Reorder timing for supplements: reminders that respect when the pack ends

Time a supplement reorder reminder from the pack, not the calendar: count the servings, the packs bought and the delivery days, offer pause and skip in the same message, and keep health out of it.

Say a buyer orders three bottles of fish oil to save on shipping. On day 25 your system tells her she is running low, and she replies STOP. A supplement reminder belongs on the day the pack is about to end, and only the label and the order can tell you that day. Count the units, the daily serving on the label and the packs ordered. Take off the delivery days and a small cushion. Send it once, with a way to pause. Keep it about the pack, never about the body.

What a supplement label adds to the usual sum

Our note on repeat purchase by product type treats supplements as a counted consumable: pack size divided by the daily amount, two packs counted double. That holds. But supplement labels and buyers bring four problems a bag of coffee does not.

A label that gives a range. "One or two capsules daily" means a 60-capsule bottle lasts 30 days or 60. Time the first reminder on the faster rate and ask in it: "Do you take one a day or two?" Record the answer, and the next reminder is right.

No daily figure at all. Some labels say only "as directed by a physician". There is no date to work from, so do not invent one. Send nothing until the buyer has reordered twice, then use their real gap.

Shared tubs. A couple sharing one tub of whey empties it twice as fast. Only the buyer can tell you, so ask at checkout who it is for.

Short courses. Some products are taken for a fixed few weeks on a doctor's advice. For those, a nudge to restock is the last thing anyone needs.

The timing worksheet

Reminder day = (units per pack × packs ordered ÷ daily serving on the label) − delivery days − cushion.

The products and label figures below are illustrative. Use your own labels and delivery times.

Use the delivery time to that buyer's pin code, not your average. A buyer in Guwahati ordering from a Bengaluru warehouse needs the reminder earlier than one across town. And when one buyer has three products ending in the same fortnight, send one message that lists all three.

The product name can say too much

Reminders land on lock screens, and on family tablets that three people use. A message saying "Your PCOS support capsules are running low" tells whoever picks up the phone why she takes them. So do "sugar balance" and "joint care". Use your brand and a plain product name, such as "fish oil" or "your order from (brand)", and never the condition. If your product names carry a condition, that is a problem on the page too, which our note on supplement product pages covers.

Three messages, and what none of them says

The reminder, on the worked-out day:

Hi (name), going by the label, your fish oil from (brand) should run out in about a week. Reorder the same: (link). Not finished yet? Reply 2 and we will remind you in two weeks. Reply STOP and we will not remind you about this product again.

One nudge, a few days later, only if there was no reply:

Just checking, (name): shall we send another bottle? (link). Reply 2 to push this back two weeks, or STOP.

After a pause or a stop:

Done, and thank you for telling us. We will not message you about this product unless you ask.

Notice what is missing. No "don't break the course", no "for best results continue for three months", no line about the heart, the joints or immunity. Those are health statements even when they sound like friendly advice. Any such wording needs your regulatory adviser's approval before it goes into a message, just as it would on the label. When a buyer asks whether to keep taking it, the answer is that their doctor is the person to ask.

A STOP must work at once. Our note on pet food subscriptions sets out the pause logic, and it applies here unchanged. Send on WhatsApp to buyers who agreed at checkout, and by SMS to the rest. Consent and template rules differ by channel and provider and change, so check both. Whoever sends the messages must make STOP work by itself, because nobody remembers to do it by hand.

Imagine a fish oil brand in Visakhapatnam

Imagine a small brand in Visakhapatnam selling fish oil softgels, 60 to a bottle, two a day on the label. Its catalogue called the product "Heart Care Omega". The first reminder went to every buyer on day 25: "Running low on your Heart Care Omega? Don't miss a day, consistency is key for your heart."

It misfired three ways. Buyers who had ordered three bottles got it with two still sealed in the cupboard. One woman's daughter read it on the family tablet and asked what was wrong with her heart. Nothing was; she simply took fish oil. And the message made a health statement nobody had cleared.

The brand rebuilt the reminder from the worksheet, per order, with the delivery time to each pin code. "Fish oil" replaced the product name in every message, and the catalogue name went to the brand's adviser. The heart line was deleted. "Reply 2" and "Reply STOP" went in, and any reply mentioning a doctor now goes to a person rather than the next automated message.

When reminders are the wrong tool

Skip them for short courses, as above. Skip them for children's supplements unless the parent asked for reminders. And skip them where your records show buyers seldom come back for that product. A reminder will not rescue something people did not like; a call asking them why will teach you more.

Check the label sum against real reorders

Fill in the worksheet for the three products with the most repeat orders, using their labels and your slowest delivery lane. Then check it. Look at your recent repeat orders, see how long after the worked-out day buyers actually reordered, and move the reminder to that day. Reminders are one stage of the online sale, and the others sit under e-commerce sales and marketing. If you want the reminders and the WhatsApp replies set up for your store, WhatsApp marketing and automation is the service, and tell us what you need is the first step.

Questions

Questions owners ask.

Who should get the reminder when someone orders for a parent?
The person who placed the order and agreed to hear from you, not the person taking the product. A son in Pune ordering for his father in Nashik wants the reminder himself. Ask once, at checkout, and never add the father's number to your list without his own agreement.
Can I offer a subscription instead of reminders?
Yes, if your payment set-up supports it and you can honour a pause or a cancellation at once. Some buyers prefer a reminder they control to an automatic charge, so offer both. Make the subscription as easy to stop as it was to start, or it will be stopped through a complaint.
What if the buyer is taking it on a doctor's advice?
Then the doctor decides how long they take it, not your message. The reminder says the pack is about to run out and nothing more. If they reply that the doctor has changed or stopped it, mark the order do-not-remind and thank them. Never argue for another pack.
How many reminders are too many for one pack?
More than two. Send the reminder, and if there is no reply, one short nudge a few days later. After that, stop until the buyer orders again. A buyer who wanted to reorder has had two chances, and one who did not will remember being chased.
