Coaching centres and tutors · Buyer persona

Know whether the parent, the student or both decide before you write the next flyer.

A buyer persona for a coaching centre describes the family you want in a batch: who raises the enquiry, who judges the teacher and who pays the fee. GullySales works with your counsellors to write these down course by course, then shapes pages, replies and offers around them.

Scope, fee, reporting and term are agreed in writing after we have read your brief and spoken to you.

What buyer persona means

A buyer persona is a plain description of the kind of customer who actually buys from you. It includes what they search, what worries them and who else they ask before deciding. GullySales builds this from real enquiries and past sales rather than a generic template, then uses it to write every page and advert.

For coaching centres and tutors

Where it usually goes wrong, and what we would do.

  • “The person who enquires may not be the person who decides”

In school tuition the mother can make the call and ask about the board, batch size and distance. In JEE or NEET coaching the student has already watched lectures and formed a view, and the parent arrives for the fee and hostel talk. One brochure cannot answer both.

  • “A Class 9 parent and a repeater student worry about different things”

The Class 9 parent fears a weak foundation and wants to see someone track the child's progress. A drop-year student carries a failed attempt and needs to believe the plan is different this time. Treating both as one persona produces a message that suits neither.

  • “Fee and travel questions settle admissions before the syllabus does”

Families compare instalment options, the commute and whether a sibling can join. A persona that records these questions tells the counsellor what to raise first, instead of waiting for the parent to ask and, walk away.

  • “A study abroad family is two buyers in one meeting”

The student cares about the university and the course. The parents care about total cost, safety and visa risk. A consultant who speaks only to the student loses the person who signs the loan or funds the fees.

What we do

What we deliver for coaching centres and tutors.

Every deliverable, what it covers for you, and the result it is there to produce. Nothing here is an extra.

  1. One persona sheet per course

For each major course, such as Class 10 CBSE maths, NEET repeater or IELTS, a one-page sheet listing who enquires, who decides, what they ask and what makes them hesitate.

Result: Counsellors share the same picture of the family they are speaking to.

  2. Question bank from real enquiries

The questions your front desk has actually heard, grouped by course and by speaker, parent or student, and matched to a prepared answer.

Result: A new counsellor can answer the common questions on day one.

  3. Message map by persona

Which point leads for the parent, which for the student, and which belongs in the demo class rather than on a flyer.

Result: Each course page and WhatsApp message speaks to a named reader.

  4. Disqualifier list

The signs that a family is a poor fit, such as a wrong board, a distant locality or a study abroad budget not yet considered, with a polite way to redirect.

Result: Counsellor time goes to families the centre can serve well.

  5. Persona review after each admission season

A sit-down with the counsellors on which families joined, which left and what the sheet missed, followed by edits to the sheets.

Result: The personas change with what your own desk learns.

How the result is measured

  • Enquiry match to persona
  • Conversion rate by persona
  • Content aligned to persona

Recorded as a baseline before work starts, so every later report has an honest comparison.

Who is asking

Several different people enquire about one batch, and each needs a different first answer.

Parent of a Class 9 student
Wants to know who teaches, how the batch handles the school timetable and what the homework load is. Needs the teacher's name before the fee.
Repeater student after a poor result
Wants to know how the batch differs from the last one and whether the teacher will work through old mistakes. The student may decide alone, so the parent needs a separate answer.
Parent of a Class 11 science student
Wants the subject teachers, the test schedule and the travel time. Check the centre's own rules on what it states about entrance outcomes.
Working adult for a government exam
Wants the class hours around a job, recorded sessions and the syllabus covered. Asks about fee instalments more than the parent does.
Study abroad family at a first meeting
Two buyers: the student wants the country and course, the parent the budget and visa risk. Give both the same written outline.

Not for

It is not the right fit if.

  • You have not yet spoken to families after a demo, so a persona sheet would only repeat what you assume.
  • The centre runs one batch and one teacher, so a set of personas would add paper and change no reply.

How it works

How the buyer persona work runs

The work itself, in order. How an engagement starts, from your brief to a written scope, is set out on our method page.

  1. 1

    Understand the current view

We start with how your team currently describes the customer, since the gap between belief and reality is the finding itself.

  2. 2

    Audit past enquiries and sales

We look at recent enquiries and closed deals to see who actually bought, not who was assumed to buy.

  3. 3

    Interview customers and staff

Structured conversations with recent buyers, held as talk about the last purchase and not a questionnaire. We ask what happened before they called, who else was involved and what they compared. Customers agree before we contact them, and their answers are reported without names.

  4. 4

    Build the personas

Findings are written into short, usable persona documents rather than a long report.

  5. 5

    Apply to your marketing

We show where each persona should change a page, an ad or a script you already have. The sales team reads the drafts and says which ring true. A persona they do not recognise is rewritten.

Where this fits

Three pieces of sales work, in this order.

This work sits inside sales process design, at stage 0, foundation. The audit comes before it, and sales management keeps it running.

  1. Step 1

    Sales audit

Find where deals are being lost and what to fix first.

Start here if you cannot say where orders are lost.

  2. Step 2 · you are here

    Sales process design

One written way to sell, from first enquiry to repeat order.

Start here if every salesperson sells differently.

  3. Step 3

    Sales management

A target, a review routine and someone who owns the number.

Start here if the team has targets and no routine.

FAQ

Questions owners ask before they call.

Not here? More answers, or ask on WhatsApp.

Should we write a persona for every batch?
Start with the courses that bring in the largest share of admissions and the ones you want to grow. Related batches, such as two board classes, can share a sheet with a short note on what differs between them.
Where does the information come from?
From your enquiry register, your counsellors' memory of conversations and the questions parents raise after a demo. GullySales does not invent a family; it records what your own desk hears and organises it.
Is a persona only useful for advertising?
No. It shapes the counsellor's first call, the order of topics in a demo class and the follow-up message. Advertising is one use, and the desk conversation is where it earns its place.
Should the persona note which family can pay?
No. Do not judge a family's budget from how they look or speak. Ask what fee structure they need and record the answer. Assuming a family cannot pay may lose a good student, and assuming they can may lead to an unpleasant surprise at the fee stage.
How much does it cost?
There is no price list, because the work differs by business. The fee is scoped after we have read your brief and spoken to you, and put in writing before anything starts, split into our time, your media spend and production.
How long is the contract?
The term is agreed in writing after we have spoken, along with the fee and the reporting. It is never a default twelve months, and renewal is decided on the numbers against the baseline recorded at the start.
How soon will we see results?
It depends on the trade, the channel and what is already in place. After we have read your brief and spoken to you, we say what we would expect to move first and how it will be measured against the baseline. Nothing here is guaranteed.
Who will actually do the work?
The person you speak to before anything starts. We work from one office in Nagarbhavi, Bengaluru, with no account managers in between.
What do you need from us?
Your brief, and a conversation. After that, access to whatever this work touches, such as your website, your accounts or your enquiry record, and time with the people who handle your enquiries.
What if we are not happy with the work?
Tell us and the plan changes. Everything is reported against the baseline, so a number that is not moving is visible to both sides. The term is in your written scope, and the refund and cancellation policy sets out the rest.

Your next practical step

Tell us what you are trying to grow, and we will read it before we call.

Eight short steps, mostly taps. Skip anything you would rather answer on the call.
