follow-up”

After a buyer speaks to another hospital, the vendor should ask what the buyer learned and what remains open. Without that step, the call is a favour from the reference hospital and nothing more.

What we do

What we deliver for hospital management software providers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. Per-person follow-up notes

A note template for each role, sent after a demo and answering what that person asked.

Result: Every person in the room gets a reply that mentions their own question.

  2. Follow-up owner for each contact

A named team member for each person on a committee, recorded in the CRM.

Result: No committee member is without an owner.

  3. Useful-document reminders

A set of documents to send during a long gap, such as the go-live explainer or the support page.

Result: A quiet evaluation gets something useful, not a chase.

  4. Reference call debrief

A short routine for asking the buyer and the reference hospital what was covered afterwards.

Result: You know what the buyer heard from the reference.

  5. Quote follow-up routine

Steps for what happens after a quote is sent, who calls whom and what is recorded.

Result: A quote that goes quiet has a next step on record.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

A note for each person who sat in the demo.

Thank-you note to each attendee
A short message to every person present, not only the caller, restating the one question that person asked.
Answer to the objector's question
A reply to the doctor or IT person who raised a doubt, with the document or screen that addresses it.
Reference call debrief
Notes taken after a customer call: what the hospital asked, what was said and what the buyer still doubts.
Quote and next step
Sent with a named owner on your side and a date to ask whether the committee needs anything more.
Stalled evaluation check
A courteous message to an administrator whose evaluation has gone quiet, offering a short call and not another demo.

Who it is for

This is written for these hospital management software providers.

  • Clinic management software for single-doctor and small practices
  • Hospital information systems for nursing homes and mid-size hospitals
  • Multi-speciality and multi-branch hospital chain systems
  • Diagnostic centre and laboratory information systems
  • Pharmacy and hospital store management software
  • Dental, eye and physiotherapy practice software
  • Patient app and teleconsultation tools sold with the main system
  • Insurance and TPA claim modules

Not for

It is not the right fit if.

  • You have only one person who handles both sales and support, and a follow-up routine would add to a day that is already full.
  • Nobody has noted who attended the demos, so there is no one to write to.
  • You plan to send many reminders to a hospital that has asked for time, which loses the committee's trust.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How often should we follow up?
That depends on the hospital's own decision rhythm. We set the rhythm with your sales lead for each facility type, and the CRM shows which evaluations have gone quiet.
Should follow-up go on WhatsApp?
Where the buyer already uses it for the evaluation, yes, with the hospital's consent. Keep clinical and patient details out of the chat and move quotes and documents to email.
What if a hospital goes quiet after the quote?
Ask one person at a time whether the committee needs another document or a call with a customer. Evaluations pause for budget, trustee meetings and accreditation, so silence is not a refusal. Record the reason if given and move them to a lower-contact list without closing the file.
How do we follow up with a doctor who dislikes the software?
Ask what the doctor would change and show how it is done, if it can be. A doctor's complaint about clicks is either a training problem or a fair product gap, so reply honestly and do not hide a limit. The accounts head and the administrator will hear the doctor's view.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
