Yoga and pilates studios · Follow up systems

Chase the trial that never came back and the member who stopped coming.

Follow-up for a studio is what happens after a trial class that did not turn into a pack, a pack that ran out quietly, and a member who has missed their batch for a fortnight without saying why. GullySales writes who sends which message, when, and the point at which the studio stops asking.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For yoga and pilates studios

Where it usually goes wrong, and what we would do.

  • “The trial student decides on the walk to the car”

The student tried the 7am Hatha batch, said they would think about it, and the front desk never heard from them again. The message that works goes out the same evening, from the teacher, and mentions the one thing the student said about their shoulder or schedule. A pack price sent cold a week later is ignored.

  • “A missed batch is a signal, a missed fortnight is a resignation”

Members rarely cancel. They stop coming, the pack expires, and the studio notices when the auto-debit fails. The follow-up starts at the second missed class, from the teacher, and asks about the knee or the office move rather than pushing the renewal.

  • “The reminder before class is a follow-up too”

For a reformer batch with six beds, a no-show is a bed nobody else could take. A confirmation the evening before, with a way to release the spot, fills it from the waitlist. Write down when the studio stops chasing, because a student who has ignored four messages has answered.

What we do

What we deliver for yoga and pilates studios.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A same-evening message after every trial

A short note from the teacher who took the class, sent the day of the trial, that names what the student mentioned and offers the pack that fits the student's batch.

Result: The trial is followed up while the student still remembers the class.

  2. An absence rule by class type

The number of missed sessions after which a teacher, not the desk, writes to a member, set separately for a daily Hatha batch and a reformer slot attended on two days.

Result: A member hears from you before the pack quietly expires.

  3. A pack-expiry sequence

Messages at the last two sessions of a pack and again after it lapses, worded around the batch attended rather than the price.

Result: Renewals are asked for at the right session, not after the fact.

  4. Confirmation and waitlist release before each session

A confirmation the evening before for small equipment classes, with a one-tap release that offers the bed to the next person waiting.

    Result: A no-show becomes somebody else's class.

  5. A written stop rule

The point at which a trial or a lapsed member is marked closed and left alone, agreed with your senior teacher so nobody is chased into blocking your number.

Result: Your studio is remembered as attentive, not as a nuisance.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

Follow-up routine for yoga studios

Each trial, lapsed pack and missed batch has a teacher's message, a note of what the student said and a stop.

Trial class done, no pack
The teacher messages that evening and refers to what the student mentioned, such as a shoulder or a 7am schedule. Offer the pack for that batch and record the reply.
Pack ending soon
Ring or message while sessions remain, ask how the practice is going and offer the next pack for the same batch. Record the sessions used.
Member missed the batch for a stretch
The teacher writes first to ask if the member is well and offers a make-up class. Record the reason and any health or schedule change.
Prenatal or post-surgery student
Ask whether the doctor has cleared the student and note the doctor's advice on the file. Offer a place in the suitable batch and not a general class.
Teacher training enquiry
Reply with the course dates, the eligibility and the fees, and ask about the applicant's experience. Record the background and send a call to talk one-to-one.
Corporate yoga enquiry
Ask HR for the number of staff, the room and the time of day. Send a simple outline and record who approves the booking.

Not for

It is not the right fit if.

  • The studio has no record of who tried a class or agreed to hear from it, so messages would go to people who never asked.
  • The desk cannot send a personal message in the evening after a trial, which is the point of the work.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From your recent enquiries, we set the time each arrived against its first reply, using the call log, chats, form entries and portal panel. We also count the follow-ups each one got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Write the templates and first-call questions

The first reply, the quote follow-up and the last attempt are written in your voice and loaded as quick replies. The first-call questions are agreed with your best salesperson.

  4. 4

    Set ownership, tasks and alerts

Named owners, cover for leave and CRM or sheet tasks go live. App alerts, such as IndiaMART's, are switched on for the right phones.

  5. 5

    Track and adjust

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept. How often you are reported to is agreed in writing.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

How soon after a trial class should we message?
The same evening, and from the teacher, not the front desk. The student is deciding at that moment whether they felt looked after, and a message that names what they said answers that. Two days later it reads as a sales message.
What do we say to a member who has just stopped turning up?
Ask how the member is, not whether they are renewing. Most lapses are a travel month, an injury or a change in office hours. A teacher's message that names the old batch gets a reply where a renewal reminder does not. If the member does not answer the messages in your written rule, close the record and stop.
Should the teacher or the front desk send these messages?
The teacher who took the class sends the personal ones: after a trial, after absences, at renewal. The desk handles reminders and bookings. Record which one has contacted whom, so a student is not messaged twice by different people.
A student says money is tight. Do we offer a discount?
Ask what would help, whether it is a shorter pack, fewer sessions a week or a later start. Offer the options you already have, and decide your pricing in advance. Record what the member chose, and avoid pushing a new offer on others.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
