Day care centres · CRM
Stop losing a trial-day booking because nobody wrote it down.
CRM implementation for a day care centre means recording every enquiry, whether it arrives by phone, WhatsApp or a walk-in, against the child's age group and the outcome. This way no trial-day booking is lost between the front desk and the admission form. GullySales sets this up around how your centre actually takes enquiries.
Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What CRM means
A CRM is the record where every enquiry, call and quote is kept against a customer, replacing separate notebooks, spreadsheets and memory. GullySales sets up or cleans an existing CRM and reports from it by enquiry outcome rather than by activity logged.

For day care centres
Where it usually goes wrong, and what we would do.
“One record for phone, WhatsApp and walk-ins together”
A parent might call, message on WhatsApp and then walk in for a trial day within the same week. Without one shared record, staff cannot tell whether this is a new enquiry or a returning one.
“Age group as a required field, not an afterthought”
An infant-care enquiry and a pre-school enquiry move through the admission process differently. A CRM that tracks age group from the first entry avoids the wrong follow-up going to the wrong parent.
“Admission-season load needs the record more, not less”
The volume of enquiries in April and June is when a shared spreadsheet or memory-based tracking breaks down fastest, exactly when losing a single enquiry is most costly.
What we do
What we deliver for day care centres.
Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.
One record for phone, WhatsApp and walk-in enquiries
A single record set up so every enquiry, however it arrives, is logged once against the child's age group and the outcome.
Result: The front desk can see that the mother who walked in today messaged on Tuesday.
Age group as a required record field
The record set up to capture age group and admission stage from the first entry, so infant and pre-school enquiries follow their own path.
Result: The right follow-up reaches the right family instead of a generic one.
A front desk checklist for logging enquiries
A short checklist for whoever answers the phone or WhatsApp, so the record stays consistent across different staff and shifts.
Result: The record stays reliable even when the person answering changes.
An admission-season view of open enquiries
A simple view showing every unconverted enquiry during the April and June peak, so none is left unanswered when volume rises.
Result: A busy admission season does not mean a lost enquiry.
A report pulled straight from the record
A summary pulled from the record showing enquiries by source and age group, and how many became a signed admission.
Result: You see where admissions are coming from without checking three places.
How the result is measured
- Enquiries logged in the CRM
- Data completeness
- Reports generated from CRM data
Recorded as a baseline before work starts, so every later report has an honest comparison.
What to record, and when
What a day care centre should record about every enquiry, and whether it needs software yet.
- Child's age group, not the child's name
- Record the age band the parent needs, such as infant, toddler or after-school. At enquiry stage a first name is enough. It tells you which room has a seat before you collect anything more.
- Parent's contact and preferred way to be reached
- Write the number and whether the parent prefers a call or a WhatsApp message, and the hour they can talk. A working parent who answers only at lunch is lost if the front desk keeps calling at ten.
- Hours and days needed
- Note the drop-off and pick-up times and days a week they need. A parent who needs a late pick-up may not suit the centre's closing time, and finding out now saves both sides a visit.
- Trial day date and the result
- Record the trial day booked, whether it happened, and what the parent said afterwards. A missed trial day is a follow-up call that day, while the parent still wants a place.
- Start date wanted and seat status
- Write the month the parent wants the child to start, and whether you offered a seat, a waitlist place or neither. This list is what you read when a place opens up.
- Do you need software yet?
- A sheet with one row per enquiry is enough for one centre. Choose software when several branches share enquiries or the front desk changes often. Children's data needs extra care, so limit who can open the file.

How it works
From your first message to the first report.
No open-ended retainer. Every step gives you something in writing.
First
Your brief
You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.
After the brief
A conversation and a written scope
We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.
Before work starts
Baseline recorded
The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.
After the baseline
The first fix goes live
The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.
As agreed
Report against the baseline
What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.
At renewal
Renew on the numbers
The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.
How the CRM work runs
- 1
Map the sales process
We record how a deal actually moves from enquiry to close in your business today.
- 2
Configure stages and fields
The CRM's pipeline and fields are built to match that process exactly, not a generic template.
- 3
Set up automations
Reminders, assignment rules and follow-up triggers are configured so routine steps happen without manual effort.
- 4
Test with real deals
We run the configuration against actual current deals to catch gaps before the whole team relies on it.
Why us
Why owners pick GullySales over an agency.
Marketing and sales, as one job
Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.
The person on the first call does the work
No account managers in between. You are never handed to someone you have not met.
A baseline before anything starts
Your numbers are written down on day one, so every later report compares against something honest.
The fee in writing, split three ways
Our time, your media spend and production on separate lines. You always see what goes to us.
No guarantees we cannot keep
The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.
