Server management companies · WhatsApp marketing

Use WhatsApp for the emergency message an owner sends before they pick up the phone.

WhatsApp marketing for a server management company covers how an owner reaches you in a crisis and how you reply, share reports and keep a care client informed. GullySales sets up the business number, the opening replies and the rules for who may message whom.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What WhatsApp marketing means

WhatsApp marketing is sending updates, offers and reminders to customers on the app most Indian buyers already check daily. GullySales sets up business WhatsApp, writes the message templates and keeps the list consented and current.

For server management companies

Where it usually goes wrong, and what we would do.

  • “The first message in a crisis is a photo”

The owner sends a screenshot of an error and a line of panic. A reply that asks the platform, the host and what changed turns that photo into a diagnosis and tells the owner they have reached a professional.

  • “Sensitive details travel badly by chat”

Owners will paste a password into a message if asked in a hurry. Your reply script should say what never to send and where to share access instead, which also shows the owner you handle credentials carefully.

  • “Groups blur responsibility”

A client group with five staff, two developers and a vendor produces conflicting instructions. Agree who may request changes, and keep the decision record outside the chat.

  • “A business number needs a human behind it”

An unanswered message in a crisis costs the job. Decide who watches the number, what the out-of-hours reply says and when the owner is asked to phone instead.

What we do

What we deliver for server management companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A business profile and number setup

A WhatsApp Business profile with your service, contact route and an honest greeting.

Result: The profile tells an owner what you do and how to reach an engineer.

  2. Opening reply scripts

Replies for an error screenshot, a handover enquiry and a quote request, each asking the right first questions.

Result: A new team member can answer the three common openings without improvising.

  3. A credentials handling note

A short message explaining which details to send, which to withhold and where access is shared safely.

Result: The message can be sent to any client in one step.

  4. Report delivery via chat

A format for sending a short service note and a request to confirm receipt.

Result: Clients receive the note in a layout they can read on a phone.

  5. Opt-in and group rules

A plain record of who agreed to receive messages and a rule for client groups.

Result: Your list shows consent for each contact, and groups have a named lead.

How the result is measured

  • Messages delivered
  • Reply rate
  • Enquiries from WhatsApp

Recorded as a baseline before work starts, so every later report has an honest comparison.

What to capture or send

What to ask for in the first chat message when a server fails.

Photograph of the error screen
The message the owner sees names the fault. Ask for a screenshot rather than a description.
Which site or system
The web address or the application name, so the right engineer picks it up.
When it last worked
The time the owner last saw it fine, which narrows the cause.
Recent changes
An update, a new plugin or a payment of hosting dues. Many failures follow a change.
Best number to call
Confirm the person who can approve access, and move the sensitive detail to a call.

Who it is for

This is written for these server management companies.

  • Online stores and marketplaces that cannot afford downtime in a sale
  • Companies running ERP or accounting on a hosted or office server
  • Web agencies that hand over client servers after launch
  • Schools and colleges with admission and result-day peaks
  • Clinics and hospitals running a hosted records system
  • Startups without an in-house infrastructure person
  • Manufacturers with an office server, tally data and email
  • Media and publishing sites with traffic spikes

Not for

It is not the right fit if.

  • Nobody watches the business number out of office hours, so emergency messages would sit unread.
  • You plan to receive passwords or keys in chat, which is unsafe and leaves them in the history.
  • You use one personal phone for every client and cannot separate threads.

How it works

How the whatsapp marketing work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

Read the chats you already have

We read how customers write to you, which questions repeat and where a chat goes quiet. The repeated questions decide what gets automated first.

  2. 2

Sort the list and the permission

Contacts who asked to hear from you are separated from numbers that only sit in a phone book. We agree the wording new contacts will see before they say yes.

  3. 3

Choose the app or the API

One phone and a small team can stay on the ordinary app. Several people on one number, templates or a CRM link need the API through a provider, which is its own piece of setup work.

  4. 4

Write the replies and the plan

The greeting, away message, saved replies and handover rule are written in your words and approved by you. The message plan and its templates follow.

  5. 5

    Connect the record and test

Each link carries its source line and each chat lands in the CRM. We test on real phones, including a customer who asks for a person.

  6. 6

    Read the unanswered questions

A question the first reply could not answer becomes a new saved reply or a fixed handover. Stop requests are watched too, with the number's quality rating where the API is used, since both show a message plan that has gone too far.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Is it safe to take emergency requests on WhatsApp?
It is a convenient first contact. Move any access details to a proper password manager or a call, and note decisions in your ticket record, not only in the chat.
Can we send broadcast messages to clients?
Only to those who have agreed to receive them, and with content they value, such as an expiry notice. Check the platform's current rules and keep messages relevant and infrequent.
Who should hold the business number?
Assign it to a role, not a single engineer's phone, so a resignation or holiday does not cut the line. Document who has access and review it when staff change.
Can clients send access details on WhatsApp?
No. Ask for credentials through a secure channel or have the owner create a temporary account. Chat history is stored on phones and backups, so a password sent there stays exposed long after the fault is fixed.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
