How real estate businesses can qualify leads before site visits

Six questions asked on WhatsApp or a short call decide whether a buyer deserves a site visit, and they protect your sales team's weekends for the visits that count.

Ask six questions before you book a site visit: budget band, purpose, timeline, location fit, loan readiness and who else decides. Five of the six take a minute each on WhatsApp or a short call. A buyer who answers them is worth a Saturday. A buyer who cannot answer any of them is worth a brochure and a call next month.

Why sales teams burn their weekends

Site visits are expensive. A salesperson loses half a day, a driver and sometimes the project's cab. When a third of the visits are with people who cannot afford the flat, are not buying for months or live on the other side of the city, those weekends are wasted, and the good buyers get a rushed, tired salesperson.

The six questions, and why each one matters

  1. Budget band. Not an exact figure. A range, such as "under 70 lakh", "70 lakh to a crore" or "above". It tells you whether your inventory fits.
  2. Purpose. Own use, investment or a family member's. Own-use buyers want schools and commute. Investors ask about rent and exit.
  3. Timeline. "Buying within three months" and "just looking at options" lead to very different conversations.
  4. Location fit. Are they willing to travel to your area? Many portal enquirers have clicked on a project they never meant to visit.
  5. Loan readiness. Do they need a home loan, and have they spoken to a bank? A buyer with a sanction letter is far ahead of one who has not started.
  6. Who decides. Spouse, parents or a business partner. If the second person has not seen the brochure, plan the visit for both of them.

Ask for the name and phone number first if you do not have them, then these in the order above. Skip a question if the buyer has already answered it.

A short WhatsApp script

Keep it human, and send it within minutes of the enquiry:

Hello, this is Priya from the project team. Thanks for your interest in the 3 BHK. To suggest the right option, may I ask: what budget range are you looking at, and when are you planning to buy?

Then, depending on the reply:

Thank you. Is this for your own stay or as an investment? And would you need a home loan?

Then the visit:

We have Saturday at 11 or Sunday at 4. Would both of you be able to come? I will send the location and the contact person.

Three messages, five answers. If the buyer goes quiet after the first, follow up once the next day and then put them on a slow list.

Portal leads and your own site

Leads from the big property portals often arrive in batches and are sent to several builders at once. Reply fast, ask the budget question at once and expect a lot of drop-out. Leads from your own website or a direct campaign are fewer, and the buyer usually knows what the project offers. They are worth a phone call the same day. What to do with the ones who are not ready

Do not drop them. Put the unqualified into a simple list: ready in three months, ready in six, wrong budget, wrong area. Send a project update now and then and a short question before each launch. A note on RERA and approvals

Projects sit under RERA and state rules, and what you may say in messages and advertisements depends on them. Do not quote returns, do not claim approvals you cannot document, and let your legal adviser tell you what registration details must appear and where. Qualification is a sales step. It does not change what you are allowed to say.

An illustrative example

Say a developer in Whitefield runs a weekend site visit for a mid-range apartment project. The sales team has six slots and thirty-five enquiries. Before qualification, they book the first six who say yes. Afterwards, they ask the six questions and rank the enquiries: two buyers have a loan sanction and a three-month timeline, three are two to six months away, and the rest are other budgets. The two ready buyers and the best of the next group get the Saturday slots. The numbers are made up to show the method, not what you will see.

What to do next

Will asking questions put buyers off?
Some will drop out, and those were unlikely to buy. Buyers who are serious usually answer a short question politely, especially when it is clear you are trying to show them the right home. Keep it to a few questions and ask them in a friendly order.
Are portal leads worse than leads from our own website?
Not always, but they behave differently. Portal enquirers often sent the same request to several builders, so speed matters more. Own-site enquiries tend to be fewer and more specific. Compare the two by site visits and bookings in your own records.
Can we say anything about RERA when qualifying?
State the project's registration details the way your own legal adviser tells you to, and do not make claims about approvals or returns on the chat. Rules differ by state and change, so check with your adviser before publishing or promising anything.
Who should do the qualifying?
A pre-sales person or a trained coordinator, not the senior salesperson who closes. The aim is to free the closers for buyers who are ready to see the site.
