WhatsApp Business API setup and integration · Marketing

Get the WhatsApp Business API approved and every chat into your CRM with an owner.

Most owners arrive here when the ordinary WhatsApp Business app has run out. Three people share one phone, and chats vanish when one of them leaves. The API fixes that, but the setup has more rules than a vendor demo shows.

A 45-minute audit call, a written and scored report within a few working days, then a monthly report against your baseline.

In one paragraph

The WhatsApp Business API is Meta's version of WhatsApp for teams: several people on one number, approved templates, automation and a link to your CRM. GullySales runs the setup, from Meta verification and the choice of provider to template approval, opt-in records, the CRM connection and the handover to your staff.

For example, a skin clinic in Jayanagar with four people on one phone would move that number to the API and answer from a shared inbox. Each chat would open a CRM record with a name against it. What the clinic sends once this works is planned in our WhatsApp marketing and automation service.

The problem

Does this sound like your business?

What owners tell us on the first call, in their words.

  • Meta rejected our business verification twice

The legal name on the GST certificate does not match the website or the Meta Business account. Nobody knows which document to send next.

  • Our templates keep getting rejected or reclassed as marketing

A payment reminder written like an offer is billed at the marketing rate, and an appointment reminder with a vague variable is refused.

  • The provider set up a chatbot that customers cannot escape

A buyer types a real question, gets the menu again, and messages a competitor. Nobody on the team is told the chat needed a person.

  • The provider's inbox and our CRM never talk

A lead that came in on WhatsApp sits in one screen with no owner. The follow-up date lives in another screen nobody opens.

What we do

Everything that is included.

Each deliverable, and what it gets you. Nothing here is an extra.

  1. Meta business verification

Your Meta Business account set up or cleaned, documents matched to your legal name, and a display name that passes review.

  2. Provider shortlist and choice

Two or three Business Solution Providers compared on inbox, CRM connector, per-message markup and support. The reason for the pick is written down.

  3. Template set

Utility, marketing and authentication templates written for your real messages, filed in the right category and taken through approval.

  4. Opt-in records

Consent taken on forms, at the counter or in the first chat, stored with date and source. Stopping messages takes one reply.

  5. CRM connection

Every chat creates or updates a CRM record with source, owner and next step, including chats from Click to WhatsApp ads.

  6. Handover rules

A short welcome flow for the common questions, then a named person in working hours and a holding reply after them.

How the result is measured

  • Median reply time on WhatsApp chats in working hours
  • Chats with a CRM record, source and owner
  • Template approval and quality rating
  • Chats handed from automation to a person, and how fast
  • Enquiries and orders traced to WhatsApp

Recorded as a baseline before work starts, then reported every month against it.

Who it is for

This is written for you if these sound familiar.

  • Clinics, coaching centres and showrooms where several people answer one WhatsApp number
  • You send reminders, order updates or payment links to hundreds of customers a week
  • Your Click to WhatsApp ads bring chats that nobody records against the ad
  • You are leaving the ordinary app and cannot lose the number customers already have saved

Not for

It is not the right fit if.

  • One person answers every chat and the app on a single phone is enough
  • You want to message bought lists or people who never agreed to hear from you
  • Nobody will take over the chats that the automation cannot answer

How it works

From your first message to the first monthly report.

No open-ended retainer. Each step has a point in time and something you receive.

  1. 01 · Day 1

    Free audit call

45 minutes with whoever handles your enquiries: how they arrive, how fast they are answered, where they are lost.

  2. 02 · Within a few working days

    Written, scored report

Six areas scored, fixes ranked by return and cost. If you want our help, the scope and fee come with it, in writing.

  3. 03 · Before work starts

    Baseline recorded

Enquiries by source, reply time, conversion and cost per order, written down so every later month has an honest comparison.

  4. 04 · Month 1

    The first fix goes live

Usually the cheapest one on the report: reply time, a follow-up sequence or the marketing-to-sales handover.

  5. 05 · Every month

    Report against the baseline

What moved, what did not, and what changes next, in plain words.

  6. 06 · Month 3 to 6

    Renew on the numbers

The term ends and you decide whether to continue from the results. No twelve-month lock.

How the WhatsApp Business API setup and integration work runs

  1. 1

    Audit the current WhatsApp use

Who answers today, how many chats arrive a week, what goes out in bulk, and where chats get lost.

  2. 2

    Verify and choose the provider

Meta verification starts first because it can be slow. Providers are compared against your list of needs in the meantime.

  3. 3

    Write and approve templates

Drafted with your team and revised until approved. Each template is tied to the moment it is sent.

  4. 4

    Connect, test and go live

The CRM link and handover rules are tested on real enquiries first. Then the number moves and your staff learn the inbox.

  5. 5

    Report every month

Reply time, template ratings and chats that reached a person, set against the baseline from the audit.

Proof

What happened when owners fixed this.

Real clients, the work we did, and the result as it was recorded. Where no number was recorded, none is claimed.

Why us

Why owners pick GullySales over an agency.

  • Marketing and sales, as one job

Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.

  • The person on the first call does the work

No account managers in between. You are never handed to someone you have not met.

  • A baseline before anything starts

Your numbers are written down on day one, so every monthly report compares against something honest.

  • The fee in writing, split three ways

Our time, your media spend and production on separate lines. You always see what goes to us.

  • No lock-in, no guarantees we cannot keep

Three to six months at a time. We never promise a ranking or a lead count, because nobody controls those.

  • One office, and we say so

Nagarbhavi, Bengaluru. We work across India by call and WhatsApp and travel when a session needs to be in person.

#257, 3rd floor, Sri Nanjundeshwara Complex, Nagarbhavi 8th Block, Outer Ring Road. How we work.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

What is the difference between the WhatsApp Business app and the API?
The app runs on one or two phones and suits a single person answering. The API has no app of its own. It works through a provider's inbox or your CRM, with many agents, approved templates and sends to people who opted in.
Can we keep our existing WhatsApp number?
Usually yes. What happens to old chats depends on how the number is moved and on the provider, so we check that before anything changes. The switch is planned for a quiet day, and regular customers hear about it first.
Which WhatsApp Business API provider should we choose?
The one whose inbox your staff will actually use, with a connector for your CRM and a markup you understand. We compare two or three on those points and write down why one was picked.
Do we need a WhatsApp chatbot?
A small one helps. A welcome message and answers to the five questions everyone asks beat a long menu. The customer should reach a person in one tap.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped in the free audit and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
Three to six months at a time. There is no twelve-month lock, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
Fixes to reply time, follow-up and your Google Business Profile usually show in weeks, because the enquiries already exist. Ads show in days once follow-up is ready. SEO and content take months. The audit tells you which applies to you.
Who will actually do the work?
The person you meet on the audit call. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
For the audit, last month's enquiries in any format and 45 minutes with whoever handles them. After that, access to the accounts the work touches, such as the website, Google Business Profile or CRM, and time for the monthly review.
What if we are not happy with the work?
Tell us and the plan changes. Every month is reported against the baseline, so a number that is not moving is visible to both sides. Terms run three to six months at a time, and the refund and cancellation policy sets out the rest.
