School management software providers · WhatsApp marketing

Principals answer WhatsApp before email, so the demo link belongs there.

WhatsApp marketing for a school software firm is the use of WhatsApp, including the business app and its approved templates, to speak with school offices and to introduce the parent app. GullySales works on the opening message, the consent behind it and the handover to a salesperson.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

For school management software providers

Where it usually goes wrong, and what we would do.

  • “The school office lives on WhatsApp”

A principal replies to a message within the day while email sits unread. A short WhatsApp note with a demo link and a name gets a reply that a long email may not, provided the school expects to hear from you.

  • “Consent comes before the first message”

A school that has not asked to hear from you may be annoyed by a broadcast. Collect permission through a form, an association talk or a call, and check the platform's current rules on business messaging before sending.

  • “The parent app launch runs through WhatsApp groups”

When a customer school introduces the app, parents hear about it in class groups. A ready announcement, in the language of the parents, saves the school office from writing one and from getting it wrong.

  • “A shared number loses conversations”

If one phone is used by three salespeople, a principal's reply can land with the wrong person. A business account with named owners keeps the thread with whoever knows the school.

What we do

What we deliver for school management software providers.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A WhatsApp business set-up

A business profile, a greeting, quick replies and labels for enquiry, demo booked and customer, set up on the number you will use.

Result: Schools see a clear business name and get a prompt first reply.

  2. Approved message templates

Short notes for demo reminders, document sharing and post-demo follow-up, written for school offices and submitted to the platform as it requires.

Result: Your team uses tested wording and not improvised messages.

  3. A consent and opt-out routine

A simple way to record that a school agreed to be messaged and a clear way to stop, held against its CRM record.

Result: Every number on your list has a recorded permission.

  4. A parent app announcement pack

Ready messages and a short notice for school groups in the languages the parents use, to be sent by the school itself.

Result: The school office can announce the app the day it goes live.

  5. A handover rule between chat and sales

A note on when a chat becomes a call, who picks it up and how the thread is logged.

Result: Nobody has to scroll old chats to find what a school was told.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

The messages worth sending to a school office, and what each should carry.

Demo link and time confirmation
A message with the date, the link and the person presenting. Sent to the principal and the accountant who both need to attend.
Screen recording of the fee flow
A short clip of a sample fee receipt, sent to the accountant after the demo. Uses dummy data, never another school's records.
Parent app launch note
A message the school forwards to parent groups, explaining how to log in. Written in the language parents use.
Import file checklist
A list of the files and columns the school must send for the data import. Cuts the back and forth between the office and onboarding.
Support confirmation
A message acknowledging a problem raised in the first week, naming who is handling it. Keeps a new school confident.

Who it is for

This is written for these school management software providers.

  • Software for single-campus private schools
  • Platforms for school groups and trusts with many campuses
  • Fee collection and accounting tools for schools
  • Parent and student mobile app providers
  • Admission and enquiry management tools for schools
  • Transport tracking and attendance software
  • Pre-school and play-school management software
  • Coaching centre and tuition institute management software

Not for

It is not the right fit if.

  • You have no consent from schools to message them, and a bulk send would reach offices that never agreed.
  • Your team shares one number and cannot say who answers, so a school's chat would be lost.
  • You wish to message parents directly without the school's agreement.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Can we send bulk WhatsApp messages to schools?
Only to those who have agreed, and within the platform's current rules, which you should check before each campaign. GullySales plans consent first and treats broadcasts as the exception, not the habit.
Should the parent app be marketed to parents directly?
Parents belong to the school, not to you. The school introduces the app, and you supply the material. Messaging parents without the school's request puts your customer relationship at risk.
Can we send bulk WhatsApp messages to schools?
Only to those who agreed to receive them. A cold bulk send risks the number being blocked and a school offended. Message schools that enquired or attended a demo, and use calls or visits to reach the rest.
Should the parent app be marketed to parents directly?
Not by you. Parents are the school's relationship, and a message from a vendor can confuse them. Give the school a launch note to send in its own groups and answer the school's support queries.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
