Replying to NRI enquiries that arrive while you sleep

NRI families in Canada and the US write during their evening, which is the small hours in Punjab. Set an automatic reply with a real time, and make one person own the first message each morning.

The message from Canada came in at four in the morning. You replied after opening, and by then the family had already spoken to two other places. Families abroad write during their own evening, which is the small hours in Punjab. Two changes close the gap. Set an automatic reply that tells the family exactly when a person will answer, not "soon". Then make one named person responsible for every overnight enquiry, first thing each morning, before the office opens. An early reply lands in Canada and the US while the family is still awake.

Why the overnight message costs you a whole day

Look at the clock from the family's side. A son in Toronto gets home from work and writes to three marriage palaces about his sister's wedding. What he sends in his evening reaches Punjab in the small hours, before anyone is at the desk.

Now follow the reply. If your manager answers at one in the afternoon, it is the middle of the night in Toronto. The son reads it the next day and sends his follow-up after work, which reaches you in your night again. Every exchange costs a full day. Three exchanges and three days have gone, while another palace is already showing them its hall on video.

The window that works is early morning in Punjab, roughly half past six to half past eight. A reply then lands in the evening across Canada and the US, before bed, and the family can answer at once.

A family that gets a clear answer first, in its own language, has a reason to call that palace first (our Punjab page has more on the state).

The automatic reply: a time, not "soon"

The WhatsApp Business app can send an away message outside set hours. Most say "Thanks for contacting us, we will get back to you soon." That tells the family nothing, so they keep writing to others. Give them a time and a task:

Thank you for writing to [business name], [town], Punjab.
It is night here now. [Name] will reply to you personally
by 8.30 am India time, which is the evening before in Canada
and the US.
To save time, please send: the date or month you have in mind,
the number of guests, and the function (wedding, reception,
akhand path, other).

Keep a Punjabi version too, and send the one that matches how the family wrote. Leave prices out, and promise only a time someone will keep every day, Sundays included.

One person owns the first message

"The office will reply" means nobody will. Name one person who answers every overnight enquiry before the stated time. That person works from the business number on their own phone at home, so they do not wait to reach the counter. On their day off, a named second person covers, and the away message does not change.

Give that person enough to answer without waking the owner: the bookings register on their phone, the rate rules, and a short list of what only the owner decides. Export units call this an authority sheet; a venue needs the same.

The morning routine itself is in our note on WhatsApp enquiries at night. For families abroad, what changes is the clock.

Where your reply lands, hour by hour

Times abroad are for their summer; in their winter, take one hour off.

Two rules follow. Never send a price or a question to North America at lunchtime, because it waits all night unread. Offer video walk-throughs in your late afternoon, which is their breakfast.

When several people share one number, WhatsApp Business API setup shows who has answered which family. Routing each new enquiry to the person on duty is covered under sales workflow automation.

For example: a marriage palace outside Moga

Imagine a marriage palace outside Moga with two halls and a lawn. The details are illustrative. A son in Toronto writes after dinner about a winter wedding, and his message reaches Moga before dawn.

The away message says "we will get back to you soon". The manager replies at one in the afternoon with a price list as a PDF. In Toronto it is the middle of the night. The son reads it the next day and, after work, asks whether the lawn is free on two dates. That reaches Moga in the early hours again, and the manager answers the following afternoon. By then another palace has replied at seven in the morning, Moga time: "Your first date is free. Shall we show you the lawn on video at 8 tomorrow morning, your time?" The family books that call.

The palace cared as much as the other. It was answering in the one window when Toronto could not read. The away message now names a young relative of the manager and gives 8.30 am India time. That relative answers from home between half past six and half past eight, with the bookings register on the phone, and the first fortnight showed one gap: the rate rules were in the manager's head, so they were written down first. Video walk-throughs run at five in Moga, breakfast time in Toronto. A question now goes and comes back before the son leaves for work.

When this is more than you need

If only one or two enquiries come from abroad in a season, skip the rota; the owner checks the number on waking.

Do not state a time you cannot keep; a late answer tells the family you are unreliable before they have met you. If the early slot is impossible, say "by midday India time" and keep to it. Measure how long replies take today, so you know which promise you can keep; lead response and follow-up covers that.

Check where last season's replies landed

Open the chats from abroad and put two times beside each: when it arrived, and when you first answered. Convert your answer to the family's time with the table above. If most arrived after midnight, start there. If you want the away message, the rota and the routing set up, tell us what you need.

Questions

Questions owners ask.

Should the automatic reply include our prices?
No. A price list sent by a machine at three in the morning gets compared line by line with every other one the family received, with nobody there to explain what yours includes. Send prices from a person, in the morning, alongside the answer to whatever they asked.
Can we just give the family a number to call at any hour?
Only if someone will truly answer it at any hour. A number that rings out at night is worse than an honest away message with a time. A family can plan around a reply it can count on, and resents one that was promised and did not come.
What about families in the UK or Australia?
They are easier. A family in England that writes in its evening reads your reply when it wakes, and Australian evenings fall in your working afternoon. The overnight problem belongs mostly to Canada and the US, which is why the early-morning reply matters so much in Punjab.

Tell us what you are trying to grow, and we will read it before we call.

Eight short steps, mostly taps. Skip anything you would rather answer on the call.
