Day care centres · Analytics and reporting
Track which enquiries turn into a trial-day visit, not just how many people viewed the website.
Analytics and reporting for a day care centre means tracking each enquiry from its source through to a booked trial day and a signed admission. This matters more than website traffic numbers, which say nothing about seats filled. GullySales reports on enquiries, visits and enrolments, not page views.
Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What analytics and reporting means
Analytics and reporting is tracking where each enquiry actually came from, be it a search, an advert or a walk-in, instead of guessing which channel is working. GullySales builds this tracking from the first conversation and sends a plain report by enquiry source rather than by activity done.

For day care centres
Where it usually goes wrong, and what we would do.
“Enquiry source matters more than visitor count”
Knowing whether an enquiry came from a Google search, a parent referral or a corporate tie-up tells you where to spend effort next. A raw visitor count tells you nothing about which channel actually fills a seat.
“Trial-day attendance is the number that matters”
An enquiry that never turns into a booked, attended trial day was never close to an admission, so this step is tracked separately from the first message rather than assumed.
“Reporting follows the schedule agreed in writing, heavier around admission season”
A report suits most of the year. The run-up to the April and June admission season needs a closer, more frequent look, since enquiry volume and urgency both rise quickly.
What we do
What we deliver for day care centres.
Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.
Enquiry tracking by source, search, referral and corporate
A set-up that records where each enquiry came from, search, referral or a corporate tie-up, rather than reporting only website visits.
Result: You know which source is actually worth your time and effort.
A trial-day funnel from enquiry to attended visit
Tracking that separates a booked trial day from one that was actually attended, so a no-show is not counted as progress.
Result: The numbers show real interest, not just an early message.
A recorded baseline before work starts
A starting point for enquiries, trial-day bookings and admissions, so every later report is compared against your actual centre, not an assumption.
Result: You can see whether things are genuinely improving, not guess.
A report against the recorded baseline
A report on enquiries, visits and admissions against the baseline, with a closer look during the April and June season.
Result: You get a clear read on where seats are being filled from.
A simple dashboard your front desk can check
One page showing open enquiries, upcoming trial days and this month's numbers, without needing to interpret raw analytics.
Result: Anyone at the centre can check progress without waiting on a report.
How the result is measured
- Enquiries by source
- Cost per enquiry by channel
- Conversion rate by channel
Recorded as a baseline before work starts, so every later report has an honest comparison.
What to record for each enquiry
A day care enquiry sheet needs only six columns to show where seats are won and lost.
- Date, time and channel
- Note when the first message arrived and whether it was WhatsApp, a call, a walk-in, the Google listing or a corporate HR contact. Late-evening arrivals show whether night replies matter.
- Child's age band
- Record infant, toddler or pre-school, because each room has its own seats and ratio. This shows which room has empty places and which has a queue.
- Source in the parent's words
- Write how the parent says they found you, and the name of the referring parent or company where they give it. Do not guess the source from the channel.
- Trial day booked and attended
- Keep two separate date columns. A booked trial day that was not attended is a no-show, and it is a different problem from a family that never booked.
- Reason when a family does not enrol
- Ask politely and write down their words: fee, distance, timings, another centre. After a season the pattern in these notes is worth more than any traffic figure.
- Seat outcome
- Mark each family as enrolled, on the waiting list or declined, with the joining date and room, so enquiries can be traced all the way to a filled seat.

How it works
From your first message to the first report.
No open-ended retainer. Every step gives you something in writing.
First
Your brief
You tell us what you need in a few short steps: your business, what you want, where enquiries come from and how they are handled.
After the brief
A conversation and a written scope
We read it, then talk with whoever handles your enquiries. If you want our help, the scope, the fee and the reporting come in writing, and nothing starts before you have read them.
Before work starts
Baseline recorded
The numbers this work is meant to move, such as enquiries, quotations, orders, visits or renewals, written down so every later report has an honest comparison.
After the baseline
The first fix goes live
The fix we agreed to start with is put in place and measured against the baseline, whether that is a reply, a follow-up, a page, a listing or the handover between marketing and sales.
As agreed
Report against the baseline
What moved, what did not, and what changes next, in plain words. How often you get it is set in writing before work starts.
At renewal
Renew on the numbers
The term ends and you decide whether to continue from the results. The length is agreed in writing before anything starts.
How the analytics and reporting work runs
- 1
Understand what counts as success
We agree what a good enquiry looks like for your business before measuring anything.
- 2
Audit current tracking
We check what is already being tracked correctly, half tracked, or not tracked at all.
- 3
Set up shared tracking
Analytics, forms, call tracking and the CRM are connected so an enquiry can be traced to its source.
- 4
Build the reporting format
A single report template is agreed, so every month's numbers are comparable to the last.
- 5
Report and adjust
Numbers are reported with a recommendation, and campaigns are adjusted based on what the numbers show.
Why us
Why owners pick GullySales over an agency.
Marketing and sales, as one job
Most agencies stop at the enquiry. We also fix what happens after it: the reply, the follow-up, the quote and the CRM.
The person on the first call does the work
No account managers in between. You are never handed to someone you have not met.
A baseline before anything starts
Your numbers are written down on day one, so every later report compares against something honest.
The fee in writing, split three ways
Our time, your media spend and production on separate lines. You always see what goes to us.
No guarantees we cannot keep
The term is agreed in writing and never a default twelve months. We never promise a ranking or a lead count, because nobody controls those.
