Wedding car rental companies · Follow up systems

Follow up on the quote that went quiet, because the family is still deciding.

A follow-up system for a wedding car rental company is the set of planned messages and calls after a rate enquiry, a quote, an advance and the function itself. GullySales works on writing those messages, deciding what triggers each one and keeping a record of who answered.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What follow up systems means

A follow-up system is the set routine for calling, messaging or emailing an enquiry more than once, since most buyers do not decide on the first conversation. GullySales sets the number and timing of follow-ups so an undecided buyer keeps hearing from you until they decide either way.

For wedding car rental companies

Where it usually goes wrong, and what we would do.

  • “Silence after a quote means the family is comparing”

The family has sent the same message to several owners and is waiting to hear from the others. A calm, helpful reply with a photo and a question about the date is what puts you back in front of them, without any pressure.

  • “Follow-up that only chases the price sounds desperate”

Asking "have you decided?" gives the family nothing to respond to. A message that offers a different car for the date, confirms a hold or sends a photo from a similar wedding gives them a real reason to answer you.

  • “The advance is a conversation, not a payment”

A family that has said yes may still delay the advance because nobody explained how it is paid or what it secures. A clear note on terms and on how long the hold lasts removes that hesitation and protects the date.

  • “The best follow-up comes after the function”

The family that was happy has relatives marrying next year. A thank-you, a request for a review and a saved number for the next wedding keep you in the family's mind when a cousin or neighbour starts asking.

What we do

What we deliver for wedding car rental companies.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. A first reply and a second reply for rate enquiries

Messages that send the car's photo and ask date, route and hours, with a second note for those who do not answer.

Result: Every enquiry gets the same careful reply.

  2. A quote follow-up with a reason to reply

A message offering an alternative car, a held date or a clearer breakdown of what the quote includes.

Result: The follow-up adds something the family can use.

  3. An advance and confirmation message

What the advance secures, how to pay it and what happens if the date moves, sent as soon as the family agrees.

Result: The family knows what they have paid for.

  4. A reminder before the date

A message to the family and the planner confirming the car, the time, the driver's contact and the decoration.

Result: Nobody is surprised on the morning.

  5. A thank-you and review request after the function

A short message after the car is back, asking for feedback and a review, and noting the family for the next wedding.

Result: The list of past families grows with every function.

How the result is measured

  • Follow-up completion rate
  • Average number of follow-ups before close
  • Enquiries closed after repeat follow-up

Recorded as a baseline before work starts, so every later report has an honest comparison.

How it works

How the follow up systems work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Measure today's reply time

From last month's enquiries, we measure how long each waited for a first reply and how many follow-ups it got.

  2. 2

    Agree targets and the sequence

We set reply targets and the follow-up sequence with your team, based on its real hours and workload.

  3. 3

Set up templates, tasks and ownership

Templates, first-call questions, CRM tasks and named owners go live, with cover for leave and weekends.

  4. 4

    Track and adjust every month

Reply time and follow-up completion are reported against the baseline, and the routine is changed where it is not kept.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 2, qualification. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

How many times should we follow up with an enquiry?
Follow up until the family answers or the date passes, with a reason in every message. Stop at once when someone says no. A reminder is welcome, and repeated pressure is not.
Should follow-up be a call or a message?
Use a message for the first replies and a call once a family has shown interest or asked about terms. A call suits an elder, and a message with photographs suits a cousin who has to forward it.
Who should handle follow-up when the owner is driving?
Give one person the task and a list, such as a relative or a helper at the office. If nobody can do it, set a fixed hour when the owner clears the list instead of replying between jobs.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.
